www.ljmu.ac.uk/library Introduction Mendeley is a free and academic social network.

Mendeley provides a free online account to build a personal library of references. You can:

• Download Mendeley Desktop for free on your own computer, and/or on the LJMU network from the App player (available for Windows, OSX and Linux). • Use mobile applications (iOS and Android) and access a web-based view of your library from any browser. Any updates you make are synced. • Organise, read & annotate your PDF documents within Mendeley. • Use Mendeley Desktop and the Microsoft Word Citation Plugin to insert citations using references from your library, and to generate bibliographies.

Sign Up for Mendeley and Download the Tools

Create a standard 2G storage Mendeley account at https://www.mendeley.com/. Adding profile information is useful for networking and recommendations features.

On your own equipment.

Once signed up and logged in online, click the ‘Download Mendeley’ link (pictured below) in the online account. From here you can access three downloads, Mendeley Desktop, Web Importer, and Citation Plugin for Word.

These are all free to download.

Start by downloading ‘Mendeley Desktop’ to your computer. You will be prompted to sign into Mendeley Desktop using your Mendeley online login details. Logging in enables you to sync changes between the online version and between different PCs (very important to sync to save changes always – regularly at start and end of sessions should avoid losing work and ensure items added online appear in the desktop version).

Download the ‘Web Importer’ (Imports papers, web pages and other documents directly into the online version of your Mendeley library - available for all major web browsers).

Install the MS Word ‘Citation Plug-In’– (Enables ‘cite as you write’ using references stored in Mendeley Desktop). This plugin can also downloaded from Mendeley Desktop as described in the next section. 2

On the LJMU University network

TIP: Using Google Chrome is easiest on the LJMU network, because Internet Explorer or Edge may try to open references you export from Discover and from Databases in a different programme – Endnote.

Once you have created a Mendeley account online…

On the LJMU app player (find pictured icon on network desktops). Search Mendeley then click on icon to open the Mendeley Desktop Programme. Use your newly created login details to sign into it.

FROM Mendeley Desktop a pop-up may offer to install the MS Word plugin. If not, install from the Tools menu as shown below (NOT from your online Mendeley account, as this does not work on the LJMU network). This may involve some opening and closing of MSWord/Outlook as instructed by messages on screen.

MS Word ‘Citation Plug-In’ enables ‘cite as you write’ using references stored in Mendeley Desktop.

If you will be using the Web Importer, install it ONLINE from the browser you are logged into using the ‘Download Mendeley’ location shown on the previous page - Google Chrome recommended on LJMU.

‘Web Importer’ (Imports papers, web pages and other documents directly into the online version of your Mendeley library - available for all major web browsers).

N.B. It is fairly quick to do, but you have install the tools you need every time you use Mendeley on the LJMU network. Web Importer Notes ‘Web Importer’ is added to your Browser. See two examples here - in Google Chrome it is found to the right of the address bar (left), and in internet explorer it looks like a bookmark (right).

N.B. For simplicity this guide mainly describes using Google Chrome in Windows 10 rather than detailing slight differences for all browsers and other operating systems.

Set the Citation Style to OSCOLA Once the Word citation Plug-in is installed find it under the References Tab in Microsoft Word, and set the OSCOLA referencing style from here as follows.

Click the drop-down next to the word ‘Style’. OSCOLA is unlikely to be showing at first in the list. You have to click ‘More Styles’ …this connects to Mendeley and a dialogue box. In the box – select the ‘Get more styles’ tab, then search - ‘Oscola’. You will see 3 OSCOLA options. Click on the required style to select (Ignore the ‘no ibid’ and York versions of OSCOLA). Click ‘Install’ then ‘Done’ (but it is still not showing). Use the style dropdown again – OSCOLA is now in the list so click on it. Click ‘Use this Style’ then ‘Done’.

Citation style should now show in Word as pictured here.

OSCOLA Style should also be set in Mendeley Desktop ‘View’ menu as pictured below. You can always check that the correct style is selected and change styles here if not.

Adding references to Mendeley Desktop from Library ‘Discover’ & Manually Adding and editing individual Books and Journal Articles from Discover. In ‘Results’ list choose an item (BOOK in this example) to reference. Journal articles are the same process.

