Travel The BDC is situated in the heart of Islington, London, with excellent public transport links across the city and to London airports. Further information on getting to the venue can be found on the conference website.

Nearest Underground Stations: Angel (4 minutes walk) and & Islington (15 minutes walk) Nearest National Rail Stations: Euston, King’s Cross and London Bridge.

Parking There is a secure, payable car park adjacent to the venue with 250 spaces, including disabled parking bays and electric vehicle charging points. Please note there is a 1.9m height limit at this car park. Overnight stays are available and spaces can be pre-booked directly on the venue’s website.

Audio Visual hire Aztec are the preferred supplier of AV equipment for PETEX 2021. Based at the BDC, Aztec are able to offer a range of AV equipment from touch screens, to PA systems. Orders can be placed directly on Aztec’s website and they are currently offering a 20% discount on many items for PETEX exhibitors.

You can view more information about Aztec’s offering in Appendix 6.0. Orders must be placed by Monday 8 November 2021.

Balloons/Inflatables Use of helium or gas filled balloons must be agreed in writing to the venue key contact prior to the event. A £100.00 refundable deposit will be required for their use at the venue.

BDC online ordering system The BDC offers on an online ordering portal for those exhibiting at the venue. On the site, you can book and pay for shell scheme & space only electrics, shell scheme enhancements and stand internet. To place an online order, please visit: oem.bdclondon.co.uk/PETEX2021. You will first need to create an account to access the Shop.

Carpet All exhibition floors are fully carpeted. Contractors must ensure that adequate precautions are takento protect the carpet from damage when building stands. You will be required to lay a wooden floor/platform before any additional floor covering is used. This must also be finished with metal/plastic edging trim. Stand carpet must not be laid or fixed directly to the BDC fitted carpet.

It is not permitted to cut any carpet tiles. Any damage costs will be charged to the exhibitor.

Catering The Good Eating Company are the exclusive caterers for the venue and all food and drink must be ordered via them. Exhibitors wishing to organise food and beverages for their stand should contact the catering team as soon as possible to discuss requirements.

During the show, Jack’s Café will be open each day for food and drink. The Café can be found on the Gallery level.

Page | 7 Cleaning The BDC venue will ensure all common areas are cleaned during the conference, including all gangways on the exhibition floor.

Exhibitors are requested to place refuse for collection in bags and leave them in the aisles at close of business. If any special cleaning services are required, exhibitors should contact the venue’s key contact to make arrangements.

Compressed Air It is possible to use compressed air at the BDC however written authority must be obtained prior to arrival on site from the venue key contact.

Electrics All shell scheme packages will include 500w socket/s and spot lighting appropriate to size of stand. Consumption and testing are included in the shell scheme rates. Space Only stands will not include any electrics.

Any portable electrical appliances brought on site should ensure that they have been regularly tested (Portable Appliance Tested) and bear a recent PAT test pass certificate.

If your stand requires additional electrics, these can be booked through the venue’s online ordering system. Orders must be made by Thursday 11 November 2021. Tariffs for 2021 can be found in Appendices 1.0 and 2.0.

Graphics and Printing Onward Displays are based at the BDC and can offer a wider range of graphics services from shell scheme panels to free standing branded displays. More information about their services can be found on page 18 or you can visit: onwarddisplay.com/exhibitions.

Internet Access The BDC offers free, unsupported Wi-Fi across all areas of the venue, including the exhibition spaces. If your stand is reliant on a strong connection for sales or demonstrations, we would strongly advise that you get a hard-wired connection to your stand. This can be arranged directly with the BCD and can be booked via their online ordering system. Tariffs can be viewed in Appendix 5.0. Page | 8 Lift Access There are 2 goods lifts in the Loading Bay for the delivery of stand materials and exhibits. Exhibitors/ Contractors should be aware that there are a number of doorways to pass through when taking items from the goods lifts to the Mezzanine.

There is also a passenger lift to all levels for visitors in the entrance foyer.

Porters and Assistance The BDC are not able to offer porter services directly but have recommended Pinnacle Crew Ltd who may be able to help. If you require assistance, please email [email protected] or call +44 (0) 345 300 2468.

Neither PESGB or the BDC are able to provide trolleys, pump trucks or forklifts.

Public Liability Insurance All exhibitors are responsible for insuring themselves against any legal liability in respect of injury, loss or damage to property belonging to third parties, if your corporate insurance does not already cover these. In addition, you should protect your expenditure against abandonment or curtailment of the event.

