TWM pandemic policies OUR We've been watching the pandemic and its effects on weddings and events closely. We POSTURE think there will be long-term effects.

The Wild Mother has collected relevant information about hosting events during the global COVID-19 pandemic. We’ve provided guidelines or recommendations put in place by both The Centers for Disease Control and Prevention and our Oklahoma State leadership. We believe following these guidelines will help avoid community spread of the virus between family and friends and is the most responsible approach to hosting events during this time.

Our team has been disheartened by stories of family members gathering for birthday parties or friends gathering for weddings resulting in a large numbers of those in attendance falling ill or dying at the hands of Coronavirus. We have collected more news stories at the end of this document for your education. The Wild Mother believes it is not caring for event hosts or planners to leave guests anticipating a change in plans for an extended time. And, it is worse to make guests choose between celebrating an event & staying safe.

Instead, we believe Clients and event hosts should provide their guests with clear and consistent channels for engaging and celebrating their event that does not leave the guests with the sense that they are between a rock and a hard place. As such, our team has updated our policies and procedures in order to keep guests safe while keeping our team safe. We are painfully aware that making a difficult decision regarding your event may cause your expectations to shift. We empathize with you and commiserate as we are also experiencing shifts in our usual rhythms. All of these suggestions are based on our combined 15 years of experience in this industry.

We are committed to producing beautiful and intentional weddings and events that do not cause guests to choose between celebrating with their loved ones and their safety. We believe there are creative ways to consider the safety of all in attendance, while maintaining a sense of beauty and poetry throughout an event. We are up for the task and must ask that each Client is willing to follow these procedures.

3 SCALE OF July 2020, The Center for Disease Control issued important information and suggestions about RISK hosting events during the pandemic.

Determine Your Event's Risk of Spreading COVID-19.

Unfortunately, neither the CDC nor the State of Oklahoma provides concrete guidelines about a safe guest count at an event. Yet, the CDC does provide the following suggestions, which we have interpreted (underlined), using our combined 15 years of experience in events & our understanding of COVID-19.

lowest risk

Virtual-only activities, events, and gatherings. more risk (30 guests or less):

Smaller outdoor and in-person gatherings in which individuals from different households remain spaced at least 6 feet apart, wear cloth face coverings, do not share objects, and come from the same local area (e.g., community, town, city, or county). higher risk (31-60 guests):

Medium-sized in-person gatherings that are adapted to allow individuals to remain spaced at least 6 feet apart and with attendees coming from outside the local area. highest risk (60 or more guests):

Large in-person gatherings where it is difficult for individuals to remain spaced at least 6 feet apart and attendees travel from outside the local area.

Allow us to share some of our recent findings about the current state of hosting events in the pandemic and how we respond. expert guidance

As of July 7, 2020, The Centers for Disease Control and Prevention clearly communi- cates “The more people an individual interacts with at a gathering and the longer that interaction lasts, the higher the potential risk of becoming infected with COVID-19 and COVID-19 spreading.” The CDC has outlined the level of risk for certain types of events, saying the highest risk of spread is within the context of “large in-person gatherings where it is difficult for individuals to remain spaced at least 6 feet apart and attendees travel from outside the local area.”

TWM response

This definition of “highest risk” events is reminiscent of the large-scale weddings and events that The Wild Mother typically services, where it is not uncommon for an event to host 75+ guests, excluding the additional staff from vendor teams, for 3-8 hours. To maintain the safety of all guests, The Wild Mother recommends our Clients (brides & grooms, event hosts, and studio-store customers) join with the CDC’s recommendations for mitigating community spread of the virus by limiting guest count of events and limiting the time guests are present at an event. Taking this approach allows guests to feel safe and comfortable as they celebrate with you. Specific guidelines for mitigating spread are listed in our Procedures below.

5 expert guidance

The Oklahoma State Health Department warns “Current data indicates the risk of death for those contracting COVID-19 notably increases for individuals above the age of 60 or for individuals with autoimmune conditions.”

