Notes from Sponsor meeting – Sep 15

1) Expectations of Sponsors a. Safety of students is primary goal b. Follow School Rules b.i. No smoking, alcohol or drug use b.ii. Clothing must follow school guidelines c. Each Adult will “Sponsor” 2-4 students c.i. stay with “your” students during “free” time in NYC – going to destinations, museums, etc. This will involve public transportation – subways, etc. c.ii. stay in contact with other members of the group d. A list of sponsors is at the end of this document.

2) Hotel Rooms a. Adults will not stay in a room with other adults or their own children b. Costs: b.i. Double room – add $220/person b.ii. Triple room – add $110/person b.iii. Single room – add $950 c. Please let Mr. Meiller know how you would like to set up your rooms.

This year, the district is requiring some additional safety and security measures from our sponsors. They are listed below.

3) Background Check a. Please complete the attached Background Check from. The district will run this at no charge to the participants. This form should be returned to Mr. Meiller by Oct. 1

4) GCN Training a. Since sponsors will be in a direct supervisory role during the trip, the district is asking sponsors to complete two trainings online. These are short online courses, taking about 20 minutes each, dealing with privacy issues (FERPA) and a variety of issues through Title 9 a.i. Directions are attached a.ii. When you finish both trainings, you will have access to a certificate of completion (one certificate for both). 5) Itinerary – a more detailed itinerary will be available, but here is an idea of what we will be doing…. a. Thursday, March 10, 2016 a.i. Charter bus to Dallas- Love Field a.ii. Two flights on Southwest Airlines to NYC (LaGuardia) a.ii.1. 6:40 AM (DAL-LGA) – arrive 10:50 AM a.ii.2. 11:00 AM (DAL-LGA) – arrive 3:10 PM a.iii. Groups are met by Anthem Group Tours Representatives and escorted to motor coaches a.iv. Group checks into Hotel with AGT Representatives a.v. Hampton Inn Times Square North 851 8th Avenue, New York, NY 10019 212 581-4100TBA a.vi. After group gets checked in we will walk to Times Square for free time and shopping (lunch will be included as either a $12 per person stipend or at location TBA) a.vii. Second group arrives and will meet for dinner – free time on Sunday a.viii. Group arrives and meets AGT Representative for Dinner at Hard Rock Café a.ix. Group walks to Gershwin Theater for Broadway Show – WICKED a.x. Show concludes and group walks to hotel b. Friday, March 11, 2016

b.i. Group members may opt to go to Rockefeller Center to see The Today Show. This will be on own. Please make sure you are back in time to catch the motor coach city tour. b.ii. 7:30 – 8:30 Breakfast at hotel – assigned staggered times b.iii. Today is also performance Day b.iv. Group loads motor coaches and departs on Guided City tour (tour estimated to take approx. 5.5 hours and will make stops at Central Park, Carnegie Hall, Radio City, Rockefeller Center, St. Patrick’s Cathedral, Madison Square Garden, Grand Central Station, Park Avenue and a walk across the Brooklyn Bridge!) b.v. Lunch is included and will take place during tour b.vi. 2:30pm Tour ends at Intrepid Sea, Air and Space Museum where group will meet AGT Representative and prepare for performance b.vii. 3:00pm Norman High School Band and Orchestra Performances at Museum4:30pm b.viii. Group tours the Intrepid Museum Please return instruments and uniforms to the motor coaches. Motor coaches will go back to hotel to unload with assigned students and sponsors and AGT Representative b.ix. Group meets AGT Representative at motor coaches and departs for 61 Chelsea Piers for Spirit Dinner and DJ Dance Cruise or b.x. Dinner and New York Pops Concert at Carnegie Hall b.xi. Walk or take subway back to hotel

c.i. Breakfast at hotel c.ii. Group takes subway to Battery Park - free time to explore Battery Park c.iii. Group begins walk to 9-11 Memorial and Museum(Walk will include stops at Charging Bull Statue, NY Stock Exchange and St. Paul’s Chapel) c.iv. Group arrives at and visits 9-11 Memorial and Museum c.v. Lunch is included as a $12 stipend or at location TBA c.vi. Group makes way to Chinatown and Little Italy via subway c.vii. Group enjoys free time and shopping in Chinatown/Little Italy c.viii. Dinner at Puglia’s Little Italy (2 seatings 5pm and 6pm) c.ix. Group departs for Empire State Building via subway (group may opt for One World Observatory or Top of the Rock) c.x. Group returns to hotel via subway

d.i. Group checks out of hotel d.ii. Breakfast at hotel d.iii. Group walks to Radio City Music Hall d.iv. Group tour of Radio City Music Hall d.v. Tour concludes and Group enjoys free time to explore the city on their own until time to depart for the airport$12 stipend is included for lunch d.vi. Group meets back at hotel to load coaches and depart for airport d.vii. Group boards flight home d.viii. Two flights on Southwest Airlines d.viii.1. 2:40 PM (LGA-DAL) – arrive 5:30 PM d.viii.2. 6:25 PM (LGA-DAL) – arrive 9:30 PM d.ix. Coach back to Norman (9:30 PM / 1:30 AM)

*Each traveler on this tour will receive one Unlimited MTA MetroCard to be utilized for subway fare. Sponsors in rooms… errors – let me know
