REPORTS

PRESIDENT – Glen Drake Dear members, 2010 has been a busy and rewarding year and as in years previously enjoyed, a long list of positives outweigh the negative, and I thank my fellow executive members, our member clubs, so well presented by their delegates and committees and also our very important riding membership. It has been a very busy year at all levels and I extend my appreciation to all who have contributed so willingly of their time and expertise to help our zone hold a strong and respected position within the state. We all acknowledge that our executive members have once again given our zone an enormous base to work from. There is a section of our administration that is sometimes overlooked with the recognition that it deserves and I would like to dwell on the responsibility that lies with every club committee member. Our clubs have the responsibility of guiding our most valuable asset – our children – with their early steps in life teaching them skills that will stay with them for their lifetime. It is my personal opinion that our junior members through their association with their clubs and their loving friends – their ponies – are given an opportunity to enjoy their very formative years. So to all our clubs and their committees, we thank you. 2. We all realize that the time spent on the pony’s back is very short compared to the time and effort our children allocate to feeding, grooming and generally looking after their prize possession on a daily basis. My prize appreciation is knowing that at club level your input with our children’s future cannot be accurately measured and while our movement only forms part of their experiences on their ride into the future, I am convinced that it is a very important section. Nothing satisfies me more than to see our little “ankle biters” develop not only through the movement’s grades, but on into the future and far beyond their pony club riding days. To all clubs administrators, I thank you all very sincerely and hope that you will be around to see the rewards – just as I have. Thank you all. Glen Drake

BARWON ZONE CHIEF INSTRUCTOR – Maxene Argento I would like to thank all the members of the DCI/ZA Panel for giving of their time to help as a volunteer in the Pony club movement with club visits to help the clubs understand the website and Pony club rules and by laws. Also with coaching, examining and helping the clubs work through the certificate system. We have had 2 groups of “K” candidates working through their requirements – the first group from Bacchus Marsh and one from Ballarat have all passed this certificate. The second group of 5 from Ballarat have completed the written paper and are working towards the practical day. Ian Box, Sam Krause, Joe and I attended the DCI/ZA Workshop at Monash Pony Club on 17th July 2010 which was well attended and was a chance to catch up with other members of zone panels. Members of the Panel have been attending the PCAV Coaching workshops to improve their skills to keep them up to date with the pony club requirements. I would like to thank Margaret Battye for the great job she is doing organizing the “C” Candidates, clubs and examiners, as we have one of the largest intakes in Victoria. Margaret has quite a maze to work through putting this all together, plus the paperwork to PCAV re: the “K” Certificate.

BARWON ZONE EXAMINING SECRETARY – Margaret Battye The last month has been a busy one again with approximately 33 riders presenting for their “C” Certificate. A definite number shall be given when all the results come in. The examiners have really worked very hard. A big thanks to them and to the participating clubs for being patient when I organized everything early so we could go on our holidays. There were 5 “K” Candidates that sat their written paper in July. There still seems to be some confusion regarding the “C” paperwork necessary to be sent in to me by the closing date. The necessary documents are: 1) Completed “C” Candidate Checklist sign off sheets. 2) Official Application Form for all Efficiency Tests from C and above. ( This form has been around since 1991 as can be found on the Barwon Zone website.) I shall try to have Deb Irving put them on the zone website.

3. A reminder that the closing date for “K” Candidates sitting their written paper in December is Friday 8th October 2010. Please make sure any applications are received by me by then.

BEDS – Caroline Shirra We are 4 rounds into our 8th year of BEDS. All rounds have had record entries with round 1 having 240 competitors. The grading system in most cases is working well. HRACV entries are still approximately 1/3 of the total entries. We have spent the last few years training some of our Grade 1 & 2 riders to judge. They started out doing some penciling and are now competently judging Gr. 4 & 5. We would like to acknowledge the continued support and assistance of Gail Norris and Vick Ladhams. It is also overwhelming the amount of support and assistance that each of the host clubs gives each other, which is a condition of being involved in the series. WE both went to Sale to support our BZ teams at the State Dressage & S/J Championships. It was very satisfying to note they were all riders that have ridden in the BEDS. We would like to remind clubs that Ballan BEDS will be at Elcho Park and that any clubs wishing to host BEDS in 2011 need to write to Coral or Caroline before the Final at Drysdale on 24th October 2010.