In results list, click the Double quotes as above to see options, from which you select Endnote. Click download (as below). Book or Journal Article material ‘Type’ should select automatically.

In Google Chrome you see RIS file download to bottom left on screen containing reference data. It is now in your downloads.

In Mendeley Desktop, select where you want the document (Law folder selected – pictured below). Click File, then ‘Add files’ OR dropdown for menu pictured below – select ‘Add files’.

Browse to ‘Downloads’ folder, then click on RIS file which has downloaded to select it. Next click ‘Open’ to add it. Image shows finding downloads on LJMU network, (typical for Windows 10 PC). Tip: Folders can be created using the ‘Add Folder’ button to the right of the drop-down shown.

NB. Important. In student profiles on the LJMU network the Downloads are not saved, so add files to Mendeley before ending your session (and SYNC), or to a folder on your Office 365 OneDrive to add later.

Tip: Watch folder option in image above. You can set a folder for Mendeley to ‘watch’ – any PDF you put in will be added to Mendeley. Always check material type for any added PDFs, then edit fields as needed.

As above, a few simple edits ensure the book displays correctly in footnotes. Many items may need less editing than this example. Publishers names are kept short e.g. just – Pearson, Routledge, OUP. No city.

Tip: See Footnote Editing if adding page numbers to footnotes to pinpoint quotes or paraphrased sections.

Adding multiple references from Discover using Discover ‘Pin’. Perform search. Use item pin to ‘Add to marked list’. (Pinned items show in yellow, and can be unpinned by clicking on pin again). Access the list of pinned items by clicking on the larger pin at top right.

‘Pins’ screen opens at the first of 3 tabs - ‘Saved records’. 6 items are pinned. Tick the ‘6 items’ box to select all items, or tick individual items. Click 3 menu dots, then Endnote, then Download - as below to download RIS file for all references. Add file to Mendeley as previous section to enter all references in one go.

Adding a Reference Manually On occasion, you may wish to add a reference by typing or pasting in all the details manually. Any material type can be added manually, books, articles, cases, legislation...

You may for example wish to add a book from your bookshelf. Choose the ‘Add Entry Manually’ option from the drop-down. Select the correct material type – (case pictured on following page, book fields on previous pages). Type or paste in the details needed for the reference, title, authors, year, edition if not 1st, publisher.

(Check OSCOLA Guides).

TIP: Don’t forget that an Organisation author will need a comma at the end to display correctly. Manually Add a Law Report Case to Mendeley Use the dropdown to ‘Add Entry Manually’. Find party names and citation details on a legal database.

Choose ‘Type’ Case and enter party names and citation details in Title & Pages fields as shown. Note that some unnecessary full stops have been removed in AC. Save.

Save, then preview in ‘Recently Added’ using ‘View’ menu, choosing to view ‘library as citations’.

Adding Multiple References from Databases to Mendeley Desktop – Four Examples Many databases have the option to ‘export’ a number of references at once to reference managers like Mendeley (Not LexisLibrary - but other ways using PDFs & Web Importer are shown in this guide).

Exporting from Westlaw Journals Tab Image below is a search on Westlaw UK in the Databases A-Z.

Select ‘Journals Search’ from the Journals tab dropdown (Journals is the only area of Westlaw that can export RIS files for adding to Mendeley).

Perform your search and tick boxes in search results to select.

You will see the ‘Reference’ (RIS) file download in Chrome, defaulting to go to the ‘Downloads’ folder. In Mendeley, again use button to add file, browse to file in ‘Downloads’ and click to confirm.

TIP : Remember to SYNC regularly when you have added references to avoid losing work or forgetting at the end of your session, especially when on the LJMU network.

Exporting from UK Parliamentary Papers Image below is a search on UK Parliamentary Papers on Proquest – in the Databases A-Z. Select references to export as below (1,2,& 3 are ticked) , click Save to get the dropdown. Click on the option with RIS.

You will see the ‘Reference’ (RIS) file download in Chrome, (defaulting to go to the ‘Downloads’ folder in all browsers). In Mendeley Desktop, again use button to add file, browse to file in ‘Downloads’ and click open to confirm.

The 3 references will be added to Mendeley.

Exporting from Criminal Justice Abstracts with Full Text Image below is a search on Criminal Justice Abstracts with Full Text on Ebsco in the Databases A-Z.

