Installing MS Access and the LXDatabase

In order to begin generating database files to import into Access © 97 you must first install 2 separate programs. The first of these is a 32bit version of the LXSoftware. It does not matter if you are currently running an LX2000 or LX3000 DAS Unit - as long as you are running or higher. The LXSoftware version should be 6.3 or higher for Windows 95. Once this is properly installed you must then install ©. If you are installing Access from the beginning, follow step 1 below.

1.Installing Access from the Beginning: Insert the MS Office Pro CD-ROM or Access CD into your CD-ROM drive. It should bring up a dialogue box in the middle of your screen. Click on the button labeled “Install …”. Then follow the instructions and enter the necessary information until you arrive to the windows that lets you specify the type of installation you want – typical, custom or run from CD-ROM. Click on the box that reads CUSTOM. A new window will appear with the title Microsoft Office 97 – Custom, with the different MS Office programs listed in it. Click once on Microsoft Access and then click on the Change Option button to the right. Make sure the following boxes are checked:

· Micrsosft Access Program Files · Help Topics · Wizards · Advanced Wizards

Once these are checked click on the OK button on the bottom of the window. This will return you to the list of other Microsoft Office programs. Now click once on Data Access, then select the Change Option button on the right. You should now see a list with the following choices:

· Database Drivers · Microsoft Query · Data Access Objects for Visual Basic

Click on the button to the right that reads Select All, then click on the OK button at the bottom of the window. Now click once in the box next to Data Access Objects for Visual Basic to select it for installation. Click on OK or Continue once more to begin installing Microsoft Access.

Follow step 2 if you have already installed Access but not with the Advanced Wizards

2. Reinstalling Access Components after a Typical Install: Insert the MS Office Pro CD-ROM or Access CD into your CD-ROM drive. Click once on the START button on the lower left-hand side of the screen and select RUN. In the box that appears type the letter of your CD-ROM drive followed by setup.exe, ie., if your CD-ROM drive is drive D: then you would type:

In a few seconds, depending on the speed of your CD-ROM drive, you will see a Setup window appear with the following choices: Add/Remove, Reinstall, and Remove All. Click once on the Add/Remove button. A new window will appear with the title Microsoft Office 97 - Maintenance, with the different MS Office programs listed in it. Click once on Microsoft Access and then click on the Change Option button to the right. Make sure the following boxes are checked: · Microsoft Access Program Files · Help Topics · Wizards · Advanced Wizards Once these are checked click on the OK button on the bottom of the window. This will return you to the list of other Microsoft Office programs. Now click once on Data Access, then select the Change Option button on the right. You should now see a list with the following choices: · Database Drivers · Microsoft Query · Data Access Objects for Visual Basic Click on the button to the right that reads Select All, then click on the OK button at the bottom of the window. Now click once in the box next to Data Access Objects for Visual Basic to select it for installation. Click on OK or Continue once more to begin installing Microsoft Access.

Now – Go to the Windows Start button and click on Find – then Files or Folders. In the Named window type in “comdlg32.ocx” (without the apostrophes). If the file is found it should be 137kb – if it is not then copy it into your C:\Windows\System directory.

Once this is complete open Windows Explorer and navigate to the LX2000W directory. Double-click on the LXImport.mda icon. This will open MS Access 97or 2000 and will ask you if you want to convert the file or open it. Convert will be automatically selected so continue by clicking on OK. A dialogue box will open with the title of Convert Database Into. “My documents” will be selected to save the file in. In the lower box under file name delete the db1 and replace it with LXImport, then under it click on the down arrow and change the save as type field from Microsoft Access Databases into Add-Ins then click on Save. After about 30 seconds you should see the Access window change to a gray background with the title of LXImport. Close this window. If Access gives you any error messages during this procedure it is because the comdlg32.ocx is either installed incorrectly or is not the correct version, contact Lafayette for the correct file.

To complete the installation of the Database feature you will need at least 2 database files generated from your LX2000W PF files. If you do not already have any then open your LX2000W program and then click on Edit | Preferences | System Preferences or if using LXSoftware Ver. 8.1 or newer Tools | Preferences | System Examination. Find the check box titled Generate examination database and click it once to display the check mark (if not checked already). Now click on OK to exit from the Preferences and go to File | Open PF and select the first file you would like to generate a database file for. Once it is open go to Exam | Personal History and change ONE field in the Personal History window – it does not matter

Close the Personal History window when you have finished. If your Data Access Objects has been installed correctly then the window should take a few seconds to close. Next go to Exam | Exam 1 Info and alter ONE field and then close the Exam Info window. Go to File | Close PF and then repeat the process for at least one more file. Don’t forget to remember which files you have modified and where they are located (if they are not in the PFfolder directory).

*Note: If the Data Access Objects listed in the installing Access instructions above have not been installed the LX2000W program will fail and close when you attempt to generate a database file by modifying the Personal History or Exam Info.

Now that you have generated two database files close or minimize the LX2000W program and go back to Windows Explorer. Navigate to the Pffolder directory and locate the first PF file you modified. Open that file by double clicking on the folder and then double-click on the file called PF.mdb (you may only see PF without the mdb extension – in any case it will have a key on the icon). This will open MS Access where you will see a window with two tables – Personal History and Exam Info.

Go to Tools | Add-Ins | Add-In Manager and click on Add New. From there navigate to the My Documents folder and select the LXImport.mda that we saved there earlier. Click on Save. In the Available Add-Ins box you should now see LXImport with a x in front of it. Click on Close and then click on Tools | Add-Ins | LX Database Import. In the next window navigate to C:\Pffolder and then choose the second file you modified – open it and then double click on the PF.mdb file. You should then see a box telling you that One database file has been imported. Click on OK and then double click on either the Personal History Table or the Exam Info Table – you should now see two records listed – one below the other. To add additional files repeat the process from Tools | Add-Ins | LX Database Import.

For Best Results: Go to Tools, Options under the General Tab find “default database folder and type in “C:\Pffolder”, this will make adding files easier.

Also, save a copy of your database on the desktop and rename it to Master or something similar – this will help you find your database easier and keep it on your computer even if you move the PF files off to disk.