ZONE EVENTS SECRETARY: Caroline Shirra The Barwon Zone Dressage & show Jumping Qualifying Championships are to be held at Colac Pony Club Grounds on Sunday December 12th 2010. Entries for this event will be circulated shortly.

ZONE REPRESENTATIVE: Deirdre Davey 1. The Query sent to PCAV BY B/Z re: horses paddling in the water jump before jumping at horse trials is being referred to the Rules Committee. 2. The Query re: lungeing area requirements – Answer: a fenced area where no other activity is happening. Entry forms should state whether a lungeing area is available or not. Clubs are not obliged to provide a lungeing area. The fence for the lungeing area should be solid. 3. Break away cups on the show jumps are to be compulsory for all PA & PB state level events and are preferable on all other grades. 4. There is to be a change of date for subs in 2011. Payment will be required on the 15th May 2011. this will enable late memberships to be picked up and cards issued more quickly. 5. The stepping stones game will replace the tent pegging at the State Games Championships in 2011. 6. The Fall of rider is to be discussed and reviewed by the State Rules Committee. 7. Not all BZ saddle blankets are back yet from the Interzones competition. Please check with your club’s riders who attended. 8. PCAV recognized Distinguished Service Awards to 3 Barwon Zone people – Beryl Gamble from Colac P/C, Pam Whitten and Jane Nevile from Barwon Valley P/C. Congratulations and well deserved to these 3 ladies for their outstanding service to their clubs, the Barwon Zone and State Level over many, many years. It would probably total over 100 years of service with their combined total of years of service. Well Done Ladies!!!!!!!! 9. PCAV recognized Awards of Merit to Rachael Cocks – Ballan P/C, Kerrie-Ann Evans and Megan Tainsh – Corio/Moorabool P/C and Noelle Crooks – Colac P/C. Well done and congratulations to these riders.

2011 STATE DRESSAGE & SHOWJUMPING CHAMPIONSHIPS – Deirdre Davey The 2011 State Dressage & Showjumping Championships are to be held at Elcho Park Equestrian Centre on the weekend of 26th & 27th February with the support of Corio/Moorabool & Little River Pony Clubs. The schedule has been typed up by Secretary Judy Beasley and sent off to PCAV for checking before it is sent out to clubs and zones. The Dressage and Showjumping Judges have been confirmed. The B/Z is looking for all clubs to be involved with the event in some capacity. An Expression of Interest form has been emailed out to all clubs asking for volunteers to help set up, coordinate and supply helpers for the dressage and S/J rings. Other jobs will be advised in the coming months. The Oganising Committee is also looking for sponsorship, donations for the raffle and items to put in the competitor show bags. Please contact the Secretary if you have some contacts or require a letter of request. The B/Z would like their teams to have a special uniform for the event. Action: Clubs to go back and ask riders what they might like to wear at the State Championships and report back to Secretary Judy.

GENERAL BUSINESS 1. Letter from Ballan P/C re: addition of a short sleeved shirt to their uniform. After a short discussion and explanation of its proposed use and style. Di Wion moved a motion that the short sleeved shirt be accepted by the Barwon Zone. Seconded by Caroline Shirra. Carried 2. Letters from Ballarat & Drysdale/Leopold P/Cs re: the “C*” Certificate. The BZ Chief Instructor, Maxene Argento explained that the “C*” Certificate is available to all riders in BZ. In the Panel’s opinion the C* is for older and more mature riders with horses that are competent in jumping, dressage & lungeing etc. The “K” is for all riders from 14years with ponies and horses that more all rounders. Maxene is happy to sit down with clubs to discuss the requirements. Clubs shouldn’t look at the C* as any easy option as it is quite involved and a higher standard in all areas is required. In the K riders have a choice of options that suit their abilities and experience.

