Project Report 2017 - 2nd National Selection Conference of EYP

The event Project description The event was held at in Horsens and spanned from the 25th to the 28th of october 2017. Various parts of the session programme found place in VIA Campus Horsens, Horsens city centre and Danhostel Horsens. The programme followed the EYP concept, and involved one day of training, one day of teambuilding, one day of committee work and one day of general assembly, as well as cultural programme. The head Organisers, Karl B. Vederhus and Endre Haugland, worked on the project for 8 months.

The physical end-product of the event was the Resolution Booklet of the session. Goals Horsens 2017 was the 2nd session-format event organised by EYP Denmark. Building on the experiences made from the previous event, EYP Denmark wanted to organise konference-like event for young danes in secondary school, involving several school delegations from Denmark and abroad. The most important goal was to build a foundation upon which further outreach work could be done, to better spread active citizenship across Denmark. In order to do this, we set out to organise an event that: - Was financially within our capacities, - Holds a high academic standard, - Involves young people from several schools across Denmark, - Involves teachers from said schools, - Fosters active citizenship and further involvement in EYP. Participants and numbers Horsens 2017 gathered a total of 100 participants from denmark and abroad to a four day event in the city of Horsens. The participants include 56 delegates, 37 Officials, 5 chaperones and 2 guests. Delegates: Delegates represented 5 danish and 5 international schools, and were 15-20 years old. The 5 Danish schools came from Middle- and Northern , and Funen, whilst the five international delegations were from Poland, Germany, Switzerland, Lithuania and the Netherlands.

Delegates were split into committees concisting of 10-12 people and a chairperson. Each committe were assigned one topic, presented as a dilemma and agreed upon by the President of the session and the Board of EYP Denmark. The topics were as follows:

- AFCO: Localism vs Federalism - ECON: Free market vs fair competition - ENVI I: Paris Agreements vs the US - ENVI II: Recycling vs Tap

- ITRE: Nuclear vs Renewable – How should the EU invest? - LIBE: Free speech vs Hate speech

Officials: The 37 officials were selected from a pool of 72 applicants, and represented 17 Countries. Officials were divided into four teams: the organizers, the chairpersons, the media team, and the jury. All officials were volunteers, witout any form of monetary compensation.

The four teams were lead by:

- Chairsteam: Markos Merkouris (HU) - Media Team: Fotis Papadogeorgopolous (GR) and Solene Hababou (CH) - Jury Team: Triin Kaup (EE) - Organising Team: Karl B. Vederhus (IT/NO) and Endre Haugland (NO) Chaperones and guests: Chaperones and guests were present for parts of the programme. Teachers held meetings with baord members of EYP Denmark for further cooperation, one guest held a workshop about public speaking, and the mayor of Horsens held a speech at the official Closing Ceremony of the event. Money and Sponsors: The event budget was 92485 DKK. 70485 DKK was fundraised from various sponsors and funds, and EYP Denmark contributed with the last 22000 DKK.

The event was organised in partnership with Horsens Municipality and VIA University Horsens, who both contributed with substantial financial and material support.

Other sponsors include Insero Horsens, Tadaacar, Det visionære køkken, Europahuset, Folketingets EU- oplysning, REMA 1000, Pickwick, Biltema and CISV .

Outcome: Goal achievement – The event... Is financially within our capacities: The Head Organisers of the event were not able to fundraise the nessecary funds to go through with the project. As a result, EYP Denmark had to contribute with previously fundraised funds in order to make the event financially viable. This is not a solution the will work on a long term-basis, and the issue will be focused upon in the planning of our upcoming events. Holds a high academic standard The chairs team, lead by session president Markos Merkouris, developed relevant topics for the delegates to discuss. These topics, as well as their respective resolutions can be found in the Resolution Booklet from the session. Both EYP Denmark, teachers and delegates have expressed their opinions on the topics discussed, and demed them fit for the academic level of the session participants. By further utilising the EYP-topic-database, we can ensure a high academic standard also in the future.

Furthermore, the jury team of the session provided individual feedback for all delegates, that were distributed after the end of the event. EYP Denmark received a renked list of delegates based on their performance during the session both academically, socially and personally. This helped EYP Denmark focus their efforts on later recruitment, and assisted the selection of delegates to send to sessions abroad. Involves young people from several schools across Denmark The session involved 5 schools from three different regions in Denmark. The Board and the Head Organisers had aimed for 10 schools to participate, but were not able to convince any further schools to participate, despite contacting more than 50 schools across Denmark.

EYP Denmark has now engaged in discusions with the schools who did participate, in order to figure out how to better involve several schools. EYP Denmark have also contacted the ministry of education in order to adress this issue. Involves teachers from said schools Teachers were present from 3/5 danish schools. A dialogue have now been established with these teachers, in order to foster future cooperation. Fosters active citizenship and further involvement in EYP. After Horsens 2017, EYP Denmark have seen EYP activity in all three regions sending danish school delegations. Delegates from Horsens 2017 are now represented in the board of EYP Denmark, and several others have participated in EYP events abroad. Two of the teachers involved have requested future EYP-events at their schools. The member base of EYP denmark have grown with 30% after the event, and we now have a more solid platform from which to spread active citizenship to the rest of denmark.

Feedback All session participants, delegates as officials were given a feedback form after the end of the session. This form were split up into six sections, and filled out by approximately 60% of participants. The six sections were:

- Pre session information and activities - Acommodation - Food - Venues and Logistics - Evening events - Overall impressions and infividual feedback

Overall, the organisation of the event were well received from the participants, even though several participants felt they could have received information and preparatory materials sooner before the session.

The Head organisers, President and Board of EYP Denmark proceded to have a long meeting, bactracking and evaluating the entire process of the event, wich they split up into pre-session work, session work

and post-session work. This evaluation document is now being used to create a set of buidelines for future Head Organisers of EYP Denmark. Improvement measures Based on the evaluation from participants and meeting with the leadership of the event, the following improvement measires was identified: Pre-session: - Start academic preparation earlier. - Start organising the event earlier, focus on fundraising and budgeting. - Include Organisers more in pre-session work. Have an orga-weekend before the session. - Dedicate one person to communicate with teachers, and make schools commit to the event. During the session: - Clarify, distribute and stick to the programme. - Clarify session rules - Have materials ready before the event starts - Hold regular leadership meetings - Head Organisers distribute tasks, don’t do them yourself unless absolutely nessecary - Facilitate recruitment of new members during the event Post-session: - Plan and promote social events to keep participants involved. - Promote further opportunities for participants.
