CATERING POLICIES 3 FOOD MINIMUMS Minimum food orders range between $500.00 - $4,000.00 based on the venue space reserved, per meal service or four hour period. When the food minimum is not met, the difference or a flat $100.00 set-up fee will be applied to the final invoice, whichever is the lesser. There is a $30,000.00 food minimum in the month of December on Friday and Saturday evenings for events held in the Side Gallery or Great Gallery. Service charges and sales tax are will be applied.

GUARANTEED GUEST COUNTS The final guaranteed number of guests is due by 12:00pm (PST): Up to 500 guests Four (4) business days 501 + guests Seven (7) business days Once this guaranteed number is received, this number may not be reduced. Final billing will be based on the guaranteed number or the actual number of guests, whichever is greater. In the event that the guarantee is not received, final billing will be based on the initial estimate or the actual number of guests, whichever is greater. Once this guaranteed number is provided, a 10% surcharge will be added to the late increased counts.

PAYMENT POLICY A 50% deposit of the estimated charges is necessary to confirm the catering contract. The balance is due four (4) business days prior to the event. Any adjustments are payable upon conclusion of the event.

SERVICE CHARGE Events held at The Museum of Flight are subject to a 22% service charge & applicable Washington state sales tax on all food & beverage.

STAFFING All events include staffing for up to four hours. Events longer than four hours may be subject to labor charges.

BUFFET SERVICE OPTIONS Standard Buffet Service: M&S will provide seating for the entire group, beverage service at a station & flatware placed in a linen napkin roll at the end of the buffet at no additional charge. Seated Buffet Service: M&S will provide seating for the entire group; a higher service staff ratio; beverage service table-side to include water, hosted wine, coffee & tea service; place settings with flatware, glassware & a folded napkin. The additional service charge for dinner is $3.00+ per guest (minimum $60.00) & for lunch it is $2.00+ per guest (minimum $40.00).

MENU, ENTRÉE CHOICE & OVERAGES Due to market fluctuations, prices cannot be confirmed until six (6) months prior to your event date. For seated lunches & dinners, we can accommodate a pre-determined choice up to two entrées plus a vegetarian meal. All entrées will be billed at the higher price. Should you select this option, we request that you offer one choice & one dessert choice to all guests. An entrée choice option is not available for combination/duet entrées. Client to provide entrée identifying cards for each meal.

SPECIAL MEALS Substitutions can be served to accommodate dietary restrictions and allergies. Requests must be made at the time the guaranteed guest count is due. Additional charges will apply to late requests.

WASHINGTON STATE HEALTH ADVISORY Consuming raw or undercooked meats, poultry, seafood, shellfish or eggs may pose a health risk. Raw or undercooked foods are noted by the asterisk (*) throughout our menus.

TABLES, CHAIRS & LINENS Exhibit Spaces & Private Rooms: Menu prices quoted generally include 72” or 60” round tables, banquet chairs, 85” square table linens, tableware & service-ware for up to 500 guests for seated or buffet events and are subject to availability. Equipment rental charges may apply for larger events, multiple venue space use, and buy-outs. Charles Simonyi Space Gallery and Aviation Pavilion are excluded from the above policies. There is a limited amount of tables, chairs, linens and other equipment available in these two exhibit spaces. Please consult your event planner for further details and estimate of charges.

DANCE FLOOR Should you wish to have dancing at your event, a dance floor must be rented for your event. Delivery, setup, and pickup pricing varies depending on the day & time of your event.

STANDARD ROOM SETS The following standard room sets are included with your food and beverage purchase.

Up to four (4) 6’ or 8’ tables for registration, display or audio visual equipment. 72” round tables with up to ten chairs or 6-8 chairs set horseshoe style so guests are all facing the meeting/ presentation area. This setup is best for presentation style meetings desiring small group discussions. OR Theater style seating; rows of chairs facing meeting/presentation area. Our standard table set it up is one 85” linen per table, if you wish to have add an additional linen for 8pt it’s an additional $4.00 per table. SPECIALTY ROOM SETS Prices subject to the appropriate sales tax & the following labor & delivery charges.

U-Shape or Hollow Square Set 1.50 per guest This configuration is best for presentation style meetings desiring large group discussions.

Classroom Tables 17.00+ per table Rectangular tables with chairs set in rows. This setup is best for presentation style meeting with limited interaction within a group. Each table seats three guests.

Secondary Seating We are happy to set up theater style or other types of seating in addition to the room setup for the food service portion of your event. The following labor service fees are applicable: base rate of $75.00 plus $1.00 per person over 50 guests for theater style; $4.00 per linen to cover tabletops. See event planner for floor-length linen pricing if desired. ADDITIONAL TABLE SETUP OPTIONS Should you need more than the four 6’ or 8’ tables provided, the following charges apply.

WEDDING CEREMONIES

We are happy to setup theater style seating with a center aisle for your wedding ceremony. Once the ceremony is complete & the guests have departed the room, we will re-set the room for your reception. The following labor service fees will be applied: Base rate of $150.00 plus $1.00 per person over (50) guests.

HOSTED BAR POLICES Hosted bars are subject to applicable service charge and Washington state sales tax. Final bar sales for a single bar must meet a minimum of $500.00 in sales per four hour period. For a single bar that does not meet the minimum sales, there is a $150.00 labor charge. For multiple bars each bar must meet a minimum of $750.00 in sales. If sales fall below the minimum, the difference between actual sales and the minimum will be applied. Bars open longer than four hours are subject to $150.00 in bar sales per additional hour. If this minimum is not met applicable labor charges will be applied.

CASH BAR POLICIES For all cash bars open up to four hours, there is a $1.50 per guest labor charge with a $150.00 minimum charge. All bars open longer than four hours carry an additional $1.00 per guest labor charge per hour. Labor charges are subject to sales tax. All major credit cards accepted at bars.

DRINK TICKETS For bars with drink tickets, or script, one ticket per guest is considered a cash bar, and the bar is subject to the above cash bar policies. Two or more drink tickets per guest is considered a hosted bar, and the bar is subject to hosted bar policies with drinks purchased by guests or redeemed by tickets contributing to the hosted bar sales minimum. Final charges will reflect the actual number of drink tickets redeemed for the type of drink ordered.
