Re: Referral Management System (RMS) for West Yorkshire Oral Surgery – ACTION REQUIRED

As you will be aware NHS England – North (Yorkshire and the Humber) has recently commissioned a West Yorkshire Oral Surgery RMS that enables all oral surgery referrals from primary care dental providers to be processed along a common referral pathway. We are pleased to inform you that the contract to deliver this service has been awarded to the Dental Referral Management Centre (FDS Consultants).

We are preparing for this system to start on 1st October 2016, with clinical triage being undertaken by locally-based triagers and with the Dental Referral Management Centre (FDS Consultants) providing the referral service infrastructure.

In order to maximise the efficiency of the West Yorkshire Oral Surgery RMS service from the outset we are keen to ensure the mobilisation phase is robust and comprehensive, ensuring all stakeholders fully understand the model, pathway, interfaces and specific requirements. NHS England proposes to facilitate a West Yorkshire Oral Surgery pathway event on the morning of 14th September 2016 (venue to be confirmed), where all potential referrers and stakeholders will be able to review the entire WY Oral Surgery pathway before the planned service commencement date. Please may I ask you to hold this date in your diary – the event will take place in the morning.

At the event we will walk you through the referral process but there will be an expectation that all practices will refer using the electronic online referral process. This will be detailed in the letter which will be sent to you shortly from the Dental Referral Management Centre (DRMC). As outlined in the letter you will receive shortly from the DRMC, you will need to follow the instructions and register online for your log-in via the website at www.dental-referrals.org under the section for West Yorkshire; or you can access the form directly here: https://www.dental-referrals.org/dentists/sign-up-to-veridial/

The system enables practices to enter referral data directly online, upload radiographs, letters, or any other materials to the system. The online system enables postcode look up for patients and GPs making the referral process even faster. It should be noted that Practices using the electronic referral system to refer patients will not require a physical N3 connection, nor will they need NHS NET mail. You may want to visit www.dental-referrals.org in the meantime to familiarise yourself with the process and view the training guides and videos.

The new system enables you and your patient to easily track your referrals online as well as providing a single address for all surgical referrals into primary and secondary care.

We will be providing additional information on this website as it becomes available, including a detailed directory of services for you and your patients.

The Oral Surgery Referral Guidelines will be made available on the website as will the new referral forms as soon as they are locally agreed by the newly formed West Yorkshire Oral surgery Managed Clinical Network (MCN).

It is important to note that the introduction of this service does not impact on any existing provision of services, no changes are being made to primary or secondary or community care services currently available to your patients.

Please note however that utilisation of the referral management system is mandatory and providers of services will not be able to accept your referral via any other route.

The referral management service is not to be used for 2 week wait cancer referrals. You should continue to refer these cases direct to the hospital using the agreed referral routes. We will be placing information on these routes on the website shortly.