TWM response

Many weddings and large events involve guests over the age of 60 (parents and grandparents of the bride and groom, elderly family members, etc.) Some of these precious people may be immunocompromised, making attendance a risk to their health. Oklahoma continues to maintain a recommendation for persons over 65 years old to follow the “Safer-at-Home” and policies.

For weddings, our team prioritizes the safe attendance of all immediate family members, especially elderly family members (such as parents and grandparents), above the attendance of extended family and young friends. Studies show that young people (under 30 years old) are more reckless about social distancing and wearing masks. These young people are likely to carry the virus asymptomatically and may spread the virus to older, higher risk, populations.

We believe invitations to events should be exclusive to the most essential and responsible members of your guest list. To us, family is most essential, and those who have upheld social distancing for at least 14 days without symptoms are most responsible.

Per Oklahoma’s “Open Up and Recover Safely” three phase guide, Oklahoma’s Governor, Kevin Stitt recommends the following (related to events and gatherings): “Citizens should minimize time spent in crowded environments and continue following CDC guidelines regarding social distancing,” and “If you are over 65 or part of a vulnerable population, continue following safer-at-home policies.”

In general, The Wild Mother encourages its Clients to limit the number of guests in attendance of weddings or events to under 10 guests or households (groups who have been quarantined together). These guests should always wear a mask and maintain a safe social distance of at least 6 ft. As such, we feel the best approach to events during this pandemic is either to postpone or downsize significantly using the scale of risk above.

*Note: This choice is solely left to the Client’s discretion. We understand the difficulty of rearranging expectations, but we are confident that small weddings / micro-weddings can be expertly designed and executed. However, if a Client does not wish to follow the CDC and State recommendations, our team may be forced to terminate any existing contract with the Client without refund to the Client.

7 TWM Based on the above recommendations and your contract, our team will take the following POLICIES approaches to each service we provide.

• No Contact Installation: The Wild Mother requires the event’s day-of timeline to reflect at least 4 hours of uninterrupted installation time for the TWM team. At this time, no other vendors, third parties, guests, or other persons should be within 50 ft of our team. • All structures (arbors, tables, table cloths, or otherwise) that are required for The Wild Mother to install its designs must be present and set up upon TWM’s arrival. • TWM rentals: To limit contact with Clients, The Wild Mother will not loan or rent any items to Clients that must be returned to our studio or retrieved by our team. All structures, vases, bud-vases, or packaging The Wild Mother uses to install an event is the property of the Client upon receipt. Depending on cost, some items may be reflected on your invoice. • Hygiene & Disinfection: Any venue (including private residences) must practice proper hygiene and disinfecting, having cleaned and disinfected all event spaces at least once per day. Our team will wash or sanitize hands periodically throughout installation. • Masks: Our team will arrive with masks and any coordinator or planner who our team may be required to speak with must also wear a mask and maintain a safe social distance while interacting with our team. • Proof of Receipt: Upon completion of installation, TWM will provide an outline of the Clients order and proof that all pieces or designs are present. • Late Night Pick Up: No Late Night Pick Up is available during this time. This means clean up of TWM designs must be completed by the Client or third parties. No special provisions will be made. postponement

We understand many events have been postponed due to COVID-19. In these cases, the Client can expect the following:

TWM pandemic policies • The Client and TWM must establish a new mutually agreed upon event date within 9 months of the first event date. The Client is responsible for pursuing these updates and decisions while working with TWM to reschedule. • If a Client is unable to select a rescheduled date within 9 months of the first event date, the Client will effectively terminate their contract with The Wild Mother and they will be liable for any remaining balance. • Non-refundable deposits will be applied to the rescheduled event date, and remaining balances will be paid toward this new event date. • The Wild Mother will provide a new contract which supersedes the first contract. It will reflect the Client’s new event date. In addition to these procedures, all parts of this superseding contract must be upheld by both The Wild Mother and the Client. • The Client's final balance will be due one month before the rescheduled event date. • Installation and delivery of that event will take place on the rescheduled event date using the above listed Safety Procedures.

downsizing

Some TWM Clients may wish to keep their wedding date as scheduled but will plan to downsize their event to fit the CDC’s recommendations for Low, More, or Higher risk events—conducting either a virtual event, an event with fewer than 60 guests in person, or a combination of the two. Downsizing is our preferred mitigation strategy for events during this season because it provides clear and consistent direction for your guests, communicating concrete ways to actively celebrate you and your event safely.

