We are “Living Stones” ST ANNE’S PASTORAL PARISH COUNCIL CONTINGENCY PLAN

Background The purpose of producing a contingency plan for the parish is to anticipate the actions that would need to be taken to keep the parish functioning in the event of Fr Dennis being unavailable to undertake his normal duties.

Issues A celebrant for the Eucharist would not be available. Action: Ring Canon Bowdren (Dean) Tel: 01457 852351 [email protected] to see if locum priest can be provided.

Baptisms, Confirmations, First Eucharists, Funerals, and Marriages would all be affected. Action: Ring Canon Bowdren (Dean) Tel 01457 852351 [email protected] to see if locum priest can be provided.

Parish finances and banking would need to be managed. Action: Andrew Etchells to bank, Dean to sign cheques.

Decision making would be affected. Sundays would be the main issue – midweek not too much of a problem. Action: In absence of locum priest, Eucharistic Ministers to organise Sunday and midweek services (readings + Communion). Communion Hosts will need to be arranged via Dean.

Parish Centre financial and general management, maintenance and security. Action: The Finance Group (Andy Etchells, Margaret Swift & Rob Aldous) to manage day-to-day activities with authority to co-opt as needed.

The Finance Group to take all bookings.

Suggest set level of essential property expenditure authorisation at £500.

Action: For large property expenditure call Diocesan Property Department Nottingham 0115 9539802

Action: The Caretaker to be responsible for Parish Centre security, Ian 01298 26745.

Church and house management, maintenance and security. Action: The Finance Group to take responsibility for checking mail, arising bills and running cost payments.

Parish & Nottingham Diocese Communication Action: PPC to nominate contact person with responsibility.

Action: Parish Secretary to create Bulletin in conjunction with PPC Chair and PPC Communications Representative.

Buxton Council of Churches and ecumenical matters Action: Liaison via John and Jackie Pocock.

Parish Records – Maintenance, Requests for Information (e.g. confirmation of baptism) Action: Locum priest or Dean to maintain records and respond to requests.

Pastoral Parish Council The PPC now has a formal structure of representatives in place that could act in a concerted way to maintain communication links between groups and individual parishioners.

Most parish groups function independently but could direct problems to the PPC to try to resolve if needed.

In the event of Fr Dennis being away for any length of time the PPC would communicate with Parish Groups to reinforce this formal emergency instrument.

Finances Peter Kennington provides accountancy services. 01298 24829. The Finance Group to control parish finances and report to PPC. The Finance Group to be accountable to Nottingham Diocese, along with John O’Meara Jnr for matters concerning Gift Aid.

Management In the event of Fr Dennis being away for any length of time, management of the Parish would be undertaken by the PPC.

The PPC may decide to appoint a small management team to undertake various essential duties and take essential decisions on behalf of the PPC.

The Finance Group would manage the finances, but the PPC could co-opt other suitably qualified people to help as needed.