As part of the PESGB and BDC Venue’s health and safety requirements, this level of cover must be no less than £2 million. A copy of your insurance certificate must be submitted prior to the event to enable you to exhibit with us.

Any stand contractors appointed by exhibitors for Space Only stand builds must have valid, third party liability insurance to the value of at least £5 million. A copy of this certificate will be requested before contractors will be allowed on-site.

Rigging It may be possible for banners/signs to be rigged above your exhibition stand. Where this is required, stand contractors should contact the venue key contact to approve the location and installation, as well as specifications and costs. Banners must be stitched at the top and bottom and not glued. Please note that only BDC approved rigging companies will be permitted to carry out rigging within the BDC.

All rigging must be approved at least 4 weeks before the start of the conference.

Rubbish Disposal The BDC will remove ‘normal waste’ produced during the build up and breakdown periods. Normal waste includes packaging and other small items. All exhibitors and contractors are responsible for the removal of all other waste created during the build-up / dismantle including carpets, pallets, metal work and stand fitting materials. This must be taken off site. Page | 9 Security As the exhibition will be open throughout the conference, exhibitors are advised to keep their stands staffed at all times when the exhibition is open. PESGB and the BDC accept no liability for broken, missing or stolen goods.

Space Only Stand Contractors If your company has booked a Space Only stand, you have the flexibility to appoint any preferred contractor to design and build your stand. If you are still looking for a contractor for the event, below are the details of two contractors who have worked with the PESGB and BDC venue before and so have good knowledge of the space and show.

Storage Storage space will be available on-site for exhibitors to store additional items to restock, along with packing cases/boxes. We would ask all exhibitors to be mindful of each other when using the storage area(s) to ensure everybody can make use of the space. Please ensure boxes are clearly labelled with company details and are tidily stored to minimise risks to other users. All empty boxes, packaging and rubbish must be cleared by the end of the event.

Exhibitors are expressly forbidden to store any exhibits or packing materials behind or between stands due to the risk of fire. Items found in these areas or outside the freight doors will be removed and disposed of.

At the end of the conference, items ready to be collected must be moved to storage area 118 on the ground floor. Items must be clearly marked with company name, contacts details and shipping information. All items must be collected by 16:00 on Friday 26 November 2021. Any items left after this time will be disposed of by the venue.

Water and waste Water supply, together with waste disposal, is available within most of the exhibition areas if required. This can be ordered on the BDC’s online ordering system.

EXHIBITION NETWORKING AND DRINKS Tuesday 23 November 2021 | 17:30 - 19:30

We have scheduled a dedicated exhibition networking evening on Day 1 of PETEX 2021 to give delegates more time to visit the exhibition floors and meet you! We would encourage exhibitors to think about organising stand events, catering and drinks to add to the buzz of the evening.

The exhibition will be held over 3-floors at the BDC - The Village Green, Mezzanine and Gallery Hall & Bays. Each of these areas have direct access from the main entrance of the venue and can be easily navigated around. Delegates will have access to the exhibition throughout the conference not only during break times, but also when programmed sessions are taking place. For the benefit of all delegates and fellow exhibitors, we would ask that all stands are maintained to a consistently high standard throughout the exhibition.

*Timings are subject to change. Page | 12 A conference badge (named or transferable) must be worn by every Exhibition Access delegate, including exhibitors, at all times whilst at the venue. Exhibitor Staff List Ahead of the conference, all exhibiting companies will be asked to submit a list of staff members expected on-site during the conference. This list will be used to monitor access into the venue when using an Exhibitor Pass (see below).

Transferable Conference Badges Included as part of an exhibition stand booking, you will receive a number of transferable conference badges. These will give the wearer access to all conference sessions. Each transferable badge will state your company name only, allowing them to be passed between your team on site. The transferable conference badges will be placed inside your exhibitor pack, which will need to be collected on arrival at the venue from the registration desk.

Amending transferable conference badges to a named badge There is an option to assign any of your transferable conference badges to a named person, if preferred. Once the badge has been assigned to a named person, only that named person will be able to use the badge. They will also need to collect their badge from the main registration desk when they arrive at the venue.

If you wish to assign a transferable badge to a named person, this must be arranged prior to the conference by contacting our Exhibition and Sponsorship Manager, Leanne Smith.

Exhibitor Passes When entering the BDC, all delegates must collect or present their conference badge to gain access. In instances when stand staff are sharing a transferable badge and need to pick this badge up from an exhibition stand, access into the venue will be granted on presentation of an Exhibitor Pass.

