The 2016 Chilsholm Trail District Webelos Woods will be held on October 21st through 23rd, 2016 at Friendship Park Ranch at Granger Lake. For all the latest news, be sure to check out the District Webelos Woods webpage:

Webelos Woods is a great opportunity for Webelos and their parents to meet and build a relationship with troops in Chisholm Trail District. Webelos will participate in great activities with Boy Scouts.

All Webelos and Boy Scout Troops in the Chisholm Trail District are encouraged to attend. This activity is being planned to educate, inform, and give a great experience that will long be remembered. It is well worth your effort to take advantage of this program. This is a scout related event – no siblings may attend.

This is a Scout activity and National Council Rules and Regulations will be in full effect. You will need

Webelos and Parent(s)

• All Webelos and their parents must register and pay online through the Council’s Doubleknot event system: • Fee is $15 per person • BSA Health form parts A & B required for all participants. • Adults attending should bring their Youth Protection certification card. • Price includes event participation, a Webelos Woods patch, and Swag. • Deadline to register is Wednesday, October 19th.

Boy Scout Troops

• All Boy Scouts, as a Troop, must register and pay online through the Council’s Doubleknot event system. Because Doubleknot DOES NOT divulge Troop info after sign up, please email your Troop number, Your Troop’s Activity, Unit Leader or Contact, and the number of youth and adults attending to Jeff Sabuda at [email protected] as soon as you can, or latest by Monday, October 17th. • Fee is $15 per person. • Each Troop is responsible for collecting and maintaining BSA Health forms and Youth Protection certificates for their unit. • Price includes event participation, a Webelos Woods patch, and swag.

3 | P a g e Be Prepared Check-in

Upon arrival, you will be directed to the vehicle parking area. Parking staff will let you know where you can park your vehicle. Once parked, proceed to the registration area with your required documents (Medical form and Youth Protection). After completing registration, unload gear and proceed to assigned campsite.

The Unit Leader must have the following available during check-in (all are required):  A complete roster listing all Scouts and adults attending.  Copy of BSA medical form (Parts A & B) for ALL participants. These will be returned at check-out. Per regular campout procedure, units need to keep a set of medical forms with them.  One check for any outstanding balances due. Units should check in as a group. Individuals cannot set-up camp until the Unit Leader has completed check-in and received a campsite assignment.

Webelos  Plan to arrive between 5 pm & 8 pm on Friday evening OR Saturday morning prior to 8:30 am.  At registration, each Den/Patrol will have been assigned to a rotation group, and may be joined with Webelos from another Pack depending on the size of your group.  If arriving on Saturday morning, you will have some time to set up your tent before the 9AM Opening Ceremony.

Boy Scouts  Plan to arrive between 5 pm & 8 pm on Friday night. Please eat prior to arrival. Patrols and Dens may wish to have their own Friday night Cracker Barrel (snack time). There will be a Cracker Barrel on Fri & Sat nights for SPLs & Leaders who attend the evening meetings.  Troop trailer will be allowed at your designated campsite. Truck/trailer rigs can remain at the campsite as long as roads are not blocked. All other vehicles will need to park per parking staff instructions.

Check-Out / Check-Out Inspection

Normal check-out is Sunday morning after the Scout Service and completed before 12 noon. Please plan to stay through Sunday morning, but we understand some will need to leave sooner. Therefore, units can check-out anytime Saturday evening before or after the campfire (up to 10 pm).  Please ensure Camp HQ is aware of your needs in advance should you require early check-out.  Please make sure your campsite is left cleaner than you found it. Remove all trash even if not yours. This includes all food items dropped on the ground (fruit peels, chips, etc.). Practice Leave No Trace.  Sunday morning, all units need to check-out as a whole…no individual check-outs please.  Patches will be handed out after the campsite has been inspected.

4 | P a g e  If you need to leave the camp for any reason you must sign in and out of the roster book at the Camp HQ (Required for emergency response reasons).

What to Expect

During the activity rotations, each troop teaches a different activity or skill to the Webelos, and adults have an opportunity to talk to scouters in that unit.

