Exhibitors’ & Contractors’ Emergency Procedures

Please ensure that all staff are briefed on the following emergency procedures.

Exhibitors and contractors are asked to check for suspicious objects and ensure that their personal bags and possessions are kept safely locked away at all times to prevent causing unnecessary concern or invite theft. Please be aware of the location of the nearest fire extinguisher and nearest emergency exit.

1. MEDICAL EMERGENCIES

All medical emergencies, including requests for ambulances should be reported to the venue’s Control Room immediately on 020 7598 2666 (internal 2666). Please do not call the emergency services directly, as this could waste vital time and result in inaccurate location and medical information being communicated to ambulance crews.

Olympia London provides first aid assistance. Security personnel or the organiser should be contacted for help in the first instance. Alternatively, there is an emergency telephone with a direct link to the Control Room outside the venue’s first aid room, which is located on the Gallery/Level One.

2. SEARCH (“Staff Call 100”)

In the event of a bomb threat, you will hear the announcement (or receive the telephone call) as follows:

“ATTENTION PLEASE. ATTENTION PLEASE. STAFF CALL 100”

Do not leave the building. Inform your colleagues, and then assist in searching for suspicious objects in your work area. If you find a suspicious object, do NOT touch or move it. Clear the area of people calmly. Report to Control on 020 7598 2666 (internal 2666) giving the exact location of the object. Please do not cause undue concern to visitors at this stage.

If you receive a bomb threat directly on the stand, please obtain as many details as possible (see form overleaf), and then inform Control on 020 7598 2666 (internal 2666).

3. FIRE

If you discover a fire, or a fire is reported to you, operate the nearest fire alarm call point FIRST, then inform Control on 020 7598 2666 (internal 2666).

4. EVACUATION

If evacuation is necessary, you will hear the following announcement:

“ATTENTION PLEASE. ATTENTION PLEASE. HERE IS AN IMPORTANT ANNOUNCEMENT. IT IS NECESSARY TO ASK EVERYONE TO LEAVE THE BUILDING. PLEASE MAKE YOUR WAY CALMLY TO THE NEAREST EXIT. EVERYONE WILL BE RE-ADMITTED AS SOON AS POSSIBLE.”

Please leave the building by the nearest exit and assemble at your assembly point (Olympia Way, G Gate or L Yard), or in the event of a wider cordon, at Brook Green. Exhibitors and contractors should account for all their staff and report to Control on 020 7598 2666 (internal 2666).

5. STAND DOWN

The signal for a return to work is made by the cancellation of emergency procedures. The search procedure is cancelled by the announcement :

Please take account of the following security advice from the venue: Take home any valuable itemsover night as there are no secure storage facilities on site.

Do not leave your stand unattended at any time during build-up, the open period or the pull-out of the show. Do not leave the hall until all visitors have gone eachevening.

Do not position desirable items at the front of your stand, where you may not be able to keep an eye on them.

Ensure you have enough staff, so that the stand is not vulnerable to thieves and donot ask a neighbouring exhibitor to watch over your stand while you go for a break.They may become busy and not be able to keep an eye on your stand.

Remove all portable or valuable items from the stand on the evening the show closes. Do not leave them until the following day for collection.

Arrive in time for the show. Ensure your stand is staffed at least 15 minutes before show open time each day, but remember that the hall is open from 0800 hours.

Use a lockable cabinet to store your personal possessions during the show openhours. You should be able to hire one from the appointed furniture company.

Hire an alarm for your stand if youare exhibiting valuable or portable items. These should be available from the show security company.

Smoking and vaping are not permitted in the venue at any time, in accordance with legislation . External smoking areas are provided. If you are a smoker, please consider others and use only the designated areas .

Working at Height

A person is working ‘at height’ if there is a possibility of their being injured from falling, even if they are working at or below ground level.

The Working at Height Regulationsrefers to 'duty holders': employers, self-employed and employees. This includes all contractors and exhibitors (for example, when accessing areas above floor level to dress stands).