• The Client may wish to change the location of their downsized event. However, this is not necessary, as a small scale event can be expertly executed and experienced in large venue spaces. If the Client does wish to change their event location, please provide The Wild Mother with these updated details within 1 months before event. • If any new location is set outside of a 20 miles radius from TWM’s studio, your invoice may reflect this change, increasing your delivery fee. Also, if these changes have an effect on our team’s delivery schedule you will be contacted with updated delivery and installation expectations. • The Wild Mother will provide a new contract which supersedes the first contract. It will reflect the Client ’s new event location. In addition to these procedures, all parts of this superseding contract must be upheld by both The Wild Mother and the Client.

9 • The Client's final balance will be due one month before the relocated event. • Installation and delivery of that event will take place on the event date using the above listed Safety Procedures. cancellation or termination of contract

Clients who choose to cancel their event or terminate their contract will not be issued any refunds for a deposit placed. Additionally, the Client will be liable for any remaining balance on their contract. This balance must be paid no later than one month prior to their canceled event date.

TWM pandemic policies carry out floral added safety measures

• Vessels : To limit contact with Client s, The Wild Mother will not loan or rent any items to Client s that must be returned to our studio or retrieved by our team. All structures, vases, bud-vases, or packaging The Wild Mother uses to install an event is the property of the Client upon receipt. The cost of some items may be reflected on your invoice. • Hygiene & Disinfection: Our team continues to work from our thoroughly sterilized studio for the safety of team members and the Clients who will receive our work. All tools, mechanics, and materials are properly cleaned before they are ever carried out to a Client. Frequent hand washing and sanitizing continues to be observed. • Curbside Pick Up: For all carryout orders, a mutually agreed upon date will be scheduled for pickup. Upon arrival, a Client or Client representative must park in a public parking spot on the west side of 629 W. Sheridan Ave., call the studio phone number (unless otherwise directed), and wait patiently inside of the pickup vehicle for a safe delivery by a TWM team member. Client or Client representative must wear a mask (covering nose and mouth), to receive the carryout order. Please be prepared to receive your order by clearing a space in your trunk, backseat, or floor-board where the order can safely ride to the next destination. All other carryout procedures will be observed as usual. postponement

The Wild Mother Creative Studio must be given a notice of 10 business days to cancel without penalty. Anything less will result in the liability of the remaining balance for the Client . cancellation or termination of contract

Clients who choose to cancel their event or terminate their contract will not be issued any refunds for a deposit placed. Additionally, the Client will be liable for any remaining balance on their contract. This balance must be paid no later than one month prior to their canceled event date.

11 Event Planning, Partial Planning, & Day-Of Coordination

Clients who have chosen to work with The Wild Mother as their event planner or day-of coordinator are highly encouraged to follow CDC guidelines and TWM procedures, especially considering our team has been hired to remain on site prior to the event, throughout the event, and during clean up of the event. We hope to work with our Clients to mutually agree upon a safety plan that honors their aesthetic sensibilities for their event while keeping guests safe.

Clients with guests lists of over 75 or more must choose from either postponing or downsizing their events. If neither of these options suit the Client, please see the cancellation details under this section. added safety measures