After rotations, Webelos will have free time to visit with Boy Scouts as well as work on a service project for the ranch. After dinner, Boy Scouts and Webelos Scouts will entertain everyone at a traditional Boy Scout campfire program (skits, songs, and stories must be appropriate and approved in advance).

Sunday morning each Den/Patrol will prepare their breakfast and then participate in a short Scout’s Own service (A Scout is Reverent) within their own individual packs/troops. Everyone will work together to make sure we’ve left no trace. The event will conclude after the Scouts Own Service, and check-out approval.

You can come and go as you need to, but please check in and out through the registration area. Those who attend the entire event get the most out of it.

All units must depart from the camp no later than 10am on Sunday. Units that plan to depart on Saturday evening must check out at the Registration area.

MEALS

• All units (Webelos and Boy Scouts) are responsible for providing their own meals, snacks, and drinks • It is strongly suggested that Troops contact the Packs that typically feed into their Troop and arrange a shared meal. Traditionally, Troops will provide Saturday lunch and Dinner for their “feeder” Packs. Troops, please contact your feeder Pack to arrange. Webelos will then only be responsible for Saturday and Sunday breakfast.

Uniforms • Friday – Scouts should wear Field Uniforms (“Class A”) upon arrival and may change into Activity Uniforms (“Class B”) for equipment set up. • Saturday – Scouts should wear the Field Uniforms (“Class A”) for the opening flag ceremony on Saturday morning; Activity Uniforms (“Class B”) are appropriate for the remainder of the day. • Sunday - Field Uniforms (“Class A”) should be worn Sunday for Scouts Own chapel service and closing ceremony

Equipment Each unit is responsible for bringing all the equipment it needs to camp. Meals will be provided for Webelos on Saturday for lunch and dinner by sponsoring troop. Each unit and Webelos Den/Patrol is responsible for breakfast on Sunday morning. No equipment for Webelos will be available at Webelos Woods.

Leadership Every registered adult attending Webelos Woods must complete online or in-person Youth Protection Training (YPT) prior to arriving at Webelos Woods. In addition, two registered adult leaders, or one registered leader and a parent of a participating Scout or other adult, one of whom must be 21 years of age or older, are required to attend for each unit. At no time will Scouts be allowed to leave the camping area without an adult leader or parent. Unit leaders will take full responsibility of their own Scouts and/or unit participants at all times. For parents of Webelos Scouts who are not registered adults, we encourage you to go online and complete Youth Protection Training as you prepare for your son’s transition to Boy Scouts. You can find the link for online training under the Resources section on page 2 of this packet. From the Guide to Safe Scouting: A Webelos Scout may participate in overnight den camping when supervised by an adult. In most cases, the Webelos Scout will be under the supervision of his parent or guardian. It is essential that each Webelos Scout be under the supervision of a parent-approved adult. NO SCOUT IS ALLOWED TO SHARE A TENT WITH AN ADULT WHO IS NOT HIS PARENT. Webelos may share tents with other Webelos.

Medication Drugs that have been prescribed must be in the name of the individual taking the medication. Any violation of these policies will result in the turning over the individual or individuals to the proper authorities and a report to the council office.

Water There is no potable water onsite – The District is making arrangements to have water brought in. Units should bring extra water jugs for storing and serving water at their campsite.

6 | P a g e Fire Williamson County lifted the burn ban for unincorporated areas of Williamson County on, Monday, August 15, 2016. Participants, please utilize your Troop’s own fire rings for camp site fires. The park is day use only and has no fire-rings in place. Please be cautious with your campfire and follow leave no trace.

First Aid Each unit is responsible for treating their own Scouts and leaders for minor First Aid cases. However, please notify the Webelos Woods staff of any First Aid given so that it can be recorded. Any serious or questionable First Aid situation should be reported to Headquarters. All campers need to have a completed BSA health form onsite. Any medication needs and permission to administer medications should be listed on the medical form.

Motorized Vehicles (cars, trucks, etc.) Motorized vehicles must be parked on the parking lot (see # Map). Signs will direct where you should park. Vehicles should be parked near the water area.

