ABOUT PCMA:

Headquartered in Chicago, PCMA represents more than 7,000 meeting industry leaders from 17 chapters in the United States, Canada and Mexico. Our members include planner professionals, suppliers, faculty and students. Aside from students and faculty, members are categorized as either a professional or supplier based on their position.

PCMA membership is nearly an even split between suppliers and professionals (54% professional; 46% supplier). Both types of members are comprised of people at all levels within their organization.

ABOUT CONVENING LEADERS:

One of the ways in which PCMA achieves its mission is by hosting more than 4,000 industry professionals at its January annual meeting: Convening Leaders. The Annual Meeting consists of more than 120 educational sessions and networking events. PCMA strives to offer leading edge and creative solutions to introduce Convening Leaders attendees to concepts, tools and applications they may utilize for their organizations and meetings/events. As the leading meetings industry association, PCMA purposely hosts the first annual meeting of the year. PCMA strives to showcase new, creative and “cutting edge” sessions and events with flawless execution.

PCMA Official Hotel Hospitality Desks:

All official PCMA hotels will set up a Hospitality Desk to welcome attendees and provide helpful local and meeting information. Located in the hotel lobbies and staffed by host city volunteers (Saturday and Sunday) and hotel employees (Monday – Wednesday) – hotels to provide table/chairs, host city to provide staffing/signage. Providing beverages is required, providing food items is optional. PCMA to provide final program information, etc.

Reservation Method:

Attendee hotel reservations are booked through Experient, PCMA’s Housing Vendor. Staff and VIP reservations will be submitted by PCMA as rooming list to Experient. Experient will submit all reservations to the PCMA Room Block via rooming list on December 17, 2019.

An Experient representative will be onsite beginning on Saturday, January 4, 2019. Should there be any housing questions, please contact Erin Hayes on 330-888-2979.

F. SAFETY, SECURITY, FIRST AID, EMERGENCY ACTION PLAN

PCMA’s official Emergency Action Plan will be provided to all hotels, Moscone Center and San Francisco Travel.

Accessibility for Persons with Disabilities:

The Americans with Disabilities Act (ADA) forbids discrimination against individuals with disabilities. In compliance with the ADA, all PCMA Convening Leaders official facilities, including Moscone Center and all official PCMA hotels, provide for reasonable accommodations to allow physically challenged individuals to participate in all Convening Leaders activities.

No Smoking Policy:

For the comfort and health of all attendees, smoking is not permitted at any PCMA functions. MOSCONE SOUTH and all public areas of all PCMA hotels are designated smoke-free environments and most PCMA official hotels are completely non-smoking facilities and do not offer smoking rooms. Designated outdoor smoking areas are available at the MOSCONE SOUTH and official PCMA hotels.

Responsible Drinking Policy:

Recognizing the emphasis on networking done through receptions and social events and the potential for alcohol abuse, the PCMA Board of Directors has issued a statement encouraging responsible drinking. Supporting this policy, all PCMA sponsored receptions will offer nonalcoholic beers and soft drinks. Alcohol will not be served to anyone under the age of 21. G. I. AUDIOVISUAL/PRODUCTION SERVICES Freeman AV is the PCMA vendor for all audiovisual, lighting and computer equipment inside the convention center. Freeman Creative and Freeman Exposition Services will provide all production services for PCMA, unless otherwise noted on individual function sheets.

PCMA SOCIAL MEDIA/PCMA VIRTUAL/HYBRID MEETINGS Social media is widely used by attendees and that does not stop during Convening Leaders. It’s is highly suggested and encouraged that MOSCONE SOUTH and all official PCMA hotels (during all PCMA events) monitor social media activity at #pcmacl and @pcmahq. PCMA recommends that host city representatives also follow/monitor to get immediate feedback on the attendees’ experiences and also to monitor for any issues/concerns to allow for immediate correction/solutions.

PCMA will provide a virtual/hybrid meeting experience to those who cannot attend in person. Extending the reach of the education and networking experience, the “hybrid” combination of the physical and virtual meeting was debuted in Las Vegas at PCMA’s 2011 Convening Leaders. PCMA will be live streaming sessions, interviews, activities and more from the convention center throughout Convening Leaders.