3. A comment was made that a lot of riders don’t like putting their horses through the 40km ride. Nikki Hartney moved that the BZ write to PCAV and ask if the 40km ride could be mad an option rather than compulsory. Seconded by Caroline Shirra. Carried

A Certificate Information Night was suggested. Action : Maxene and Margaret to organize a Certificate Information Night to go through the format of Testing, Certificate requirements etc. Judy and Maxene to work a date and a note will be sent out to all clubs. 3. BEDS Round 4 – The Barwon Zone wishes to acknowledge that the change of venue from Portarlington to Elcho Park Equestrian Centre for the BEDS round 4 competition was a rushed decision, but with only 2 days to go before the event and bad weather forecast for the weekend, the change of venue was made with the safety of riders and horses as its major priority. The zone wishes to thank all the clubs who chipped in to help out on the day with such short notice. The zone would like to stress that clubs need to constantly assess their grounds and have alternative plans in place early, if bad/extreme weather conditions are forecast or have been occurring in the lead up to the event. And remember the Zone Rep. has the final say on suitability and she should be consulted if you have doubts and concerns about your grounds for a particular event. The zone is drawing up a set of guidelines to be followed for future use in these circumstances. If you have some ideas on the matter and would like to put forward some suggestions, please forward them to the zone rep. or zone secretary, asap. 4. Barwon Zone Showjumping Squad – Ian Box has been approached by a number of clubs enquiring about starting up the Barwon Zone S/J Squad again. Is the B/Z agreeable and clubs interested? Things to consider : – Sourcing high level coaches. - Keeping costs to a minimum. - Weekends are scarce – perhaps camps could be run during school holidays on a Friday/Saturday. - Theory element to be included. - Guest Speaker at night – Vet, overseas competitor etc. - Start maybe April 2011? - Previous cost was $100 – 3 lessons per day for 2 days with some theory. - For levels PA, PB & PC. - Need a suitable venue – 3 clinics per year – 4-5 riders per group. Action: Delegates to take the idea back to clubs for discussion and to gauge interest from riders. Bring back ideas and offers to host camps, to the next B/Z meeting in October. 4. State Qualifiers – H/Ts – when can they be run? Answer: They can be run all year round. Riders may only get 1 qualification in the previous year.

AROUND THE CLUBS Smythesdale – Due to the heavy rains we have a change of date for H/Ts – now the 21st November 2010. Many X/C jumps have been washed away – gates, river crossings are still under water. Ballarat – 8 “C” riders have passed, 5 ‘K’s have done their written paper. Waiting on the practical day. Last rally was cancelled due to wet conditions. Thanks to the clubs hosting BEDS days and to Coral & Caroline. Our riders are really enjoying them. Leighdale – 3 ‘C’ riders passed at C/M. Organising a Christmas camp. A Junior Committee has been formed. We have a new president and secretary. Thanks to the outgoing president/secretary. Barwon Heads – Maxene reported that the club held a workshop recently re: their future. The club has been at the present site for 45 years. Many options were discussed. In the short term – they would like to stay there as the grounds are close to most people’s homes, get the area fenced. They may go to other venues up to3 times per year. In the long term – they would like to look for a bigger ground. It was a good and productive meeting and well supported by the members. Portarlington – We had our DCI visit – all went well. Had 1 ‘C’ pass with another 6 to come. We have a few new members. Colac – 4 ‘C’s passed. Our H/Ts are in October. We are also visiting B/Vs club grounds in October and Little River are coming tour grounds in November. We have run clinics and a BEDS day Query : We have trouble doing the draw for our H/Ts. What is the protocol for late entries? Answer: Suggestions were made – the closing date is the cut off – no entries accepted after that date. Leave a few spaces in the draw for late entries. It is your event so use your rules re: this matter.