Trailers Troops may park their trailers in their designated event area (see # on Map) alongside the Troops’ camp site area. The Park will open at 2:00pm on Friday, October 23rd and will be accessible all day for units to enter and park their trailers. Please locate the signage provided to ensure you are in the correct campsite. Trailers should be in place by 8:00 AM Saturday, October 22nd. Restrooms All brick and mortar restrooms are closed for use. There are no bathing facilities. Portables will be available for use by scouts and adults (See Map). There will be 9 Male, 3 Female and 2 unisex handicap marked for use. Have extra toilet paper handy in case the Portable toilets happen to be out, be prepared.

Honor A Scout’s honor is number one! If you see something lying around and you cannot find the owner bring it to the Webelos Woods Registration area and it will be placed in the lost and found. And remember, the Scout Law applies to Scouts of all ages.

Conduct Webelos Woods is about showing younger Webelos the exciting world of Boy Scouts. The best way to do this is to obey the Scout Law. No night raids, hazing, ambushes, demonstrations of poor behavior, or inappropriate language will be tolerated. Misconduct or poor behavior will be cause for the individual and/or the unit to be asked to leave the event.

Curfews • Friday: 10:00 pm to Saturday: 6:00 am. All Scouts must be in their campsite area. • Saturday: 10:00 pm to Sunday: 6:00 am. All Scouts must be in their campsite area. • There is to be no noise after 10:00 pm or before 6:00 am.

7 | P a g e Electronic Devices Electronic devices tend to be broken, lost, or stolen and therefore should not be brought to Webelos Woods. This event is not about sitting in your tent or around the camp playing with your phone, tablet, MP3 player, etc. It is about the outdoors, fun, brotherhood, and fellowship. Leave all non-essential devices at home.

Leave No Trace The Leave No Trace principles are to be followed by all campers at all times. This includes properly disposing of all waste, minimizing campfire impacts, respecting wildlife, and being considerate of other park visitors. Always leave your campsite better than you found it.

Lost and Found Any items found should be brought to Webelos Woods Registration. Scouts who have lost items at camp should check at Registration to see if their items have been found and turned in.

Personal Property Campers should properly mark everything they bring to camp. Hats, flashlights, shoes, etc. tend to get left behind and easily lost. Scouts who write their name on their stuff are much more likely to be reunited with their lost items.

Prohibited Activity (Alcoholic Beverages/Drugs/Smoking) Per National Council policy, alcoholic beverages, illegal drugs or smoking are not allowed at any Scouting activities (refer to Medicines section for prescription medications). ALCOHOLIC BEVERAGES OR ILLEGAL DRUGS (USE OR POSSESSION) WILL NOT BE TOLERATED. SMOKING WITHIN THE EVENT AREA IS NOT PERMITTED.

Song/Skit/Story Submission Form

Webelos and Boy Scout Patrols are to submit their proposed skit, song, or story for the campfire program no later than 5:00 p.m. on Saturday to the Webelos Woods Registration Area. Earlier submissions will be accepted and are encouraged.

Skits, songs, and stories must be appropriate for Scouts of all ages and should not exceed a “G” rating. That means that the skit, song, or story cannot contain curse words, disparage a certain demographic or ethnic group, or involve inappropriate costumes or physical acts.

Skit, song, and story proposals will be reviewed for appropriateness. Skits, songs, or stories that are deemed inappropriate will not be allowed and the patrol will have to submit another skit, song, or story proposal.

The campfire program MC will decide the order of the performances and will arrange them to provide variety and an entertaining flow to the program. You can request to be at a certain place in the order, but no guarantees can be made. Skits, songs, and stories must have the approval of the Campfire MC. Each skit/song/story must be performed in two (2) minutes or less.

Each Troop will host a round-robin skill activity during scheduled rotation assignment times for the Webelos. The round-robin skill activity interval will be timed at 15-20 mins. Each skill activity, during the timed interval, that the Boy Scouts present, should include time for skill presentation, hands-on time, and questions.

Troops that sign-up to attend Webelos Woods please be sure to identify the skill event you will be hosting on the unit roster registration sheet titled “Troop Round-Robin Skill Activity” (pg.15).
