August 10, 2013

Host: Rotary Club of Preston Center

Call to Order - ZZ Kamruddin  Prayer – PDG Richard Gilman  Pledge of Allegiance – Krista Hartman  Four Way Test – DGE Bill Dendy

Welcome – District Governor Ean Sullivan – Governor Ean thanked our host club Rotary Club of Preston Center who is highlighting the 50th anniversary of the Westapher Golf Tournament.

Secretary’s Report - Andrea Stroh Thompson – All roundtable minutes will be available on the District website, www.rotary5810.org and published in the 5810 Monthly Newsletter. RI Semi-Annual Report and Dues are past due now so please double check to make sure your club has turned theirs in.

Treasurer’s Report – Rob Banes – District Annual Dues are due. Club invoices are being sent to all the clubs and we are asking everyone to double check and make sure they are paid. The monthly District financials are available on the District website at www.rotary5810.org. Email is the quickest and easiest way to get reimbursed for expenses.

Reports DG Ean Sullivan- New name badges are ready for pickup for the current year at Roundtable or when you meet with DG Ean at your club visit. Club visits have begun and are going very well, he has already visited 16 clubs so far. DG Ean is extremely proud of First Lady Jan Sullivan who is collecting funds for End Polio Now and has already collected over $4,000 that will be matched 2 for 1 by the Gates Foundation. Checks should be made out to the Rotary Foundation, and each club will get the points from the Foundation for their donation. The calendar of District Events is on the website but is a work in progress and needs everyone to add their events so that we can try to make sure we don’t have competing events. DG Ean is taking nominations for the RI Service Above Self award which is one of the top recognitions that can be given to a Rotarian. The deadline for nominations is September 1.

1 There is currently a call for DG Nominations (2016-2017). There will be a Q&A session on August 15th at Larry Webb’s house for anyone that may be interested in becoming a DG, or is considering a nomination and wants more information. Nominations will be due Nov. 18, and interviews will be Nov. 23. DG Ean is interested in having more transparency in the process and will be announcing members of the Nominating Committee and candidates, but there can be no campaigning for or by candidates. The draft of the District Directory is available to print or download off of the District website and has been assembled using information from ClubRunner. Governor Ean provided several copies as examples. It will also be formatted for easy viewing on an iPad or iPhone. Members printing their own directory will save the District approximately $3,000. Rotary Club of Brunswick Ohio is doing a fundraiser selling inflatable 8ft. tall Rotary wheels for $289 each. DG Ean is considering purchasing one for the District to use at indoor events.

IPDG Sandy Forster - The District Finance Committee met and found that they have a surplus in the District Reserve Fund over and above what is allowed by the RI MOP so the finance committee is going to be looking for a worthy cause for consideration by the Club Presidents for the next 2 years. One choice is developing another Challenge Grant, the second is to divvy the money up amongst the recent disasters in the area like Moore, Oklahoma, Cleburne and West, Texas, and the third challenge was to provide seed money for a Texas wide Rotary Disaster Relief effort with all districts that participate in Lone Star PETS. DGN Bill Dendy’s daughters’ home in Cleburne, Texas, was destroyed in the recent tornado and it has helped him to identify several areas that Rotary could assist victims of natural disasters in our area. 28 clubs provided feedback, and all the results came back in a slightly different format with different feedback so there is difficulty in determining a consensus. Therefore, DG Ean is recommending that the results be given to the Finance Committee to attempt to glean from them what they can and move forward with a recommendation.

DGE – Bill Dendy – DGE Bill, DGN Larry Webb and PDG LB Showalter went to Roundrock last weekend and attended the Multi-District Training Institute. The training was much more informative than it had been in the past. At the training, DGE Bill presented on the Texas wide Rotary Disaster Relief (RotaryDisaster.org) effort that is being suggested and received commitments from several other Districts, including at least one in Oklahoma. This would also include a website where donations could

2 be made that would go 100% to the local disaster, rather than to an agency that will keep some for operational costs. Lone Star PETS will be Feb 28 – Mar 3 and is mandatory for all Presidents-Elect.