The PCMA Board of Directors has approved the following policies for supplier events and other ICW programs during Convening Leaders: • Any/all organizations planning events to be held in San Francisco during PCMA’s Convening Leaders must submit a Supplier Event Policy form for approval prior to securing space/planning the event. PCMA will assist in securing space at the official PCMA Hotels. • Requests may not be made directly to PCMA Hotels – anyone wishing to hold an event at these locations must complete this form and submit for approval/space release. Space is available on a first-come, first-served basis. • Events may not be held, nor may transportation be scheduled to/from events during official PCMA Convening Leaders events/activities. M. SHIPPING/RECEIVING PCMA will deliver (via Freeman Transportation) materials from PCMA’s Chicago Office to Moscone on Thursday, January 2nd. Additional shipping information is as follows:

• Individual guest package shipping/receiving handled through hotels, and all charges for receiving/storage/package handling/delivery are the responsibility of individual guests. This includes any/all PCMA sponsors/partners who do not ship (per instructions distributed to them) items to the Freeman Advance Warehouse. Please see Section O below for specific list of individuals authorized to charge to the PCMA master accounts at hotels and the Moscone South. Any charges for package receiving/distribution, etc. must be authorized by an approved signatory per the information in Section O in order to be charged to PCMA master accounts or charges will not be paid.

• Dock Usage: Freeman to communicate directly with Moscone South regarding dock usage for load- in/out.

• Freight Elevator Usage: Moscone South and Freeman to determine.

• Material Handling: Freeman to provide all material handling services for PCMA at Moscone South. N. HOUSEKEEPING/FRONT DESK PCMA Staff will conduct room checks of all Board of Directors and Board of Trustees rooms beginning on Thursday, January 2, 2020. PCMA staff will ensure rooms are ready and available for all board members and will deliver name badges, final program and any other related items. Housekeeping to note all VIP rooms for special care per PCMA Rooming List submitted by Experient to all hotels by Tuesday, December 17, 2019.

We request that all PCMA guests within the official room block and without a DND sign; receive housekeeping services between the hours of 9:00am and 4:00pm Sunday – Tuesday.

All hotels should increase staffing/service levels at front desk for PCMA attendee and VIP arrivals. VIP transportation, amenities, pre-check in and additional information/instructions will be provided by PCMA with rooming list submission.

PCMA Welcome signage, dedicated check in/out counters, sales staff presence (in case planner attendees request a site visit) etc. are recommended during peak arrivals on Saturday and Sunday.

P. PCMA CONVENING LEADERS EVENT STANDARDS Meeting/Event Set Up Standards

• All meeting/event rooms should be completely set up at least one hour prior to session/event start time unless otherwise noted on the event specification form. • Standard meeting/event set up to include water coolers/glasses – pads/pens/mints should be provided at all meetings/events at hotels – in back of room/labeled. • VIP set (if indicated) should include notepads, pens, mints and water pitchers with glasses at all tables for seating. • All meeting/event rooms should be refreshed (this includes clearing obvious trash/debris from tables/chairs/room, removing used catering items, emptying trash receptacles and refreshing water coolers/glasses and speaker/presenter water pitchers/glasses) between any all sessions/meetings/events that allow at least 15 minutes prior to the start of the next session/meeting/event. Refresh should begin immediately at the conclusion of the event. • Please follow all set up instructions on the event specification forms and reference diagrams for specific placement of items when applicable. • All tables should have linen cloths and skirting (at hotels/if applicable at convention center) – this includes tables for seating (if present), display tables, head tables, materials tables, etc. unless otherwise noted on specification forms – soiled linens should be changed as needed during room refresh. At the MOSCONE SOUTH head tables/material/display tables should be clothed/skirted. • All offices, meeting/event rooms/areas and public spaces should include wastebaskets and recycle containers that are clearly marked. • When setting crescent rounds, all chairs should face the stage/ and not automatically face straight ahead (side tables will require shifting the placement of the chairs to angle toward stage/screen). • PCMA does not allow bottled water of any kind at Convening Leaders (unless specifically noted on specification forms). Water coolers/glasses or biodegradable/sustainable cups must be provided in all PCMA 2020 Convening Leaders 24