• Communication : At least 3 weeks before the event, the Client will communicate with guests about the safety measure in place for their event. These include but are not limited to statements about masks, social distancing by household, hand washing, hygiene, and food & beverage safety. See below for helpful language that may be used to communicate your desire for a safe environment for all guests attending your event: • Guest List: As we take safety measures during the rapid spread of COVID-19, we have composed a limited guest list that includes you. You are one of only __ people invited to our event! • Ceremony: All guests must wear masks during our ceremony. If you arrive without a mask, you will be issued a disposable mask. Please respect our wishes to keep our elderly and immunocompromised friends and family safe by wearing a mask that covers both your nose and mouth. When eating or drinking, you may remove your mask, but immediately return it to proper position between bites or sips. • Distance: Households and individuals must maintain a distance of at least 6 ft from other households or individuals at all times. • Photos: Our photographer has been asked to take candid photos of guests at our event. The photographer may ask you to remove your mask for a photo at a distance. Please return your mask as soon as the photo is taken. • Food and Beverage: Using the guidelines currently in place for restaurants in Oklahoma, we have chosen that food and beverage at our wedding will be served either in to-go boxes, which can be enjoyed at your home, or through a waiter service.

TWM pandemic policies To keep you safe, we are eliminating buffets and self-service options for guests. All waiters and staff will be masked and gloved during these transactions. • Alcoholic beverages: We ask that you limit your drinking (2 drinks per person) of alcoholic beverages during our wedding, as alcohol loosens inhibitions and makes our better judgment weakened. We want all in attendance to be alert and mindful of the distancing guidelines we’ve set in place. • Dessert: Our cake will be pre-sliced and plated with the rest of your meal to avoid unnecessary contact with your food. The bride and groom will cut a beautiful cutting cake to be shared by the couple only. • Dancing: There will be no dancing as it presents a high risk of infection, especially considering a limited-spaced floor. • Hugging and Contact: While embracing and the occasional are expected between guests at celebratory events, it is of high risk to engage in such during a global pandemic. Alternate suggestions are as follows: • Warmed Heart: Place your dominant hand over your heart. • Bow or : Cast your upper body weight toward the ground, making your nose parallel to the ground. Or, bend your dominant knee while placing your dominant foot behind. • : Both parties extend an elbow to touch. • : Raise your hand and flex your fingers up and down, vertically. Do this 5 to 8 times. • Wink: Quickly open and close a single eye while keeping a smile on your face. • Smile: Engage the muscles of the corner of your mouth and cheeks. • : For persons wearing brimmed hats, simply pinch the brim of your hat with your index finger and thumb while slightly nodding your head down in one quick motion. • Speeches: Speeches will be given in microphones in order to limit shouting and molecular spread of the virus. If speeches are given without a mask, the speaker must disinfect the microphone immediately after use. • No-Contact Installation: The Wild Mother requires the event’s day-of timeline to reflect at least 4 hours of uninterrupted installation time for the TWM team. At this time, no other vendors, third parties, guests, or other persons should be within 50 ft of our team. • All other vendors will be provided the same courtesy. Vendor arrivals will be

13 staggered so each team benefits from as much contactless installation as possible. • All structures (arbors, tables, table cloths, or otherwise) that are required for The Wild Mother to install its designs must be present and set up upon TWM’s arrival. • Hygiene & Disinfection: Any venue (including private residences) must practice proper hygiene and disinfecting, having cleaned and disinfected all event spaces at least once per day. Our team will wash hands periodically. During the event, The Wild Mother will execute the following safety measures: • Placing signs and markers that remind guests to remain distanced • Placing signs and markers that remind guests to wear masks • Handwashing • Disinfecting before event and at least once during event • Limit eating and drinking so masks remain • Masks: Our team will arrive with masks and any vendor who our team may be required to speak with must also wear a mask and maintain a safe social distance while interacting with our team. • Proof of Receipt: Upon completion of installation, TWM will provide an outline of the Client's order and proof that all pieces or designs are present.

This revised Day-of Plan will be sent to vendors no later than 1 month before a rescheduled or downsized event date. • Installation and deliver of that event will take place on the rescheduled event date using the above listed Safety Procedures.

Also, if these changes have an effect on our team’s delivery schedule you will be contacted with updated delivery and installation expectations. • The Wild Mother will provide a new contract which supersedes the first contract. It will reflect the Client’s new event location. In addition to these procedures, all parts of this superseding contract must be upheld by both The Wild Mother and the Client. • The Clients final balance will be due one month before the downsized event. • The Wild Mother will update all vendors they have claimed communication responsibility for to discuss the change of date.