A digital Exhibitor Pass, with company name, will be emailed to each stand key contact ahead of the event. Copies of this pass can then be distributed to staff who will be working at the event. On arrival to the venue, exhibition stand staff who do not have a badge will need to show their Exhibitor Pass to the registration team either in printed or electronic format. Their details will then be checked against the staff list provided by each company and access will be granted to the exhibition floors, if all is in order. Once members of staff have reached their exhibition stand, they will then need to put on a conference badge immediately.

Exhibitor Passes will not give access to any conference sessions. Anyone wishing to attend a session without a conference badge (named or transferable) will be denied access to the conference rooms.

Exhibitor Packs All exhibitors will receive an Exhibitor Pack on arrival to the venue, which will include your transferable conference passes. The packs must be collected from the registration desk and will need to be signed for on collection. Once collected, all badges are solely your responsibility.

DON’T FORGET... Additional conference registrations can be purchased for your team. All exhibitors are offered the PESGB member rate for additional bookings, which can be arranged by contacting our Exhibition and Sponsorship Manager, Leanne Smith. The building of all shell schemes and contracted space only stands will begin on Sunday 21 November. During this time the Village Green (Ground Level), Mezzanine, Gallery Hall and Gallery Bays will be under strict CDM (Construction Design Management) regulations and so exhibitors will not be able to enter the area. The hall will be managed by PESGB’s appointed Health and Safety Advisor who will not permit access to any unauthorised personnel.

On Monday 22 November, space only contractors will have until 15:00 to finish building before inspection and sign off by PESGB’s appointed Health and Safety Advisor and the venue. Once all stands have been signed off, CDM will be lifted from all areas and exhibitors will be able to enter to dress their stands. This has been scheduled from 16:00 - 21:00 on Monday 22 November.

If PESGB’s appointed Health and Safety Advisor deems the areas to be safe whilst space only contractors are completing finishing touches, they may permit early access to exhibitors on Monday 22 November. If this is the case, all exhibitors entering the exhibition spaces must wear a Hi-Vis jacket and appropriate footwear. This will not be supplied by the PESGB. Without this protective equipment, access will not be granted.

When arriving at Liverpool Road, look for the ‘Goods In’ sign between Bromfield Street and Barford Street. Delivery drivers must report to the security office on arrival before access is granted through the electronic barriers. All passengers are reminded that they Loading Bay must follow instructions of the traffic management team. Please note that the speed limit is 5mph and some areas have height restrictions in place.

The rear Loading Bay is best suited to larger vehicles including articulated lorries and Luton vans. For smaller vehicles under 2m in height, we recommend utilising the secondary unloading area at the front of the BDC venue.

Therefore, any exhibitor or external contractor wishing to use the rear Loading Bay or front unloading area during the build-up or breakdown must pre-book a time slot to be given access.

This can be arranged by contacting our Exhibition and Sponsorship Manager, Leanne Smith. When requesting a slot, please ensure you have the following information:

Please be aware that you must unload/load your vehicle within the time slot arranged. Unloading and loading time slots must be booked by Thursday 4 November 2021. Without a pre-arranged time slot, your vehicle will not be granted access into either loading area.

Porters and Assistance The BDC are not able to offer porter services directly but have recommended Pinnacle Crew Ltd who may be able to help. If you require assistance, please email [email protected] or call +44 (0) 345 300 2468.

Neither PESGB or the BDC are able to provide trolleys, pump trucks or forklifts.

Security As the exhibition will be open throughout the conference, exhibitors are advised to keep their stands staffed at all times when the exhibition is open. PESGB and the BDC accept no liability for broken, missing or stolen goods.

Storage Storage space will be available on-site for exhibitors to store additional items to restock, along with packing cases/boxes. We would ask all exhibitors to be mindful of each other when using the storage area(s) to ensure everybody can make use of the space. Please ensure boxes are clearly labelled with company details and are tidily stored to minimise risks to other users. All empty boxes, packaging and rubbish must be cleared by the end of the event.

Exhibitors are expressly forbidden to store any exhibits or packing materials behind or between stands due to the risk of fire. Items found in these areas or outside the freight doors will be removed and disposed of.

Stand Clearing and Dismantle Exhibitors may not start clearing their stand until the last attendee has left on Thursday 25 November 2021. Clearing exhibition stands while members of the public are still present increases the risk of an accident occurring. Any exhibitor seen to be clearing their stand before the exhibition has closed will be asked to stop, and will incur a £100.00 penalty.

All exhibitors will have from 18:00 - 21:30 to clear their stands. All exhibitors will be notified when the Loading Bays are open and will then be able to load vehicles during your pre-booked time slot. All rubbish must be cleared from the exhibition floors on Thursday 25 November including boxes, cardboard and surplus literature.

