City of Bandon CITY COUNCIL AGENDA DOCUMENTATION DATE: February 4, 2019 SUBJECT: Chamber of Commerce Quarterly TOT Expenditure ITEM #: 6.4.2 Report BACKGROUND As a part of the recently executed Agreement with the Chamber of Commerce, the Council requested quarterly TOT expenditure reports. The enclosed report includes a reporting of TOT expenditures for the period of July 1, 2018 through December 31, 2018. It also includes an update on Chamber activities from September 17, 2018 through January 30, 2019, under the direction of the new Chamber Executive Director, Ruthie Painter. Ruthie is unable to attend the February 4th meeting, but will attend and present the next quarterly report. FISCAL IMPACT Not applicable RECOMMENDATION Information only. Any questions about the report should be directed through the City Manager who will relay them to the Chamber Executive Director for follow up. Staff meeting with volunteers revisited the Handbook for proper procedures with Visitors and discussed new policy . The entire business community is encouraged to leave brochures, cards. They do not have to be a member. All businesses are referred for requested services, even if not a member . Started revision of Relocation Brochure for digital and printed access . Visitor Center resources open to the whole business community, maps, brochures offered for individual business use . Cleaning, repairs, reorganization, supplies, carpet clean were done and a new cleaning person hired. Website Bandon.com . Updates, content, and regular posts were needed for visitors . Event Calendar edited and added to on a regular basis for locals and visitors. Library, Washed Ashore, and all merchants encouraged to post events. Business Community and other Events: . Business advising offered and accepted . Director continues with regular visits to merchants . Painter attended State Chamber Conference in October 2018 in Springfield, OR . New Chamber/Visitor Center contract with the city approved November 5, 2018. Painter attended multiple meetings with Greater Bandon Association (GBA) director and board concerning events and event coordinator position . Board Member Larry Langenberg chosen as liaison to GBA on ongoing basis. Board members Rushel Reed and Rick Stillwagon are also on the GBA Board . Director attended Olivia Andor's Merchant to Merchant meetings and planning sessions for 2019 . Painter is on Travel Southern Oregon Coast Board (TSOC) for Destination Marketing Organizations (OMO) . Director will join Washed Ashore Board in February . Board member Anthony Zunino will represent Bandon and the Chamber at the March trade show in San Francisco . Group to celebrate business anniversaries and new members is forming . Ad Group is formed. First meeting will be in February 2019 to review current Marketing and make suggestions for 2019.
