1 Report of the Trustees

a. The Trustees are pleased to present their annual report together with the consolidated financial statements for the third year of the charity, ending 31st December 2019.

b. The report has been produced to be compliant with the Charities SORP (FRSSE).

2 Our Purposes and Activities

a. The following are the purposes of the charity as set out in our Constitution:

i. The advancement of education by providing the opportunity to experience and learn about the history and heritage of the Shelswell area and those events which have affected the area both locally and in the wider world for the benefit of the public of all ages.

ii. Such charitable purposes for the public benefit as are exclusively charitable according to the laws of and Wales as the trustees may from time to time determine.

b. The main activity of the charity has been the staging of a History Festival on Saturday 13th July 2019.

c. The third year’s activities were undertaken following the Charity Commission’s guidance on public benefit. In particular, the Trustees were conscious of the need to keep the cost of attending fund raising events at a low level to enable a full range of people to attend.

d. One of the Trustees aims in holding festivals is to raise money for the community, but we realised that there was nothing in our constitution which covered the use of any takings, except as stated in Para 2.a above. The Trustees have therefore agreed that:

i. The first £500 of any surplus income from the festivals be retained towards meeting the cost of the next festival.

ii. Any income above this figure may then be divided equally between the next festival and other local and national causes with direct benefit to the local area. The local area is defined by the Shelswell Anglican Benefice which is in north and includes the villages of Tusmore, Hardwick, , , Bainton, , , , , and Newton Morrell, and .

iii. If the charity is discontinued, any income will be gifted to other local and national causes with direct benefit to the local area, as agreed by the Trustees.

iv. The following allocation of festival income was agreed by the Trustees at their meeting of 3rd June 2019. The first £500 of any surplus income from the 2019 Festival will be retained towards meeting the cost of the next festival in 2021. Any income above this figure will then be divided equally between the next festival in 2021 and the following three charities:

• Shelswell Benefice Churches • Restore – Oxfordshire based mental health charity • Thames Valley Air Ambulance

e. The Charity relies on volunteers who have been responsible for all aspects of the festival organisation, including planning, finances and site set up. We wish to thank everyone who voluntarily gave their service to the history festival and are continuing to raise funds and plan for a future festival.

3 Achievements and Performance.

a. Overall, we can regard the Festival as a success, although we are continuing to learn and this will be reflected in any future Festival.

b. Fund raising prior to the festival raised much needed funds, and with that and generous donations from our patrons and sponsors we had sufficient funds to cover expected costs before the day of the festival. We are grateful to everyone who supported the festival financially.

c. Nine events were held before the day of the festival, one of which was cancelled, some were sold out and others had low attendance, but generally they were considered to have been worthwhile.

4 The future. To be agreed by the Trustees.

5 Financial Review

a. In accordance with Charity Commission guidance on charities with a gross income of up to £25,000 in a financial year, the charities accounts have been produced on a Receipts and Payments basis and no audit or examination has been undertaken. This has been agreed by the Charity Trustees.

6 Structure, Governance and Management

a. The charity is governed by a Trust Deed as a Charitable Incorporated Organisation and was entered on the Register of Charities on 1st March 2017.