From 08:00 on Friday 26 November, all exhibition areas will be strictly under CDM, whilst contractors dismantle shell schemes and space only stands. Exhibitors will not be granted access at this point.

The venue must be fully clear and vacated by 16:00 on Friday 26 November 2021.

Security, accident reporting and emergency procedures It is of utmost importance that all exhibitors are aware of the BDC’s security and fire procedures. It is everyone’s duty to be vigilant at all times. On arrival to the venue, please make yourself aware of the nearest exits to your stand location.

Fire Reporting If you discover a fire, or someone reports a fire to you, raise the alarm immediately by dialing 6666 on any internal phone. This will connect you to the reception. Tell the duty officer where the fire is, your location and your telephone extension. If you can, try to prevent the spread of fire by closing doors and windows as you raise the alarm. Try to help stop other people from going towards the fire until help arrives. But, please do not do anything to endanger your life.

First aid emergencies In the event of medical assistance being required, please contact a member of the PESGB or venue team, informing them of the nature and location of the medical emergency.

Reporting accidents If you are aware of any incident such as a liquid spillage or blocked fire exist, please report this immediately to a member of the PESGB team or venue staff who will take action as required.

Venue evacuation procedure In the event that the venue needs to be evacuated, you will hear the fire alarm bells and a tannoy message informing you to leave the building immediately. Please leave via the nearest fire exit OR as instructed by the venue’s security team. During an emergency evacuation, DO NOT attempt to collect personal belongings before making your way to an exit.

No one is to return to the building until further information or official announcements have been made by the BDC venue team.

Additional health and safety measures may be required at the venue to adhere to the latest regulations/guidelines imposed by the UK Government. PESGB will inform all exhibitors of any changes that may affect operations within the exhibition as soon as they are known. Exhibitors and contractors must ensure that all individuals, companies, exhibitors, special features and materials they bring to the exhibition comply with the Health & Safety at Work Act 1974, the management of Health & Safety at Work Regulations 1999 and all other legislation covering the venue and all activities undertaken within or with regard to the event. They must also ensure that due thought and consideration is given to their own and others’ health, safety and welfare throughout the event, and that their actions, or inactions, do not give rise to accidents, injuries or an unsafe working environment so far as is reasonably practicable.

Public Liability Insurance A copy of your public liability insurance must be provided to PESGB prior to the event start date. Whilst every precaution is taken to protect your property during the event, PESGB will not be responsible for any loss or damage which may be incurred during the exhibition. We therefore highly recommend that you check your company insurance to ensure you are fully covered, or that you take out specific insurance for the PETEX 2021 Conference. This level of cover must be no less than £2 million (GBP).

Stand risk assessment All exhibitors must complete a stand risk assessment which looks at potential hazards and risks whilst working on your stand; and control methods you have in place to minimise these risks. Access for dressing of your stand has been scheduled for 16:00 on Monday 22 November 2021. Any plans for builds above the standard shell scheme height of 2.5m will need to be reviewed on a case by case basis by the PESGB and venue before being signed off. Additional charges may apply for stands above 2.5m which cannot be pre-determined. In some instances, the venue may require a external structural engineer to sign-off design and any associated fees for this must be paid by the exhibitor before commencement of works. All partition surfaces built above the standard 2.5m height must be decorated.

Space Only bookings do not include anything other than the floor space booked, so please ensure you make provisions in your budgets for the following:

The exhibition hall is fully carpeted although alternative flooring may be of consideration to you.

Space Only stand contractor confirmation Once a contractor has been nominated to build your stand, you should complete the contractor nomination form found on page 29 and return to our Exhibition and Sponsorship Manager, Leanne Smith. This must be completed by no later than Thursday 26 August 2021.

Stand contractor health & safety requirements All exhibitors with space only stands must ask their contractor to provide PESGB with the following documentation as part of our health and safety requirements: • A copy of scale drawing(s) including plans and elevations • Construction timetable • Method statement • Risk assessment • Public Liability Insurance certificate, covering to a minimum of £5 million (GBP)

These can be sent directly to the PESGB from your contractor or you can forward them to PESGB on their behalf. All health and safety documents must be submitted by Thursday 7 October 2021. Please send all documents to our Exhibition and Sponsorship Manager, Leanne Smith.

Stand design approval All space only exhibitors must send PESGB plans of their stand for approval to ensure that the stand specifications comply with health and safety, Local Authority and Venue rules and regulations. Your chosen stand contractor can do this on your behalf. All drawings must be submitted to PESGB no later than Thursday 7 October 2021.

