Peterborough Health at Work Committee

TERMS OF REFERENCE Reviewed and revised March 2014

VISION A community where all workers and workplaces are healthy and productive.

MISSION The Health at Work Committee of Peterborough works collectively with local workplaces to inspire, create and celebrate a culture of wellness.

GOALS 1. To promote and support locally relevant wellness initiatives in workplaces in the City and County of Peterborough. 2. To plan and implement initiatives which contribute to the development of healthy workplaces. 3. To promote and participate in locally relevant research, when appropriate. 4. To conduct evidence-based planning. 5. To build capacity of the Health at Work Committee to further workplace wellness in the community.

GUIDING PRINCIPLES  We collaborate by working together to share resources, planning local initiatives and setting priorities.

 We speak to employers using their language and values acknowledging how workplace health has a positive impact on the bottom line.

 We utilize a comprehensive workplace health promotion model and recognize how health and safety, lifestyle practices and organizational culture all fit together to positively impact both employee health and workplace success.  We create and implement initiatives based on health promotion strategies including education activities, skill building opportunities, supportive environments and policy development.  We understand our employer community through research directed at uncovering employer attitudes, needs and interests related to workplace wellness.  We aim for sustainability. Community workplaces plan and implement initiatives that have: the commitment and enthusiasm of the group; sufficient availability of resources; and the potential for sustainability of the activity and/or its outcomes/benefits where appropriate.  We do not endorse or promote the services of for-profit enterprises.

MEMBERSHIP  Membership is open to all organizations and individuals in Peterborough City and County who support the goals and objectives of the Health at Work Committee of Peterborough.

 Members must be in good standing (see Members Roles and Responsibilities below).  Members must declare conflicts of interest.

…2 ROLES AND RESPONSIBILITIES

Chair/Co-chairs  Set and distribute the agenda  Review minutes before distribution to members  E-mail a reminder notice, copy of the previous meeting minutes and agenda to members  Email correspondence to membership as required  Review and approve any official outgoing correspondence before being sent out  Complete paperwork requested from funders (when appropriate)

Recorder/Minute-taker  Take minutes during the Health at Work Committee meetings  Type and submit minutes to the chair/co chairs at least one (2) week after the meeting

Members  Maintain good standing: attend at least two-thirds of meetings.  Telephone regrets/acceptance to the chairperson at least one (1) day prior to the meeting  Forward agenda items to the chair one (1) day prior to the meeting  Attempt to participate at all organized events planned by our group  Provide input/feedback for decisions made outside of the regular meeting  Provide support on projects as needed

MEETINGS  Meetings will be held a minimum of six (6) times a year and will be kept to about one and a half (1 ½) hours in duration.  Decisions will be made by consensus.  Information gathered from our workplace intermediaries is considered confidential and is not to be shared outside of the Health at Work Committee (in situations of internal reporting requirements for community partners, this can/will be decided on by the group on a case by case basis).
