Now that the NBN (National Broadband Network) is a reality in regional communities across , more businesses finally have the internet quality to use cloud accounting.

Some people find this very daunting, while others can’t wait to embrace the new technology and systems. Our goal is to take away some of the mystery. In simple terms, using “the Cloud” means storing and accessing data and programs over the Internet, instead of your computer’s hard drive.

One thing is for sure, desktop software is out and cloud software is in… but there’s more to it than being able to ‘do your bookwork’ while sitting on the beach. Some of the business advantages include real time financial information from direct bank feeds, on-the-go invoicing, better communication with your accountant and advisers, and the ability to view your accounting files from anywhere in the world. It means saying goodbye to memory sticks and emailing files. It also allows you to integrate other processes like payroll systems, stock control, invoicing and farm management.

Despite what you might think, you don’t have to be a technical guru to use cloud products. Even businesses who are quite traditional in their bookkeeping, using paper reporting, can switch to a cloud based-product and experience the ease of use and lifestyle benefits.

There is no one-size-fits-all approach. In June 2017, BMO hosted a regional Queensland first – free accounting software expo where all the big players including Xero, MYOB, Intuit Quickbooks Online, Phoenix by AgData and Reckon all offered demonstrations and one-on-one sessions to help people better appreciate the different packages on offer and how they work. Following on from this event, we have put together this guide to help you familiarise yourself with each of the different programs in your own time at your own pace.

MYOB MYOB AccountRight Sample File A Sample file for AccountRight is available via BMO. MYOB does not have a sample file for the general public.

XERO Sample File: Xero’s sample file is called a “Demo Company” To access this you will need to sign up for a free Xero account

1. Sign up for a free Xero trial and create a Xero account: https://www.xero.com/au/

2. Complete the details for the trial.

3. Tick the security question, confirming you are not a robot.

4. Select the images that fit the criteria & select Verfify. Please note, this will change each time you access the sample file.

5. Select “Get Started”

6. A confirmation email will then be sent to your email address you entered

7. Open your emails and select “Yes, it’s me – let’s get started”

8. Enter your desired password (with 8 characters and one or more number) & select “Activate your account”

9. You can either a. Select “ Try the Demo Company (AU)”

b. Or enter your details and create a trial. Please note: As a Xero partner, BMO can access additional subscription levels that are not available to the general public. These partner subscriptions provide significant benefits and discounts to our clients.

10. The “Demo Company” will open and you are able to navigate through and enter transactions.

Reckon One Sample File: Reckon One’s sample file is called a “Demo Book” and is for “One Energy Consulting Australia”.

To access this you will need to sign up for a free Reckon One account

13. Open the “Demo book” by clicking the button on the top right hand side of the screen

Intuit Quickbooks Sample File: Intuit Quickbook’s sample file is “Long for Success – Event planning” which can be accessed here https://qbo.intuit.com/redir/testdrive_au

Phoenix Live Sample File: To access this you will need to download a free trial

1. Go to AGDATA’s website https://www.agdata.com.au/

2. Select “Try Now” from the top right hand side

3. Select the Modules you would like to trial, Select Phoenix Live and enter your details

4. From the “Thank you” screen, select either a. “Trial Phoenix Live on a PC” or b. “Trial Phoenix Live on a MAC”