Rigging It may be possible for banners/signs to be rigged above your exhibition stand. Where this is required, exhibitors or stand contractors should contact the venue key contact to approve the location and installation, as well as specifications and costs. Banners must be stitched at the top and bottom and not glued. Please note that only BDC approved rigging companies will be permitted to carry out rigging within the BDC.

Ensure your stand contractor has completed and returned copies of stand drawings, 6. method statements, risk assessments and their public liability insurance to our Exhibition and Sponsorship manager by no later than Thursday 7 October 2021. This information should be shared with your chosen stand contractor.

Contractors will not be allowed to commence set-up until they have complied with all the requirements of the Health and Safety at Work regulations 1992. All structures, materials, special designs, unusual constructions and signs must conform to British Safety Standards and Codes of Practice and comply with local council regulations or those of any other statutory authority. All stand contractors must provide the following documents to the PESGB by Thursday 7 October 2021.

1. A copy of scale drawing/s including plans and elevations 2. A planned construction timetable 3. A method statement 4. A risk assessment 5. Full details of fabrics and materials being used as part of the build 6. A copy of their Third Party Insurance Certificate showing minimum cover of £5 million

Built stands are not permitted to attach any material to the shell scheme walls. Any spaces booked between shell scheme stands must take into consideration the size of the allocated space. Failure to take care over internal measurements could mean that the stand will not fit in the allotted space. Any plans for builds above the standard shell scheme height of 2.5m will need to be reviewed on a case by case basis by the PESGB and venue before being signed off. Additional charges may apply for taller stands which cannot be pre-determined. In some instances, the venue may require a external structural engineer to sign-off design and any associated fees for this must be paid by the exhibitor before commencement of works. All partition surfaces built above the standard 2.5m height must be decorated. In addition, all stands must be finished both front and back.

Each space only stand must run its own mains electricity supply, which can be booked through the venue’s online booking system. The cost will be confirmed once all requirements are known.

Contractor Staff List & Passes Ahead of the conference, all stand contractors will be asked to submit a list of staff members expected on-site. Contractor Passes will then be emailed to the key contact for all staff included on this list. These Contractor Passes must be presented (either printed or electronically) when accessing the venue during build-up and breakdown.

Unloading/Loading at the venue The BDC is serviced by a main Loading Bay to the rear of the building, which can be accessed off of Liverpool Road (SatNav Postcode: N1 0QH). When arriving at Liverpool Road, look for the ‘Goods In’ sign between Bromfield Street and Barford Street. Delivery drivers must report to the security office on arrival before access is granted through the electronic barriers. All passengers are reminded that they must follow instructions of the traffic management team. Please note that the speed limit is 5mph and some areas have height restrictions in place.

All external contractor wishing to use the rear Loading Bay or front unloading area during the build-up or breakdown must pre-book a time slot to be given access. This can be arranged by contacting our Exhibition

Carpet All exhibition floors are fully carpeted. Contractors must ensure that adequate precautions are takento protect the carpet from damage when building stands. You will be required to lay a wooden floor/platform before any additional floor covering is used. This must also be finished with metal/plastic edging trim. Stand carpet must not be laid or fixed directly to the BDC fitted carpet.

It is not permitted to cut any carpet tiles. Any damage costs will be charged to the exhibitor.

Electrics Space Only stands will not include any electrics. If your stand requires electrics, these can be booked through the venue’s online ordering system. Orders must be made by Thursday 11 November 2021. Tariffs for 2021 can be found in Appendix 2.0.

Any portable electrical appliances brought on site should ensure that they have been regularly tested (Portable Appliance Tested) and bear a recent PAT test pass certificate.

Lift Access There are 2 goods lifts in the Loading Bay for the delivery of stand materials and exhibits. Exhibitors/ Contractors should be aware that there are a number of doorways to pass through when taking items from the goods lifts to the Mezzanine.

Rigging It may be possible for banners/signs to be rigged above your exhibition stand. Where this is required, stand contractors should contact the venue key contact to approve the location and installation, as well as specifications and costs. Banners must be stitched at the top and bottom and not glued. Please note that only BDC approved rigging companies will be permitted to carry out rigging within the BDC.

All rigging must be approved at least 4 weeks before the start of the conference.

Rubbish Disposal All contractors are responsible for the removal of any waste created during the build-up / dismantle including carpets, pallets, metal work and stand fitting materials. This must be taken off site.

Water and waste Water supply, together with waste disposal, is available within most of the exhibition areas if required. This can be ordered on the BDC’s online ordering system.
