Chapter Publications are undoubtedly incredible showcases of each Chapter’s efforts throughout the year. The Chapter Publication is the most labor intensive aspect of the Achievement Award Program, but an incredibly rewarding chance for Chapters to publish something with their own unique Chapter flair. Both Collegiate and Alumni Brothers alike look forward to the Chapter Publication coming out every year, and each Chapter’s hard work and dedication to the project has not gone unnoticed.

My Goals for Office In giving my election speeches, I made several points very clear. First, I want every Chapter to succeed in the Achievement Award Program. The definition of success for Chapters varies based on their history. For some, 100% on the AAP is a huge accomplishment to be applauded. For others, striving for the Thurston has been woven into the fabric of the Chapter from the beginning. In order to succeed Chapters need a support system and clear objectives, which is another of my goals for office. Chapters that have dominated the Thurston Cup for many years running already have systems in place to keep striving for perfection. However, some Chapters still struggle to know how to improve year to year. I want to provide mechanisms for giving the Chapter feedback to help improve for future years in the form of both qualitative or quantitative feedback based on Thurston Report judging and Chapter rankings.

Reasons for Change Due to the increased quality and length of Publications as of late, the report scoring process has become more difficult to complete fairly and efficiently. Many of the top reports run anywhere from 60-90 pages in length, and each report must be combed through for content and errors by each judge. The Publications are scored by all of the Regional Directors for Communications, and the typical turnaround time was around one month from when reports were due to when scores must be submitted in order to order trophies for the summer conference. In order to allow the judges to devote the attention to detail that the Chapter Publications deserve, the due date for Chapter Publication was moved to the August AAP Report from here moving forward in order to give judges nearly a full school year to grade reports. This decision was made after careful consideration of alternate solutions. One solution was to have certain judges only grade a few reports each. However, this introduces bias into judging even if specific rubrics are in place. Some judges just inherently score certain components lower, and some score higher. This became apparent to me when I was looking through judging sheets from last year in order to send Chapters their averaged scores. The bottom line that I concluded was that all judges should score all reports in order to reduce bias.

Alternate months were also considered for the due date. The concern for moving the due date to April, for example, was that Chapters would not get the “full year picture” in their Publications. For instance, graduations typically take place in May, and pushing the date forward would lose this inclusion.

Common Questions and Concerns

Q: How will the Publication Award be given out at LDS this summer?

A: The Publication Award will unfortunately not be awarded this year. The Chapter Publications due this August will be scored for awards given at Grand Council 2021.

Q: How will the Thurston be awarded this year if the Publication is not included?

A: Each of the other four Thurston Reports will account for 25% of the total weighted Thurston score for this cycle. Starting for the 2020-21 AAP Cycle, things will resume as normal with each of the 5 reports accounting for 20% of the total weighted score.

Q: All of the reports are supposed to contain only activities from the previous calendar year. What about all of the activities lost in the gap between Publications?

A: For this year only it is acceptable to include anything not included in your previous Publication, even if it is more than one year ago. Volume 4 – May Edition ACHIEVEMENT AWARD PROGRAM: PUBLICATION CHANGE

Q: How will our Publication be finished since we will transition officers in the meantime?

A: Your Chapter Publication should be a full year process and should not only be the responsibility of the officer in charge of it. The Chapter Publication (and the AAP in general) is the responsibility of ALL BROTHERS. The change in due date can be seen as an opportunity to have a more thorough officer transition and to have the Publication.

Future Directions

Moving forward, the Publication will be awarded and graded as normal. In addition to getting more unbiased numerical scores from judges, I will be pushing for written feedback from judges as well. Starting in the fall, each report judge will be responsible for written feedback on just a few reports each. In addition, Regional Correspondents are instructed to provide expert opinion on reports from their Chapters and how to improve.

Rubrics for each of the Thurston Reports are currently under construction for release on the Phi Delta Chi website prior to the next AAP cycle beginning. Chapters will now know how they are being scored, how they can improve their operations, and what the numbers associated with each section of grading actually mean.

These changes will not only improve AAP reports, but will also lay out clearer expectations for Chapter operations and event planning. Success can only be achieved if Chapters know in which directions they should go! My plan is to lead Chapters to success by providing a framework for this to happen. Thanks very much for reading. ALPHA TAU ORGANIZES COVID 19 SOLIDARITY RESPONSE FUNDRAISER

Phi Delta Chi - Alpha Tau will be hosting a grass-roots fundraiser through GoFundMe to help accumulate funds that we can, in turn, give to the World Health Organization and their COVID-19 Solidarity Response Fund.

All donations will go towards WHO’s efforts to understand and track the spread of the virus, ensuring providers receive the essential supplies that are required to give their patients the care they need, as well as providing funds to support accelerated efforts in developing vaccines, tests and treatments. Any amount of donations would definitely make a difference in the world. During these unprecedented times, it is critical we continue to live out our motto of “Alterum Alterius Auxilio Eget.”

It is truly self-evident that each needs the help of the other, especially when there is a disease with a global impact. If you can’t donate for various reasons, please consider taking the time to share this post so that we can reach as many people as possible! Our initial goal has been set at $200, but we won’t be stopping there.

All free registrations earned in the 2019-2020 year will be applied to the 2020-2021 year for Grand Council. So in other words you can double the amount of brothers that go to Grand Council and make it the largest Grand Council attended.

My name is Alexandra Guillen and I want to personally thank you all again for electing me to serve as your next Regional Correspondent. This regional conference has been one for the books and I am so excited to serve our region and visit chapters this year. I am a P2 student at the Health Sciences Center- School of Pharmacy. Most importantly, I am the loudest and proudest member of the Beta Rho Chapter in Amarillo, TX.

I currently serve as our Worthy Vice Counselor and have previously served as assistant co-philanthropy chair. As WVC, I work very closely with all of my committees, but especially with my AAP committee chair and Worthy Correspondent. This has given me the opportunity to familiarize myself with the requirements and expectations regarding our Achievement Awards Program and to truly understand all that goes into creating the reports we send every period. Some of you may not know, but the Beta Rho chapter is unique in that we have brothers in 4 different cities, which means we have a total of 10 committees that provide the foundation for our chapter. This year, I have been working diligently with my chairs in all 4 cities to ensure they are each receiving the Phi Delta Chi experience. I have individual conference calls with my chairs if they need them and always maintain an open line of communication whether its via Facebook, phone calls, or text messages.

As SCRC, I hope to pass along to our next Worthy Correspondents the strategies we created to streamline the process of reports, making them easier and more efficient to create. My goal is to have 100% report submissions from all 12 chapters with each of them having the ultimate goal of achieving the Thurston Award. Utilizing my previous experiences, I hope to be a resource to our chapters and guide them to their full potential regardless of where they are located or how many brothers they have.