4. Barwon Valley – 5 ‘C’s passed. The BEST Series was very successful. Thanks to John Wootten, who was the Course Builder for all 3 events. The judges commented on how much the riders have improved over the series. 100 + riders attend each competition and they were not always the same ones. And all did the 3 rounds of the competition. We are looking for other clubs to come on board next year to make the series into a bigger competition. Contact Lee McFarlane if interested in joining. Little River – We hosted the 1st round of BEDS and had 240 entries. We had 185 riders at our ODE and had to refuse 50, mostly open riders. Thanks to the clubs who provided jump judges on the day. 6’C’s passed - thanks to Denise Turcinov for running a great day for them. We have a Council grant of $1500 to buy some portable X/C jumps and we are using some of our BEDS money as well. We have 6 riders doing their ‘K’. Is any club looking to run a 40km ride in the near future that we could join onto? Bacchus Marsh is planning one. Drysdale/Leopold – Our BEDS day is coming up shortly. Work is happening with our water jump and the Junior Committee is raising money towards it. We have a joint grant with the Geelong S/J Club to by some new bunting. A Suggestion – Clubs sending out entry forms should consider putting them online and have a direct deposit system – it saves money and time and email address bouncing back. Ballan – BEDS day coming up. We have a contingency plan if weather is bad. We have 5 new X/C jumps thanks to clubs supporting our 2 previous ODEs. We had a visit from some Polocrosse professionals – riders really enjoyed the day. We have put in for grant for a general purpose arena. AND we have NO MORE cattle on our grounds!!!!! PCAV AGM & CONFERENCE: There is a new Vice president – Vicki Kneebone. Claire Lewin has been appointed as the PCAV Executive Officer for the next 3 years. There was a push to change the composition of the games teams to teams of 4 riders instead of the present 7 and have Junior and Senior Teams – didn’t get passed.

BARWON ZONE GENERAL MEETINGS – NOW MONDAYS The final Barwon Zone meeting for the year will be the ANNUAL DINNER MEETING to be held on Monday 25th October. The Dinner meeting is to be held at the Barwon Hotel (Colac side of the bridge) in Winchelsea at 6.30pm and will be followed by the general meeting. So why not organize your club executive and a few other members to come along and enjoy a counter meal and fellowship with other clubs in the Barwon Zone, and learn a little more about the zone and pony club. STATE INTERZONE TEAMS HORSE TRIALS – WERRIBEE The State Interzone Teams Horse Trials for Grades 3 & 4 was held at the Werribee Park National Equestrian Centre on 24 -25 July, 2010. Well done to the 27 Barwon Zone riders who competed at this weekend. From all reports everyone had a great time and made lots of new friends with riders and families from other clubs in the zone and state. I would like to pass on my personal thanks to all the parents and friends who took on the various jobs over the weekend so that the event could run smoothly. Well done!!!! 2011 BARWON ZONE EVENTS CALENDAR The 2011 Barwon Zone Events Calendar Application form has been included in this mailout. Could you please fill in your preferred options, in order of priority, for consideration. As you all know the events calendar is becoming more and more congested as clubs, schools and the PCAV add more and more events, competitions, clinics etc. to the calendar. If this trend continues, you are just going to have to clash with other club’s activities, or you going to have to cut back on some of the activities you are planning. There are many other ingenious ways to raise funds other than running horse competitions. Some great ideas used this year – sausage sizzles, car boot sales, chocolate drives, horse/sheep poo sales, trivia nights, movie nights, shopping trips, just to name a few. It is now acceptable that you may run a competition on a State run competition, if you feel it won’t jeopardize your event or the State event. Remember also, that ODEs are not to clash with one another. The BZ executive will be looking at the dates during February & March to fit in clubs who can run senior ODEs. There are only 4 Sundays in Feb & March 2011. Please check this year’s calendar before choosing dates as you can’t take someone else’s dates. BARWON ZONE DRESSAGE & SHOWJUMPING QUALIFYING CHAMPIONSHIPS This day will be hosted by Colac Pony Club on Sunday 12th December. Please let your club members know that it is coming up – Dressage Grades 1,2 & 3. S/J Grades PA, PB, PC.