Click on the folder icon with the + to select each item (ringed). Icon changes to show item is in folder as nos 1. & 2. Click ‘Go to folder view’. In Folder View screen, select all items and click ‘Export’. In next screen choose default option ‘Direct Export in RIS Format (e.g. , EasyBib, EndNote, ProCite, Reference Manager, ), then click ‘Save’. Again, RIS file downloads ready to add to Mendeley as above. 11

Exporting from Proquest Central Once logged into Proquest Central as LJMU user using Databases A-Z instructions you may click ‘Change Databases’ to access a list and add further databases to your search. Once chosen, click ‘use selected databases’ then perform a search. In results, tick box at top left of each result you wish to select, then click on ‘Cite’ icon.

Ignore everything in next box, but click RIS button at bottom left (pictured). In the next screen RIS is already selected and you just need to tick ‘I’m not a robot box, and click ‘Continue’ at the bottom, and the RIS file will download.

Adding Online items using the Web Importer to Mendeley Online – Two examples.

Websites, journal articles & books usually need very little editing to display correctly OSCOLA style using the Web Importer. But always check against OSCOLA guides.

• Open required Web page in browser (here Chrome), then click on the Web Importer extension. • If not already signed into your online Mendeley account you will be prompted to sign in. • Click dropdown by ‘My Library’ to choose a specific one of your Mendeley folders to save in. • Keep PDF ticked if desired (For this it will not add the PDF as the PDF document is a separate link further down). You would need to manually add it which is shown in Adding a PDF to a Reference • Choose top one as title and authors are already present and correct. • Change reference type to Webpage using dropdown. • Some further details need adding: o Parent website from address bar as highlighted to publication field o Year, day and month from publication (URL & access date are already present)

Click Add at top, then click to close web importer.

Tip. SYNC - When you next open Mendeley Desktop, click Sync if sync does not happen automatically. Sync will also update changes you have made online and on Mendeley Desktop on other computers.

Click to edit reference and make any changes that are needed.

• The last updated date was found at the bottom of the webpage and added into the appropriate fields as in previous example. Last updated: 19 Jun 2019 • Organisation author ‘Equality and Human Rights Commission’ was showing in Title field, and cut and pasted into author field. • NB. Comma is placed at the end of organisation author for correct display. • Major words are capitalised in titles for OSCOLA, but not minor words and, of, the… You can leave the title alone though, because Mendeley automatically displays correct OSCOLA capitalisation. • URL and access are automatically captured down in the correct fields.The parent website should go in the Publication field as in previous example. Click Add to save.

Adding other items with the Web Importer

It is possible sometimes to use web importer to import details of other items you have open online, such as online documents, journal articles, ebooks and more. However this is not always successful, and depends on the way the pages are structured. Just try the ones you wish to import in this way. Change the material type if incorrect. Check carefully and do any editing that is needed for the references to display accurately in your footnotes. If details are not carried over you would need to paste them in from the webpage.

For example Hein Online articles is captured well when open as below. Whilst this is occasionally useful, the easiest is usually importing from Discover, Databases, pdfs or google scholar as described earlier for ebooks and journal articles.

Tip: Recently Added Folder Above it was suggested to choose a folder. This option is not always there, or you may forget. Newly added documents show in the Recently Added Folder and can be checked in there before adding to the folders you wish using drag and drop.

Adding a case from a Westlaw PDF to Mendeley Desktop Click on the case link in your result list and open document (example below). Download PDF using icon. Chrome sends it to your Downloads folder. (Notice that your neutral and law reports citations are showing).

You will see the ‘Reference’ (RIS) file download in Chrome, defaulting to go to the ‘Downloads’ folder. In Mendeley, use button to add file, browse to file in ‘Downloads’ and click to confirm.

Editing a Case Reference to Cite Correctly in your Footnotes.

It may default to Type: journal article. Use the drop-down to change ‘Type’ to Case as above.

• Edit to leave just party names separated by v in first author field as below. • Copy citations from the document and put them in pages field. • If both neutral and law reports citations are wanted (as here) separate with semi-colon or just a space (in OSCOLA separator is comma but semi-colon or space ensures both go in footnote). • Empty out the Year, Volume & Issue fields. • Click ‘Details are correct’, which records it as checked. (Not a ‘Save’ – saving is automatic)

Tip: put a comma at the end organisation name in author fields/Reporter fields for correct display in references.

