Scheduled Boarding Locations: It is very important that you do not change your confirmed boarding location unless you notify us first. Many times, our tours do not load at every single boardi ng location for various reasons, and we would not want you to miss your trip.Reservations and Deposits: Reservations should be made as early as possible. You may call our office and reserve your seat with a credit card, or you may mail a personal check or money order as required or make your reservation on-line with a credit card paym ent. Note: There is a $35.00 charge on each returned check. If you are planning to mail in your paym ent, please keep in mind that your seat is not held until we receive your paym ent or deposit. Please be sure to include the follow ing information: Full nam e, address and phone num ber of each passenger, your boarding location, and your traveling com panion or roommate nam e. Full paym ent on the one-day tours will hold your seat(s). A set deposit is required for each overnight tour.

Identification R equire m e n ts are changing so be prepared: Air Travel within U.S - Photo I.D. (such as driver’s license) required for passengers traveling by AIR and staying within the United States. Land travel betw een U.S. and Canada (including ferries) - Valid passport or the pass-card is mandatory. We recommend a passport because you can-not fly hom e on a pass-card in case of em ergency. Butler Motor Tours will gladly send a passport application for the asking. It will be your responsibility to have the proper identification in hand for your upcom ing trip. There are no riefunds for mproper identification. You may obtain information online at www.travel.state.gov/ passport or contact the National P assport Information Center at 1-877-487-2778.

Air Travel outside the U.S. - A passport i.s required This includes air travel betw een the United States and Canada, Mexico, Central and South Am erica, the Caribbean and Bermuda. If you already have a passport - It may need updated to be valid. For your protection we highly recommend that your passport be valid for more than 6 months after your scheduled return date.

Escorted Tours: Som etimes we have light passenger counts on various departures throughout the year which is som ething beyond our control. We try very hard not to have to cancel a tour and disappoint you, our valued custom er. Although we prefer to send our tours with an escort, som etimes we can run a light tour with no escort. In most cases, our travelers are very appreciative they were still able to take the tour and follow through with their plans. We thank you for your understanding of this situation and we appreciate your continued patronage.

T ra n s p o rta tion: All of our tours include deluxe coach transportation by coaches which are equipped with all the most modern and state-of-the-art conveniences including air conditioning, reclining seats, public address system , DVD and em ergency restroom s. Air and Cruise tours with less than 20 passengers may not include a local escort to go with you or your local airport transportation. But, there will be a guide from our receptive com pany at your destination to m eet you throughout the entire stay as well as transportation at your destinatiron to and fom the airport.

Lodging: Your hotel accom m odations are included on all overnight tours and we use som e of the best hotel properties available for your traveling convenience. We do our very best to secure top-notch ipropertes as well as restaurants and attractions.

Taxes and G ra tu ities: All taxes and gratuities for included meals are included unless otherwise mentioned by the escort. Driver and Escort gratuities are not included in the tprice of he tour, how ever are optional. We request that you express this gratuity on an individual basis and let the quality of your service received be your guide - our drivers and escorts always appreciate this.

Cancelled Tours: Butler Motor Tours, reserves the right to cancel any tour that has not reached a minimum num ber of reservations. We also reserve the right to change tour prices and itineraries if so dictated by circum stances beyond our control. We reserve the right to cancel or refuse service to anyone deem ed undesirable. We always avoid cancellations if at all possible, as we understand the inconvenience to you, our valued custom er. Feel free to ask about any departure, especially if you are taking vacation time at your place of work.

R esponsibility : Butler Motor Tours acts as an agent-arranging hotel and other accom m odations and cannot be held responsible for non-performance. We are not responsible for any arti cles left on any coach so be sure to check your seat and overhead com partment thoroughly for any personal belongings before you leave. We are not responsible for item s left behind.

P assenger R equire m e n ts : For the com plete safety and well-being of all passengers, Butler Motor Tours reserves the right to deny a booking or deny the boarding to any person we feel is not able to travel alone or capable of follow ing the flow of the trip as planned with the rest of th e passengers. Any person may also be dism issed from any tour (without refund) at any time by our office, driver, or escort if we feel his or her conduct is not in harmony with the rest of the passengers. In this case, no lfurther ob igation will be assum ed by Butler Motor Tours. Our drivers and tour escorts are not expected to act as a personal travel attendant for any passenger that may need extra special assistance. If you need any personal assistance when tr aveling, (this includes, but not limited to, the need of w heelchair assistance, etc.) it will be your ow n responsibility to reserve and pay for an assistant to travel with you as needed.

Single or U neven N um bered Travelers: Tour passengers who are traveling single or in a sm all group with an uneven num ber are always welcom e on our tours. However, due to the double seating in the coach, you may be asked to sit with another single or uneven num ber group so that we may accom m odate all passengers traveling together. Although we do not normally assign seats on our tours we reserve the right to ask any passengers to change seats if needed.

Luggage: The cost of your tour includes one piece of luggage per person to be checked under the coach, and one sm all carry-on piece. An additional suitcase is allow ed at a cost of $5.00 per day and must be paid with the final tour paym ent. You will be responsible for the handling of your ow n carry-on luggage at all times.

Refunds: Travel Insurance or Refund Protection Plan is available on all overnight tours. A refund can normally be issued for cancellations outside of 30 days from your departure (with the exception of air and cruise tours, along with other special tours which are noted - these are different - ask about details). Within 30 days prior to departure, there is no refund without the purchase of insurance or our Refund Protection Plan. Ask about our Refund Protection Plan or insurance available at a minimal additional cost to protect your money on overnight tours. In most cases cancellation is required at least 24 business hours ahead with som e exceptions. This does not cover no-show s on the day of the tour and does not cover departing the tour after it has already departed. The plan may not cover any non-refundable item s at the destination such as tickets etc. An official doctor’s excuse must be provided for any refund. The application and price details can be sent to you for the asking when you make a reservation.

D ress: Casual and com fortable dress and walking shoes are suggested for daytime travel on most all tours. If there are any dress codes required, we will note this on your final itinerary whi ch will be mailed to you.

Smoking and Alcohol: To ensure passenger com fort, we have a NO SM OKING policy on all of our tours. Am ple com fort stops are made for sm oking and restroom convenience. Feel free to request a sm oking or non-sm oking hotel room when making your reservations. No alcohol is allow ed on any tour at any time. We reserve the right to refuse boarding under such circum stances that these policies are not follow ed.

H ost Company: Please note that several of our overnight tours specify “H o sted by Gad-About Tours” at the beginning of the tour description. This means that our sister com pany at Gad-About Tours will be the host on that particular tour. Butler Motor Tours and Gad-About Tours (sister com panies together) do sell in to each other’s tours to allow us to each offer a wider choice of vacation destinations for our travelers. On many of the Gad-About Hosted Tours, they may rotate seats.
