POSITION VACANCY NOTICE Department: Human Resources Location: Rockingham Office Job Title: Human Resources Coordinator Job Classification: Non-Exempt Position Summary: The Human Resources Coordinator will provide accurate, reliable, and efficient specialized human resources-related services to help meet the objectives of the human resource, payroll, and benefit areas of the Cooperative. This position will provide exceptional customer service to employees through timely, courteous, and accurate responses to their inquiries and needs. Reporting Relationships: Reports to - Manager of Human Resources Directs - None Responsibilities and Authorities: Essential Functions of the Job - Review and work with Payroll Accountant on bi-weekly payroll processing for the Cooperative, ensuring that pay outcomes match employee records. Coordinate all special employee events sponsored by the Cooperative (i.e. blood drives, employee recognition banquet, preparation of awards and maintaining necessary records, etc.). Coordinate the maintenance of accurate information for the internal web page. Coordinate the maintenance of the Cooperative’s training records. Coordinate all paperwork for monthly safety training courses (take the minutes at quarterly Safety Committee meetings, support the scheduling of safety training and unannounced visits throughout the year). Maintain safety training calendar/meeting times and work to ensure all associates are trained as directed under cooperative, state, and federal guidelines. Make and distribute copies and information as needed. Assist and perform the filing information and maintain integrity and confidentiality of the human resource files and payroll information. Under the guidance of the Human Resources Manager, coordinate training and education record management, hiring, terminations, job descriptions, and policy development records for all employees of the Cooperative. In conjunction with the Assistant Controller, and with guidance from the Manager of Human Resources, coordinate the monthly review of insurance invoices to ensure proper payment. Complete census information for insurance renewals and budgeting purposes. Maintain the application file and response letters to actual and potential job applicants. Assist with career fairs at area schools. Assist and track coops FR and outerwear program. Scan employee information from employee’s personnel and benefits files as well as DOT paper filing systems into the imaging system for electronic storage. Maintain safety hour records for incentive programs and file monthly reports. Maintain all employee related insurance incidents both with personnel and the general public. Prepare and maintain administrative and employee handbook on policies and procedures. Assist with medical/dental/insurance claims. Assist with pension and disability benefits from employees and retired employees. Work with the communications department and assist in compiling information for monthly employee newsletter. Coordinate and file monthly, quarterly and annual reporting to EEOC, VA Department of Labor, VA Multiple Site reports, etc. Coordinate and file DOT physicals, forklift training, random drug screenings and random technology & communication screenings. Assist in special projects as necessary. Job Requirements (Knowledge, Abilities, and Skills): Training and Experience - Human Resources experience in personnel, payroll, and benefits. Must be able to use PC and related software in the performance of position responsibilities. Knowledge - A thorough knowledge of rural electrification and Cooperative principles. Knowledge of federal and state employment laws. Abilities and Skills - Must be able to maintain professionalism and control under all circumstances. Has and maintains valid driver’s license and acceptable driving record and be able to operate SVEC vehicles. Must become and remain certified in CPR and first aid. Must also be skilled in the use of all safety equipment. Must pass physical exam, drug & alcohol testing initially; drug/alcohol test randomly. Ability to organize work effectively, prioritize, and manage multiple tasks with special attention to detail. Ability to communicate effectively, both orally and in writing. Ability to perform job responsibilities in a timely manner within established guidelines under minimal supervision. Ability to stay current on changes to all areas for which this position has responsibility. Ability to create and maintain positive, team-building attitudes among employees. Maintain high level of confidentiality with regards to associate, consumer and Corporate information. Ability to handle stressful situations. Ability to work extra hours as necessary during emergencies or when the workload demands. Ability to communicate in the Spanish language is desired. Proficient in Microsoft Office products including Excel and Word. Must have access to reliable transportation to and from work. Educational Requirements - Associate Degree in Business Administration or Human Resources related field preferred or 5 to 10 years of related human resources experience and/or training or equivalent.
