DAILY DEPOSIT PROCEDURES AS OF MONDAY, 1/26/09

MISCELLANEOUS DEPOSITS:

INCLUDING: LIBRARY / CLARION / FOUNDATION TO DISTRICT / FACILITIES / TECH SERVICES / COMMUNITY ORCHESTRA / ANY OTHER MISC

Please be sure all checks are made out to Madison Area Technical College or it is possible that the UWCU might not accept the check(s). For an example: checks that might have been made out to “The Clarion” should say “Madison Area Technical College - Clarion”. Please advise any payers, if necessary, to make this change before remitting future payments.

1) Complete the Miscellaneous cashout deposit form, attaching all tape totals and any other documentation to the deposit form. (Attach check stubs to this sheet and do not send them to bank). Be sure to keep a copy of every deposit you make in your own files. This is very important and required of you, should anything ever get lost in transit.

2) Put the cash, coin and checks into an envelope or bank bag. Please include a check tape total in the envelope for the bank, and you will also need to attach one to your deposit sheet for our records, unless you have another printout of names and/or check amounts for reference.

3) Take the deposit to the UWCU and complete a deposit slip when you arrive, using savings account 3447952-01. You will need to ask for the Madison College miscellaneous deposit endorsement stamp and stamp your checks at the service counter at time of deposit. We are only ordering one endorsement stamp to keep with UWCU staff rather than try and supply one to everyone making infrequent / miscellaneous deposits. (If you are located at the Downtown campus, please bring your deposit to Financial Resources, Room DTD015 and ignore next step).

4) Attach the deposit slip receipt to your cashout deposit form and any backup materials and take immediately to the Welcome Center. Delayed submittal of deposit materials will not be tolerated and must be taken to the Welcome Center that same day.