DG Nominee – Larry Webb – In the rollout of the new website on Aug. 15 you will see subtle changes to the way the Rotary emblem and wheel are displayed, but they are NOT doing away with the wheel as has been rumored. All clubs will need to be diligent about changing over the graphics in our own club materials. DGN Larry also attended the Multi-District Training Institute in Roundrock last weekend and found it to be extremely helpful in preparing for his leadership role.

Leadership Development – PDG LB Showalter PDG LB Showalter also attended the Multi-District Training Institute and explained that it was made up of people throughout the area that are interested in providing more information for District leadership to help ensure that Districts are successful. The content is developed by extremely high level Zone leadership and experienced Rotarians and is extremely helpful to attendees. District Conference – John Ernst – We haven’t established a theme yet, but it will take place May 1-May 4, 2014, at the same location as last year in Rockwall. The committee is already working to ensure that it will be a fun, festive, and informative weekend to celebrate our District. Friday will be an “All Club” Luncheon and it is the hope of the committee that this will replace all District club meetings that week. Saturday morning will be the District Assembly, and in the afternoon there will a District wide picnic. The focus of the weekend and the publicity will be End Polio Now. There will be no seminars, business meetings, and no By-Law changes, just fun for the whole family! Rotary International Leadership Institute – Mary Ellis - There have been over 400 graduates since the program started. We are looking hard at the curriculum to make sure it is unique and useful. There will be an alumni reunion Saturday 9 am – 1 pm, August 17, at First Christian Church in Plano which will be a fun time and a great way to reconnect with past graduates. The next class will be October 26-27. Rotary International Convention – Karl Clauss - June 23-26, 2013, in Lisbon, Portugal, was the last RI Convention and was the largest event ever held in Lisbon. The next RI Convention will be in Sydney, Australia. Our Texas delegation enjoyed a boat cruise and dinner which was a wonderful time of fellowship.

3 Rotary University – Kim Holland – www.Rotaryuniversitysouthwest.org is the new website for Rotary University. The first meeting will be held September 21st on Rotary Basics and will cover the history and basics of Rotary. Club Operations is the topic for October 12, District Ops will be November 2, and the final class on Global Operations will be December 7. The classes take place at SMU campus in Dallas. Membership Development – Howard Templin will be heading up Membership Development in the new Rotary year. The Membership Seminar will take place September 28th. This will be the first of 3 seminars during the year. PE Success Training – Bill Dendy – This training will be held at the Plano Chamber, immediately after the September Roundtable on September 14th. The event will not include lunch, but will not include a fee.

AG Reports – Assistant Governors are starting to visit with clubs. Bonham Rotary Club is having their 2nd annual Skeet Shoot today. Next year they plan to have a District wide club challenge and have a travelling trophy for the event. The Dallas Rotary Club is working with Veterans Coalition to reduce the unemployment rate with Veterans and they have started a career development program. There will be 3 tracks: reintroduction to the workforce, start their own business, or improve their existing business.

Foundation Committee – DRFC Glen Rowe Last year we had $363,000 in donations to the annual fund and $487,000 in total giving, most of that was to End Polio Now. This is the first year of the new grant process so we are working hard this year to compile statistics to show ways the funds were used, and successful models for grant applications. Currently we have close to $215,000 that we can spend on Global Grants. They are very time consuming and tough to put together with the way that they were restructured a couple of years ago. If the money is not handled appropriately, then the District is responsible, therefore the application, screening and follow up are much more intensive. These funds are taking the place of Humanitarian grants, GSE and Ambassadorial Scholarships that used to be handled at the RI level, that are now up to each District to implement if they choose. Each of these require a partnership with a Rotary club in another country because you must have one local and one international club participating and do a community assessment to have buy in from the community on whatever project is proposed for a Global

