Ultimate Canada 2019 Coach and Chaperone Code of Conduct 1.0 Scope 1.1 This code of conduct delineates the expectations of Ultimate Canada for all coaches and chaperones at Ultimate events under the jurisdiction of Ultimate Canada. This includes, but is not limited to the Canadian Ultimate Championships (CUC), the Canadian High School Ultimate Championships (CHSUC), and regional qualification tournaments for the CUC. 1.2 This code of conduct covers any and all sites associated with events under the jurisdiction of Ultimate Canada, including but not limited to fields, meals, banquets, entertainment and accommodations. 1.3 The 2019 Coach and Chaperone Code of Conduct does not supersede the Ultimate Canada Code of Conduct and Ethics, which outlines the ethical conduct standards adopted by Ultimate Canada. 2.0 General Requirements 2.1 All junior teams attending an Ultimate Canada event must be supervised by adult coaches and/or chaperones. Coaches may double up as chaperones, and by doing so, must adhere to the chaperone’s requirements below. 2.2 At least one coach per team must be over the age of 21 for all Ultimate Canada events. This includes Canadian Ultimate Championships Series, and Canadian High School Ultimate Championships. 2.3 Chaperones must be over the age of 21 for all Ultimate Canada events. This includes Canadian Ultimate Championships Series, and Canadian High School Ultimate Championships. 2.4 The minimum required ratio for supervision is 12 players per chaperone. Thus, a team of more than 12 players must have two chaperones 2.5 Co-ed teams must ensure that there is a chaperone of each gender, regardless of the number of players on the team. 2.6 For the Canadian Ultimate Championships, coaches and chaperones must have a letter of acceptance from a director of their provincial governing body or a local UC recognized league. If a region does not have an official governing body or a local UC recognized league, then a letter from the region’s representative on the Ultimate Canada Board of Directors, the National Junior Director, or the Executive director of Ultimate Canada will be accepted. This letter is to be sent to the event organizers along with team registration fees. 2.7 For the Canadian Ultimate Championships, coaches and chaperones must provide Ultimate Canada a criminal record check including a Vulnerable Sector Check (unless not available in the coach/chaperone’s province) OR a signed letter from a director of their provincial governing body or local UC recognized league indicating that they have reviewed a criminal record check for the coach/chaperone and there are no offences or charges that would make the coach/chaperone unsuitable to work with youth. If a local or provincial association is not willing to pay for the criminal record check, a coach may apply to Ultimate Canada to have the fee reimbursed by contacting the Ultimate Canada executive director at [email protected]. 2.8 For the Canadian High School Ultimate Championships only, coaches and chaperones must provide Ultimate Canada a criminal record check, including a Vulnerable Sector Check (unless not available in the coach/chaperone’s province) OR a signed letter from an administrative representative (principal or vice- ULTIMATE CANADA www.canadianultimate.com principal) of the school whose team they are coaching indicating that the administrative representative has reviewed a criminal record check for the coach/chaperone and there are no offences or charges that would make the coach/chaperone unsuitable to work with youth. If a school is not willing to pay for the criminal record check, a coach/chaperone may apply to Ultimate Canada to have the fee reimbursed by contacting the Ultimate Canada executive director at [email protected]. 3.0 Expectations 3.1 Coaches and Chaperones will act in a manner that follows the Spirit of the Game both on and off the field. 3.2 Coaches and Chaperones are expected to behave in a responsible manner and set a good example for the players. They should not engage in any activities that would bring Ultimate Canada or the sport of Ultimate into disrepute. 3.3 Coaches and Chaperones will not engage in illegal conduct. 3.4 Coaches and Chaperones must not use electronic cigarettes (vaping), consume alcohol, tobacco, recreational cannabis or illegal drugs, or be under the influence of alcohol, recreational cannabis or illegal drugs, when in the presence of the players for which they are responsible. 3.5 Coaches and Chaperones must at no time become sexually and/or intimately involved with a junior-aged player. 3.6 Coaches and Chaperones must respect the dignity of their players’ and shall not engage in any form of harassment including verbal, physical and sexual harassment. 3.7 Coaches and chaperones must stay in the same accommodations as the players, unless the players are being billeted with local families. If players are being billeted, the coach/chaperone’s accommodations and phone number must be provided to each family and the organizers of the event. 3.8 Coaches and Chaperones must follow the Rule of Two. The Rule of Two states that there will always be two screened coaches or chaperones with an athlete, especially a minor athlete, when in a potentially vulnerable situation. This means that any one-on-one interaction between a coach and an athlete must take place within earshot and view of the second coach or chaperone, with the exception of medical emergencies. One of the coaches or chaperone must also be of the same gender as the athlete. Should there be a circumstance where a second screened coach or chaperone is not available, a screened volunteer, parent, or adult can be recruited. This rule serves to protect minor athletes in potentially vulnerable situations by ensuring that more than one adult is present. Vulnerable situations can include closed doors meetings, travel, and training environments amongst others. 4.0 Repercussions 4.1 If a Coach or Chaperone does not adhere to any part or parts of this code of conduct, the Ultimate Canada executive director, the Ultimate Canada national junior director, the Ultimate Canada juniors’ board member and/or the tournament director, are designed persons who all reserve the right to implement the Ultimate Canada Event Discipline Procedure policy. In applying the Ultimate Canada Event Discipline Procedure Policy, a breach of the Coach and Chaperone Code of Conduct is considered the same as a breach of the Ultimate Canada Code of Conduct and Ethics. This may result in various sanctions including but not limited to the suspension of a coach/chaperone, or team from further involvement in the event. The suspended coach(es)/chaperone(s) may be instructed to immediately leave all facilities related to the event. 4.2 Any and all breaches of the Ultimate Canada Coach and Chaperone Code of Conduct will be reviewed after the event by the Ultimate Canada national junior director and the Ultimate Canada programs ULTIMATE CANADA www.canadianultimate.com manager (or another appointed staff member) to determine if additional discipline will be sought under the Ultimate Canada Discipline and Complaints Policy. 4.3 If a team does not adhere to the minimum Coaches and Chaperones requirements, the Ultimate Canada executive director, the Ultimate Canada national junior director, member(s) of the Ultimate Canada board of directors all reserve the right to immediately disqualify the team from the event. 5.0 Appeal 5.1 A coach or chaperone may choose to appeal a suspension following Ultimate Canada’s Appeal Policy. 6.0 Consent I acknowledge that I have read the Ultimate Canada Coach and Chaperone Code of Conduct. By signing this form, I understand that I am required to adhere to all expectations stated in this code of conduct. I am also aware of possible repercussions if any of the code of conduct’s expectations are broken.
