Project Administrator Addressing the Legacy of Violence through Facilitated Dialogue About us The Glencree Centre for Peace and Reconciliation (www.glencree.ie) is an independent, non- governmental organization that works with individuals and groups to transform violent conflict, promote reconciliation, build sustainable peace, cultivate positive relationships, and works towards more inclusive, equitable, and diverse societies. Glencree was founded in 1974 as a direct response to the violence happening predominantly in Northern Ireland. Through working with politicians, women, youth, victims/survivors, former combatants, security force personnel and community and religious leaders Glencree has built a strong reputation for its practical contribution to peacebuilding and the Northern Irish peace process. Glencree is based and carries out much of its work from its beautiful and historic residential centre in the Wicklow Mountains just 25kms from Dublin City Centre. Project Background Building on Glencree’s work with politicians, victims and survivors, former combatants and security forces Glencree started a ‘Legacy of Violence’ programme in 2015. This formed the basis of a Peace IV application and Glencree has been awarded funding by the European Union’s PEACE IV Programme, managed by the Special EU Programmes Body (SEUPB) for a project entitled ‘Addressing the legacy of violence through facilitated dialogue’. The programme is expected to run until December 2021 and is focused around, but not limited to, the experiences of four ‘victims and survivors’ groups and their communities. Through a process of private and confidential facilitated dialogue, it examines themes and issues, which remain as obstacles to deeper understanding and the promotion of positive relations. The four key groups along with other relevant parties are co-developing their own process and pace of engagement, entering into dialogue with groups and individuals with differing interpretations of what happened in the past including as appropriate those perceived to have contributed to causing harm. The learning accrued through the project will be of assistance to ‘Victims and Survivors’ groups, other interest groups, academics, policymakers, and practitioners in ascertaining how to productively engage with Northern Ireland’s contentious past and this learning will be shared through publications, roundtables and an end of project Symposium. The Role Glencree is seeking an experienced administrator to assist in ensuring the smooth implementation of this sensitive and complex project. The Project Administrator will assist all members of the project team with financial, administrative and logistical support to help ensure the implementation of all the project phases. Reporting to: Assistant Project Manager Salary: €32,000 - €34,700 depending on experience Location: Glencree Centre for Peace and Reconciliation in Co. Wicklow, Ireland (25kms from Dublin City Centre) Terms: Fixed term contract (with end date of December 2021) Experience and skills sought: The following are indicative and specific experience and skills sought in looking for the best candidate. Working as part of the project team the successful applicant will be highly organised and efficient and have the personal and relational skills to liaise effectively with fellow project team and Glencree colleagues, project participants, our funders, service providers and stakeholders. SPECIFIC SKILLS Financial Management Deal with all invoices and rationale for all non-payroll related expenditure Obtain all price checks for all non-payroll expenditure. Check and process all monthly work invoices from freelance staff and follow up on evidence required for finance claims as necessary. Respond to all verification queries from funder. Provide and maintain where necessary information/documentation as required by funder Liaise with funder on behalf of Project. Develop, keep and manage invoicing and payment systems both electronic and hard copy back up. Liaise with service providers and groups in relation to finance. Team Admin; Process all staff time sheets, leave sheets and subsistence claims from 7 staff members (2 full-time and 5 part-time) Organising Meetings and Events; Book and organise meetings as requested by full-time staff. Organise monthly Team meetings. Organise monthly Facilitators meetings. Book venues for programme meetings by external staff. Programmes. Identify and price check venues for all residential programmes for groups. Liaise with venues with regard to necessary services including the provision of accommodation. Co-ordinate with participants. Attend residentials /workshops with programme groups where necessary Arrange reimbursement of out of pocket expenses for groups through invoice processes based on Mileage and Subsistence Policy. GENERAL SKILLS Project Administration and Finance: Experience in providing administrative support to project groups / teams; working to tight deadlines, with limited resources and with a variety of stakeholders. Experience of the administration and reporting involved in grant funding is particularly desirable. Manage all email and telephone inquiries on behalf of Legacy of Violence Peace IV Team. Interpersonal Skills: Exceptional interpersonal skills and discretion in dealing with sensitive elements of the project. Be able to treat all project participants and stakeholders with dignity and respect. Team Player: Having a strong track record in working well with others and being a highly effective team member. Organisation: Demonstrable track record in being highly organised and efficient. Confidentiality: Ability to keep all relevant information confidential is absolutely critical. Knowledge: A good knowledge and understanding of the conflict in and about Northern Ireland and the Northern Irish peace process and its implementation challenges is desirable but not essential. Flexibility: Willingness to work outside normal working hours on occasion. (Glencree operates a time in lieu policy to facilitate the need for flexible working). Report writing: Being able to write well is crucial. Budget and financial management experience is necessary.