4 Grant. There is no time limit for these grants, so anytime they can be proposed, please do so, there aren’t deadlines for submission. District Grants – DGSC John Moser - We had $75,000 available in grant money, but we had $78,000 of requests. Therefore, each club will get one grant approved and you will get 95% of what was requested. $70,000 of the grant requests were local, $5,000 were international projects. Foundation Seminar – DRFC Glen Rowe – February 15 at the Biblical Arts Museum will be the next Foundation Seminar from 9 am – noon. Attendance at the seminar by a club is required to be eligible to apply for Global Grants. Peace Symposium – Courtenay Tanner for Bill Sanderson – SMU is going to host the event again and is looking for another date in January. Foundation Gala – Krista Hartman – The next District Foundation Gala will be held on Saturday Feb. 22, 2014, at the Hilton Anatole Grand Ballroom. We are not revealing the theme until October. Wed., September 18 will be the first committee meeting at a location TBD. One live auction will be 4 tickets to the men’s NCAA Final Four at Cowboy’s stadium, including a limo ride to have dinner at Ken Rathbun’s home.

New Generations – John Curtis Interact - Tracy Gomes, Lyle and Sandy Probst, and Vicki Rowe – Their first job is to organize the Leadership Seminar. We have 50 Interact clubs in the District which is a big increase over the last year. We have 7 of those groups that aren’t certified yet. Please check clubs and make sure they are still certified. September 28 there will be an Interact Leadership Training event at Hillcrest High School. Rotaract – Daniel Long - We have 10 clubs in the District and need to work on adding more. RYLA –Jim Duffy & Beth Anderson – We had another successful year with tremendous campers. Rotary Youth Exchange – Sam Zarro – Katrina, a new member of the Dallas Rotary Club, is a visitor today and is a past Youth Exchange student.

Community Awareness & PR – There will be a concerted effort made to reduce the number of emails that are sent out on behalf of the District. We are limiting the number of emails that go out to the general Rotary population and District Leadership to one time a month with a District Leadership. In order for this to succeed, people are going to have to read and respond to the Newsletter, otherwise, we will have to go back to sending out multiple emails to the District. District Presidents and Presidents Elect will be getting more communication because of their positions.

5 District Website - If you would like to include information on the District Website, www.rotary5810.org, please contact Kent Stone at [email protected] Facebook – Will be updated continually and will contain all District events and pictures. We are up to 1679 likes on our Facebook page! www.facebook.com/RotaryDistrict5810 or you can send information to Lori Crider at [email protected]

District Events & Resources There is a new District Event Resource team that is being let by Courtenay Tanner. Their goal is to have written guidelines on the District Website to help clubs with resources for their events. i.e. good venues, vendors, etc. that clubs can use as a reference rather than having clubs do the same research for their events over and over. Blood Drive – Daniel Long – A blood drive is being planned for the District Celebration. Operation Veterans Support – Barry Jordan – Many Veterans have to fill out 400-500 forms to get their benefits and Rotary can fill in some of the gaps for them until they get all of their benefits. Please make an effort to work with Veterans and consider supporting a Veterans project. Tuberculosis – David Crist – Worldwide TB is increasing. India is running out vaccine because there are worldwide shortages. 1.4 million people died of TB last year, this is a decrease, but still a tremendous loss.

New Business and Announcements: Preston Center – Will be having their 50th Anniversary golf tournament, October 14, 2013, at Stevens Park Golf Club. Preceding the golf tournament is a Silent Auction on October 6. Preston Center Rotary Club - Hosting a fundraiser that is a morning dove hunt on September 1, for $50 a gun. Plano Clubs – September 11, all of the Plano clubs will be hosting a joint meeting to host the speaker Helen Reisler, the President of the New York Rotary club on 9/11. Preston Trail Rotary Club – Splash & Dash event on September 13-15. They sell funnel cakes at the event and earn a tremendous amount of money.

This new club will be a family friendly club that are considering things like babysitting available at their meeting or events and meetings that are family friendly.

The next Roundtable Meeting is September 14, 2013. Meeting was adjourned at 12:10 pm.

Respectfully submitted,

Andrea Stroh Thompson District Secretary