meeting/event rooms and public areas (see food & beverage order). Water coolers/glasses or cups and speaker water pitchers/glasses must be replenished as noted on forms and as needed in all public areas/offices at least 1 hour prior to the start of sessions/meetings/events and during each refresh between sessions. • Hotels to provide easels for PCMA signage as noted on forms at no charge to PCMA. Freeman to provide sign holders for 22x28 signage at the Moscone South. • Facilities will provide all tables, including rounds, cocktail rounds, high boys, barstools, etc. unless noted on forms that Freeman is to provide. • When noted, facilities to provide all coat racks at no charge to PCMA.

Audiovisual Standards

• Unless noted on the event specification form, all audiovisual equipment, including microphones/sound and lighting will be provided by PCMA’s audiovisual partner, Freeman AV. • Event specification forms may not outline specific audiovisual equipment required for each meeting/event/room. This detail is not comprehensive – Freeman AV should provide all required equipment for optimal production and per approved advance estimate (standard AV equipment for small, medium, large and extra-large session rooms as pre-determined). • Appropriate carts, stands (clothed/skirted) and cables are not indicated on forms, but should be provided as appropriate/required. • Flipcharts should include easel, new pad and 4 new colored markers. • Please note comments on forms regarding set and strike times – some rooms are being used for multiple events, and equipment must be struck when noted. • Lights that are directly over screens or that cause “hot spots” of lights on screens must be turned off (without impacting optimal lighting in the room) or bulbs removed. Lighting checks to make sure screens are not negatively impacted and to insure that lighting of presenters, etc. is optimal are required. • Please reference diagrams when applicable for placement of equipment. • Freeman AV to determine appropriate screen sizes for the room/audience size to optimize viewing by all participants. • All screens, regardless of size, should include drape kits (or other surround, where applicable) – drape kits are not indicated on forms. • Appropriate mixers/sound equipment should be provided based on number of microphones ordered. A sound technician is required whenever three or more microphones are being used in a room. • All laptops must be secured to the stand/cart/table/counter on which they are placed. • All computers should automatically include a DVD player, ability to patch computer and/or projector to applicable sound system, and wireless mouse. • All session rooms should include walk-in/walk-out music (provided by PCMA) and walk-in/out slides (provide by PCMA).

• Appropriate technicians to insure optimal audiovisual presentation are required in all rooms/for all events. • Presenters will use MS PowerPoint or Mac Keynote for most presentations/sessions. • All electrical requirements for all AV equipment in all areas to be provided by facilities. Freeman AV to provide complimentary power strips and extension cords wherever power is complimentary as noted on function forms.

PCMA Sustainability/Green Meeting Standards

PCMA is committed to educating our members on green meeting practices, conducting our meetings and organization in an environmentally friendly manner and moving our industry toward a more ecologically responsible future.

PCMA requires the following green meeting standards to be met by our host facility and vendor partners:

• All to have in place a sustainability policy and written environmental objectives and performance criteria with the highest level of management support, and communicate such to its staff. • Facilities to have one or more persons to implement its sustainability policy within the food and beverage operations. • Hire/recruit a minimum of 25% from local labor sources. • Facility to implement and be able to demonstrate adherence to the APEX Green Meeting Standards for food and beverage operations at level one compliance in regards to Staff Management and Environmental Policies; Communications; Waste Management; Energy; Air Quality; Water; and Procurement. • Facility and vendors to implement and be able to demonstrate adherence to the APEX Green Meeting Standards for on-site offices at level one compliance in regards to Staff Management and Environmental Policies; Communications; Waste Management; Energy; Air Quality; Water; and Procurement. • Facility and vendors to implement and adhere to APEX Green Meeting Standards anti-idling policy for all vehicles involved with the meeting. • Facility and vendors to utilize equipment that is 50% Energy Star rated and ensure that all energy conservation opportunities are utilized for on-site offices/equipment. • Facility and vendors to share their sustainability policy and written environmental objectives and performance criteria with PCMA prior to the meeting.