Duty holders’ responsibilities are to ensure that:

PREVENTATIVE MEASURES

Exhibitors can stop accidents from happening by ensuring they and their staff are vigilant at all times. The following precautions can be taken to avoid accidents:

• Don’t leave boxes lying in walkways. Stack neatly against the stand wall or underneath your table • Ensure the stand is safe and secure and report any problems to a member of &R6HFWRU staff • Take care when using and setting up electrical equipment, ensure the person setting the equipment up is qualified to do so • Tape down all cables securely • Clear all rubbish away before the event is open to visitors (our fair assistants can help with this, please ask a member of &R6HFWRU staff) • DO NOT leave the stand unmanned • Watch your surroundings – risks can develop at ANY time!

Rules for safe lifting

1. Assess the load first. Make sure work area is clear from hazards. 2. Keep back upright in a natural way, bend the knees, stand close to load and spread feet. DO NOT twist trunk. Position feet apart giving a balanced and stable base, the leading leg as far forward as is comfortable and, if possible, pointing in the direction you intend to go. Keep the back straight, maintaining its natural curve (tucking the chin in helps). Lean forward a little over the load if necessary to get a good grip. Keep the shoulders level and facing the same direction as the hips. 3. Avoid lifting from floor level or above shoulder height. For a long lift, such as floor to shoulder height, consider resting the load mid-way on a table or bench to change grip. 4. Raise the head, lift using the legs, grasp load firmly, arms close to body. Lift smoothly, don’t jerk, raising the chin as the lift begins, keeping control of the load. 5. Hold load close to centre of body when stable. Keep the load close to the trunk for as long as possible. Keep heaviest side of the load next to the trunk.

When lifting: Examine the object • Check weight, centre of gravity, stability • Are there any sharp edges? • Check with your supervisor if you’re unsure about lifting it Plan the task • Plan a route free from tripping or slipping hazards • Provide opportunities for rest and recovery • Know where to unload HEALTH AND SAFETY

Get a good grip • Decide in advance how to hold the load to make sure it is secure • A hook grip is less tiring than keeping the fingers straight • See if you can make it easier to grasp, make it lighter, less bulky or more stable • Grasp firmly and with both hands • Attain a good posture • Watch your fingers

Get Help • Use trolleys • Avoid steps and steep ramps • Can someone else be of assistance, if the load is really heavy?

SAFE USE OF LADDERS

The safe use of a ladder depends on the type of work to be done and its duration.

As a guide, only use a ladder: • For a maximum of 30 minutes • For ‘light work’ – they are not suitable for strenuous or heavy work • Where a handhold is available • Where you can maintain three points of contact at the working position

Ladder accidents are mainly due to the following causes: (a) using a ladder for the wrong purpose, e.g. as a working platform instead of scaffolding (b) using the wrong type of ladder, e.g. a metal ladder near overhead electricity lines (c) dropping tools or materials from a ladder due to lack of adequate means of carrying them (d) inadequate securing of ladders, resulting in falls (e) ladders not extending far enough above their landing place, leading to falls (f) using defective or poorly maintained ladders

Many of these accidents can be avoided by adopting the following precautions:

1. Take necessary measures to reduce risks found as a result of risk assessments carried out by the University of London. These will include:

(a) selection of suitable ladders (b) inspection before use (c) keeping records of ladder identification, inspection and maintenance (d) use of ladder at correct angle (75°, one out at the base for every four in height) HEALTH AND SAFETY

(e) secure fixing or footing during use (f) ensuring only one person is on the ladder at a time (g) ensuring suitable footwear is worn (h) use of tool-carrying bags to leave both hands free to hold ladder (i) reporting of defects and removal of ladders from service if necessary

2. Obtain the necessary instruction, information and training concerning ladder safety

3. Ensure that all ladders are from reputable manufacturers and suppliers and that they conform to the relevant British and European Standards
