Web Ticket Entry – Helpful Guidelines Address field: Only use the addresses field if work is actually taking place at the address or across street from the address. If address is used as reference point, (please include this in the driving directions part of the ticket. (Example: Dig site is across the street from ___________) However, it is best to provide directions to the location rather than referencing from an address. If the address is in a rural location, please check “Yes” and indicate the town closest to the location in the directions field. If the address is a Highway address, please include driving direction. If it is rural, also indicate the town closest to the location Any address outside the city limits will require driving directions from the nearest main intersection. (A main intersection is defined as a Hwy intersection or a section line road intersection). If you are working at a new address (such as installing new services), it is a good idea to include driving directions. This will possibly keep us from sending you an email requesting more information. Nearby Major Intersection: Please provide the closest major intersection to your job site. Major intersections are defined as Hwy intersections, section line road intersections. Driving Directions: Start all driving directions from nearest major intersection; preferably no more than 5 miles away from dig site. Directions should include compass directions (spelled out) and mileages to the location, ending with which side of road and a description of the property. o If County Road or highway is known by another name, please include that information with directions section of the request. This may help us in determining what road you are referring to, our maps may have it listed a different way. Example: Hwy 66 (aka Lynn Riggs Blvd) , Harbor Rd (Aka E0330 Rd) o Include compass directions (north, south, east, and west) and mileage throughout the directions. Compass directions must always be spelled out. o Convert mileage into decimal mileage placing a numeral in the ones place. Example: instead of ‘¼ mile’ type as ‘0.25 mi’ or ‘1 ¾ miles’ type as 1.75 mi o Be sure to use appropriate abbreviation and punctuation. Abbreviation and punctuation is important because it could change the meaning of the information. You can find a list of approved abbreviations on the web site. Do not use periods (.) after the abbreviations. 1 Please do not use periods (.) inside the remarks. This can cause confusion. We prefer the usage of commas between each turn in compass direction and hyphens (-) between each “thought”. Periods (.) may be used as decimal point only. Include what side of the road the location is on. If you are unsure of this information, please provide some kind of information that would pinpoint the property (example: red two story house with metal barn, Note: this is only if it involves 1particular address) If dig site is at a rural address, include the size of the property in acres. (This is extremely helpful in rural areas or areas that are just outside city limits because the lot sizes can vary a great deal, Example 5 acres to 160 acres) If dig site is at an oil field location and part of the driving directions include-East/West/North/South into- provide distance how far into the locators need to go. If you have footages to the well head or tank battery that info will work as well—Example: 100ft from the north line-200ft from the west line. Locate Instructions: Where on the property do you need the lines marked? It is always a good idea to mark your dig site in white. Please give detailed locate instructions, if possible. If digging will be taking place all over the property, you may request the full property. However, the more detailed information you can provide, the better the communication is between you and the locators. If applicable, please include the distance of the area that needs to be located. Example: from road to house is 100ft, or 200ft radius of the house. If dig site is along the road, please provide what side of the road needs marked. Be sure that the locate instructions make sense with the type of work. Example: replacing mailbox - locate from road to house 300 ft (this brings up questions like: why does this large of an area need to be marked for 1 little mailbox? Is there additional work being performed at this location?) If dig site is at a rural location and locate instructions request “full property”, we will need to know how big the property is. In rural areas property size can range anywhere from ½ acre to 100 acres or larger. If dig site is rural and locate instructions read locate from “pedestal to house” please provide what side of road pedestal is on and the distance from the pedestal to house. Service drops: We need to know how big the drop is, and if possible, which way the drop runs, and what side of the road the terminal is on. For all drops, over 1320ft (0.25 mile) you will be required to provide which direction the drop runs. If the term has an address, please provide this information as well. Pipeline work: When doing work on a pipeline, the locate instructions should reflect the path of the pipeline. Please provide directions to the start of the job then from that point tell us how far you are working, what direction you are working, and how big of a path you need marked… Note: All pipelines locates should be staked or flagged for the locators to follow the route. Example: Locate 100ft on each side of the staked route working Northeast 1000ft. 2 Type of Work: If you would like to provide detailed information in regards to the type of work you are doing, include this information in the additional comments section of the entry form. Examples of when you may want to add more info regarding the type of work: o You are preforming more than 1 type of work o If you would like to specify the type of work you’re doing like, installing, repairing, replacing, removing, etc... Additional Comment: This field is to provide info that is needed for anything that you deem would be important for the locator to know in order to mark the dig site, such as information for locators to gain access to the property. Map Information: If you like, you may find your dig location on the provided map so we will be able to find the location a bit easier. Alternatively, you can check “I would like an OKIE811 representative to map my dig location” if you check this option you will see a pop –up for GPS Coordinates these are helpful but not required. o Note: If your polygon does not cover the blue dot that is okay. It is just popping up a warning that your polygon does not cover the blue dot. You do not need to adjust your polygon. If more information is needed to process your locate request: We will either contact you via phone if it is a simple question, such as what side of the road is your dig site on, or if the question will be too hard to explain via email. Most of our questions are sent via email – Subject of the email will be “Okie811- Your Web Ticket has been suspended” Please click on the link provided in the body of the email and edit your ticket and hit “Submit”. We ask that you respond within 24 hours from the time you received the email. Note: If you have not heard from us via email or phone regarding your locate request within 4 hours from the time you submitted your request, please give us a call at 811 or (800) 522-6543 Option 2 and speak to one of our customer representatives. 3 .
