The March DC Meeting opened at 8.03 pm by Director Dave Clift

The February Draft Minutes were accepted by Gary Stanley from Rattlers and John Wardle from the Shifters .

Incoming Correspondence

* Gold Pass entitlements clarification. Murray Alcock sent a letter that he had, the copy was dated 1985 which was sent to members stating that it had free entry to all National events.

Dave got Andy Douglas to search back in his archives and find the information in relation to the Gold Passes (see attached document)

Andy was able to find information explaining the decision made at the time. The Gold Pass member’s entitlements are down for an Agenda Item for the NCC Conference in August.

Glen Waters reiterated that these Gold Members should be treated with the utmost respect as they helped the ASRF when needed the most.

*Albury Nationals trip is going ahead as planned Grahame Bevan has put his hand up to be Chairman of the committee Don Mason will handle the trade stands

* NCC Phone Conference results 26/2/2020 Meeting Commenced 6.00pm

*Peter Koning It was decided after a discussion that Peter would retain his job until May 2020 when the TAC will be holding it’s AGM in Sydney. Wayne is to produce an email to inform Peter of this decision and remind him of his duties and guidelines. The Document is to be circulated for the board’s approval, prior to being sent to Peter. In the interim Wayne would review the NTACC position and job description so the ASRF has more control over the TAC and this position.

* ASRF Legends Plaque wording. (see attached photo) This was approved and 26 plaques have been ordered on the 27/2/2020. Directors will be notified of the delivery date.

*Driving Event Disclaimer Wayne discussed this with the legal eagles that he knows and this is a specialist field that is only done by certain lawyers as it is different in every state. Wayne is to further engage a suitable lawyer to draft up a generic form that is suitable to all states requirements.

*Goulburn Nationals:

EVENT HAS BEEN CANCELED!! All monies will be reimbursed within 3-4 weeks As of 22/2/2020 there is 336 Entries. Al gave a progress report on the event. On Saturday night the committee requires 6 clubs to adopt a barrier to assist with Traffic Control for the duration of the Street Cruise. You will be given basic instruction of what to do prior to the commencement of the cruise by a certified Traffic Controller. Clubs are asked to contact Al Cooper with their details. Al wished to think Graham Bevan (NSW) for his efforts with the Committee.

*Sydney Hot Rod Show Sydney Hot Rod and Custom Auto. Expo 2020 will not be run as an ASRF Sanctioned show this year. The Promoter is running an independent judging/stewarding team. The event will be granted a Travel Permit only and carry its own Insurance.

*Show Updates QHRP has still not paid their last sanction for 2019 show. Any correspondence/requests for payment have not been acknowledged. Col Chapman will approach Bob Briggs to try and resolve the matter. It was decided not to sanction the event for 2020 if no payment is forthcoming. Bruce Helms advised that a report and figures on the latest VHRA show held in January 2020 will be at H/O next week.

*S.A. Director N/T update Glenn Halliday had a lengthy discussion with Ian Kirkham from the N/T. Ian is going to provide Glenn with monthly reports on the progress in the Top End. S.A. is also going to provide Ian with an ASRF Marquee and manpower at the next Desert Nats. In Alice Springs. All agreed that was a very positive outcome.

*H/O Updates Wayne circulated the contracts that were sent to the girls on their Job Descriptions. This has progressed well and further updates will be forthcoming.

*Rodders Helping Rodders Tassie has asked that all clubs notify their state directors of any rodders that have been affected by the recent fires in Aus. They have set aside funds to assist with this as Charity Funding is very slow in forthcoming. The ASRF has approx. $6,000 set aside to also assist.

*NCC Conference dates A tentative date was set for the 21-22-23 August 2020. Confirmation from Phil McKee (ASRF accountant) on the 27/2/2020 has deemed this date as suitable. Any earlier would reduce the time for him to produce his reports. He will attend Friday afternoon as per last year. So the NCC Conference will be held in Keysborough Victoria on the 21-22-23/August 2020.

*General Business All directors were asked to supply numbers/sizes of Shirts/Jackets etc. as we have 3 new Directors on board.

* D plates are now beginning with a letter E as D plate numbers have reached their limit at some RMS offices.

* The Hawkesbury Swap Meet at Richmond has been moved to the 7th of June. It is on at the same time as Picton Swap Meet

* A question was put to the floor regarding the Corona Virus and to ask our Insurance Broker As there will be many cancelations

Here is Tim Hadrill’s reply to Dave

Hi Dave, Thank you for your Email. These are un-precedented times and clear answers are difficult to provide. Things are changing daily with new directives from State and Federal Governments being issued.

My opinion is that the ASRF as a responsible organisation and wanting to be seen that way, has a duty to act in the best interests of both its Members and the Public. Each Event and activity must be determined on its own merits and risk assessment - life must go on albeit in a measured way. There is no directive by the ASRF ‘Public Liability’ Insurer directing you to cease any particular activity. However, the Federal Government has advised (Warned) against conducting non-essential Events involving greater than 500 people. It would be irresponsible to ignore such advice. Additionally, all ‘Public Liability’ Policies contain a Clause known as ‘Reasonable Care’ that requires the Insured to exercise reasonable care to prevent personal injury and property damage and thus deliberately placing the Insurer in a known and otherwise avoidable Risk. I guess if an Insurer could establish that an Insured intentionally conducted an Event against Public Warnings that could be considered reckless and cavalier, then an Insurance Company just may attempt to dispute a Claim. I have never seen this happen and it would be a very interesting Test, but nonetheless it is a Clause that does need to be understood. On the flip side, given the wide spread community awareness of the Corona Virus, it would be interesting to see if a Person could succeed in a Claim by saying that they contracted the Virus at an ASRF Event to which they attended voluntarily and where they were not otherwise subject to an adverse or known dangerous circumstance. E.G. Where you knowingly allow a Corona Virus infected Carrier to mingle with others!!! In facilitating Coffee & Cake meets, I would simply ensure sufficient physical space and separation for all attendees is made available.

In regard to your question regarding a possible Credit on your Premium, I have referred this to JUA for their consideration and reply.

I hope that this may offer some clarification albeit not terribly helpful.

NSW STREET ROD COMMITTEE REPORT March 2020

Rego is due end of March. Rego renewal information is being sent out to all owners with street rod rego. If you have changed your address in the last 12 months and not informed the street rod committee this pack will go to your previous address. Please advise the street rod committee of any postal address changes. Please check over your vehicle prior to presenting it for inspection and rectify any issues you notice. This will save everyone time.

New Cards are mandatory the cost is still $35.00 (bigger size cards suggested so they stand out )

General Business: *Glen asked for clarification with the Sydney Hot Rod Show judging. As it was only a travel permit and the show was going to have independent judges does that mean that it is not a state title show Short answer yes

*Also no Perpetual Trophy to be had at the Sydney Show for Warren Gore. We are looking at something else.

*The Romans 60th celebration at Warwick Farm is meant to go ahead and Ian Dicker has asked if people are going. The venue will be only for 250 people no more . Could clubs or members please advise the Romans A.S.A.P as they need to have firm numbers before Easter?
