1. Minutes (Beverly) a. Charge to the European Council for 2012-2013 (Margee) i. Luc Moved to approve minutes, Dan Seconded. Minutes approved b. Introduce Prospective New Member Institutions i. LaGrange will be coming this afternoon and their membership will be voted on. 2. Old Business a. Reports on 2012 Programs (Directors), Evaluations i. Madrid-All went well ii. London- all went well iii. Paris-good except for FIAP iv. St Pete-Some problems. (1) Unresponsive students who would not submit paperwork (2) Medical emergency- Peritonitis had a laparoscopy- student was left behind for about a week (3) “Interesting” group dynamics; students not getting along with each other (4) Some students claimed that they were forced to get intoxicated-once student received a warning (5) Coming back- an emergency landing due to fire on plane. Delayed in Latvia for 8 hours. Finally flew to Frankfurt and spent the night. (6) Issue of faculty behavior (7) QUESTION: Should PD stay with a student who is left behind? (a) Irina- yes, student can’t speak Russian (b) Dan- suggested that one person stay with the group in case a student needs help. At least one director, normally site director, should fly with the group to be in charge. v. Berlin- Very good, only minor issues. (1) Barbara brought up Faculty for 2013. She announced that one faculty member, David Broad, withdrew and Lyn Hightower agreed to go to Berlin Next summer but there are issues with KSU. vi. Ireland-A good program with good students. Faculty were all good and helpful. One group of students was “aggressive” about getting out and partying heavily. Problems were minor- a fight, a couple of emergency room visits. Good support from WIT. Mike McFalls came at the beginning of the program to help with transition. b. Program Updates for 2013 (Directors) i. Program Director, Faculty and Site changes (1) Dan Cabaniss used a videographer for 2 weeks in Waterford. Waterford means nothing for recruitment, travel all over Ireland only named for city that it’s based in. Dan C. would like to remove Waterford from the program title; no decision was made. (2) Used godaddy.com to get website (one page with info). Links directly to EC website (IrishGeorgia.com). Spent about $2400 to make video. Could be there for one week but two allowed Bryan Redding to get the feel of the program. Bryan Redding is in Athens. Site: http://www.bryanredding.com/ (3) Jeff Brown made St. Pete and Madrid video (4) Was suggested that everyone has a similar video of equal caliber so programs are not competing. c. Charles Crouch Award i. Take nominees for November meeting. The info about Crouch award is on website. ii. Nominate an outstanding student for 2012. Students are nominated by faculty and chosen by PD. Choose 1 person per program and submit by end of September. iii. Recipient will get gift and name on plaque at GSU. Send nominees to Bev by the end of September. iv. Coordinator needs to remember to remind PD so that PDs can remind faculty. d. Marketing Committee Update (Jeff) i. Jeff not here e. Revise Medical Information Form? i. Table to next time f. Nominations for Executive Committee Members-at-Large i. Already nominated Maria Darley and Jeff Brown. Include in email for morning meetings.

3. New Business a. Program Materials for 2013 (Beverly) i. Brochures ii. Website (1) Jeff wants to update link for a more precise link b. Money Matters i. EC Budget (Irina) (1) All accounts are good with a healthy surplus (2) VSU met with financial services about cash advance for non VSU members. Everyone received a template on how to return receipts and unused cash back to EC office. PDs do not have to exact model, but all information and receipts must be accounted for in a similar fashion (number receipts to correlate with expense form, brief description for all expenses, justify meals that are purchased or they will conflict with per diem) (3) Remember that VSU goes to historic exchange rates to verify expenses. (4) Can use US bank account for debit card and exchange rate will be on the account. ii. CISI Insurance update (1) Renewed contract. Change to $38.75/month. iii. How much to return for waived flights? (Beverly) (1) Last meeting it was decided that $1200 would be deducted and this was still agreed upon. (2) Teddi brought up hating long layovers with Lufthansa and asked to shop elsewhere. PDs need voice on airfare (none in the past) so they can get what they feel is the best airfare for the group. iv. Faculty Compensation (Margee) c. Student Behavior Issues (Dan/Martha) i. None d. Need to sign a new agreement if schools have merged? (Margee) i. Barb- Each school keeps own policy ii. Dan R- purpose is to get admin support, merging causes a change in order and everyone must still be on board. (1) North GA merging with Gainesville to be University of N. GA (2) Mid GA merging with Macon to be Middle GA State College (3) South GA merging with Waycross to be…. Not sure, possibly still S. GA State College (4) Augusta State merging with Medical college to be GA Regents e. LaGrange join EC i. Will be introduced today and acceptance voted on in Nov f. Integrating cultural and linguistic experiences into the summer programs i. Discussion on hours and time… g. Study Abroad Fellowships: To be continued in 2013? i. Fellowship dismantled. ii. This opportunity was created because of funding on faculty development was taken away. We need something, but this is not the answer. h. Looking ahead to new 3-year terms for Directors i. Dan C- 2nd yr ii. Nick Norood- 1st year iii. Martha- Completed 3rd but is keeping on iv. Teddi-2nd year v. Luc-2nd year 4. Other Business or Announcements a. Sept 8: Faculty Orientations for Berlin, London, Madrid, Paris, St. Petersburg, Waterford, Edinburgh i. Edinburgh is moving orientation to Apr 20th because will be in Scotland on May 18th. b. Nov 16: EC Executive Committee at GC Macon Campus
