JOB POSTING – MEMBERSHIP COORDINATOR
Job Title: Membership Coordinator Department: Member Services Reports to: Membership Director Objective: Assists in all aspects of the Membership Department’s activities
Duties and Responsibilities:
Daily Tasks Manage requests for event reservations, membership information, billing questions, etc. Ensure consistency throughout membership databases – ACT and Jonas and the UL website Act as the frontline contact for the members, candidates and prospective members o Give tours/information on the Union League of Philadelphia for all members, candidates and prospective members o Provide administrative assistance within the department including: mailing sponsor letters, sending invitations (print and e-vites), facilitating mail merges, keeping files, etc. o Prepare and order materials for membership packets given out on a daily basis Monthly Tasks Attend/work Prospective Member Receptions, Admissions, New Member Orientation Tours and New Member Induction Dinners Coordinate all aspects of the Prospective Member Reception: send invitations, accept reservations, inform proposer and call/email all invitees if they have not responded by rsvp date Maintain contact with Prospective Members o Convert prospective Members to Candidates and assist through the membership proposal process o Track statistics through ACT database o Create monthly posting list o Send an E-Newsletter to Prospective Members and Candidates through Swiftpage Attend Member Relations Meetings and record minutes Organize the Ambassador Committee o Prepare training materials and organize tour groups o Schedule semi-annual meeting prior to the Prospective Member Receptions Yearly Tasks Send thank you and appointment letters to the Ambassador Committee Reach out to members who submit graduation announcements - encourage sons and daughters to join as Junior members Work within the department on special projects to be determined Reach out to resigned members semi-annually to encourage them to rescind their resignation
Skills Required: Salary: Commensurate with experience Bachelor’s degree required Professional appearance and manner Accurate data entry Good oral and written communication Proficient in Microsoft Windows/PC skills Excellent customer service Flexible work schedule Efficient and organized Detail-oriented
