Subject: Tender for AMC of Photocopier Machines installed at the Administration Block of the University for period of 1 year extendable for another year on mutual consent.

Sealed tenders are invited from authorized Repair & Services Centers of Canon/Ricoh for award of Annual Maintenance Contract of 39 nos of photocopier Machines installed at Admn. Block of the University (more Photocopier Machines may be added during the year) for a period of one year extendable for another year on mutual consent as per details given below. A copy of authorization from M/s Canon India Pvt. Ltd./Ricoh India Ltd. may be enclosed without which the tender will not be accepted.

The tender duly filled in, completed in all respect, should be dropped in Tender Box placed in office of the Joint Registrar (Estate), Room No.115, Administration Block, JNU, New Delhi latest by 23.12.2016 (3.00 p.m.) which will be opened on the same day at 3.30 p.m.

TERMS AND CONDITIONS

1. The tender must be addressed to the Joint Registrar (Estate), Administrative Block, Estate Branch of the University and should be accompanied by an Earnest Money Deposit (EMD) of Rs. 8,000/- by a Demand Draft/Pay Order drawn in favour of “The Finance Officer, Jawaharlal Nehru University, New Delhi” payable at New Delhi. The tender without EMD will be summarily rejected. The EMD will be refunded after finalization of the award of the contract. 2. The successful bidders will be required to deposit a performance security of Rs. 15,000/- by a demand draft drawn in favour of Finance Officer, JNU which shall be refunded 60 days after successful completion of the contract.

3. The bidders should attach copies of documents in support of experience, list of clients and TIN/VAT/PAN and Service tax numbers without which the bid shall not be accepted.

4. The contract shall be on a comprehensive service maintenance agreement basis and no extra charges for any general wear and tear/spare parts, consumables i.e. ink tonner drum etc shall be borne by the University. Only paper and power shall be provided by the University.

5. It will be the responsibility of the contractor to keep the machines in perfect working order. The repair work will have to be carried out at the location of the equipments except in the exceptional circumstances, where the equipments or any component may be required to be taken out for repair in workshop. In such cases, a standby arrangement shall have to be made by the contractor and in no way working of photocopying machines shall be held up for want of standby arrangements.

6. The rates may be quoted per copy and taxes if any may be indicated separately.

7. The contract will be initially for a period of one year which can be extended for another one year on mutual consent

8. Acceptance or rejection of the tender will finally rest with the University. The University reserves the right of rejecting any tender without assigning any reason.

9. Monthly payments will be made to the Contractor after having necessary certificate from the user Departments for rendering satisfactory services to the University.

10. The rates quoted and agreed to by the University shall remain valid for a minimum period of 1 year and no increase will be granted during the validity of the current agreement.

11. In case a call is not attended by the Contractor in a reasonable time and work is not done to the satisfaction of user department, penalty to be decided by the University will be levied upon the Contractor after due verification from the user/department.

12. If any of the terms or conditions provided herein or any direction(s) issued by the University is not complied with or contractor is found to have committed any breach thereof, the University will be at liberty to terminate the Contract.

13. In case of any dispute between the University and contractor, the matter will be referred to the arbitrator appointed by the Vice-Chancellor of the University and decision of the arbitrator shall be final and binding on both the parties.

14. The bidder has option to seek information, clarification regarding the bidding conditions at least two working days before the closing of bid. The clarification should reach at least 2 days before the last date and the bidder can also seek reasons/feedback about rejection of submitted bid, later on. Before the closing date of the tender no bidder turned out to seek any information/clarification.