Adding Legislation from a Lexis PDF to Mendeley Desktop

Open legislation document from your search results, click download icon and choose PDF format.

In Mendeley Desktop, again use button to ‘add file’, browse to document in ‘Downloads’ folder as shown previously, and click ‘Open’ to confirm.

Adding a case from a Westlaw PDF for more detail on adding files procedure) Editing a Legislation Reference to Cite Correctly in your Footnotes. • Set the material type to ‘Statute’ • Edit so that just the title of the Legislation should be showing in title (bold) field • The year should be in the Year field - title and year are the only details that need entering. NB: OSCOLA 4th (p4) guide states that legislation need only be footnoted if all the details are not included in text. (You may still need to remember to put it in a Bibliography if not footnoted.) • Where part of a Statute or Statutory Instrument is pinpointed in a footnote (as in the Dangerous Dogs Act example below) the pinpoint details should be added as a manual edit as shown in Footnote Editing.

Checking References and Managing Duplicates Checking - It is good practice to check/edit references immediately after adding, so they are ready to use.

Pictured below the folder ‘Recently Added’ is selected. Using ‘View’ as shown, change Mendeley desktop from the usual view - ‘Library as Table’ to show ‘Library as Citations’. Select each reference and make any necessary edits to the fields in the right hand pane. Useful to click on ‘Details are correct’ at top of right hand pane when you have finished checking each one.

You can swap back to the normal table view once you have finished editing.

NB. For OSCOLA style, this feature does not display some imported references. In this case, checking the footnotes by adding to a test document is necessary. The following section shows this. Duplicates

Importing from a number of resources may result in duplicate references. A simple tool helps manage these. In the ‘Tools’ menu, select ‘Check for Duplicates’

Duplicates will be listed. Select each one by one. If the details have no conflicts, you can simply click a button to Confirm Merge, and it will go out of the list.

If there are conflicts where details are different, go to the right hand pane, and tick any boxes which are unticked that have details you wish to keep (Instructions are on screen for this) then ‘Confirm Merge’.

Use Mendeley References in your Writing in Microsoft Word OSCOLA Style • In Microsoft Word, insert your cursor where you want the footnote superscript number. • Click Insert Citation (NB. Sometimes occasionally this does not insert a footnote – if not see below). • (If the above does not work) Instead, first click Insert Footnote and the superscript number will appear in both text and footnote area, then click ‘Insert Citation’

This box pops up – Click on ‘Go To Mendeley’

The Cite button is now showing in Mendeley desktop. Click on reference first to select, then click Cite.

The reference will now be in the footnote area of your document formatted as below.

Footnote Editing Footnote editing is needed for ‘pinpointing’ (identifying specific pages/paragraph numbers/sections when quoting or paraphrasing). Mendeley has some limitations which create a need for editing footnotes also. For example - put in a comma to separate citations in case references, as in the Dyson example above from

How to do it Click on the footnote (which will highlight grey). Click again where edit is required and make required edits. In this dialogue box which will pop up, select ‘Keep Manual Edit’ to save your edits.

Footnote edits will only apply to one footnote. Other references to the same source will remain unchanged. NB. Any edits to the source details fields should be done in the reference ‘Details’ pane in Mendeley.

Adding a PDF to a Reference

If desired to add a PDF to a reference. Download the PDF required.

Select the reference so that you can see all the fields in the right hand pane. Click on ‘Add File..’ in the ‘Files’ field.

Browse to the required PDF, select and click to confirm,

It will then show as added as in the example below.

Tip: Free account space is 2G. PDFs use more space than just references so bear this in mind, but a good many can be stored in this space. References alone use less space. You could always remove some PDFs and references that are no longer needed if this became a problem.

Google Scholar Google scholar can export an RIS file that you can add to Mendeley. Click on the ‘Cite’ icon for the item, to open the Cite box as below.

There is no need to select a style (OSCOLA does not show). Instead go straight down to click on ‘Refman’. The RIS file suitable for all Mendeley styles will download.

Annotating your library PDFs Single clicking on a reference in your library selects it and displays the details in the right hand pane. Double clicking opens any attached PDF in a new tab as below ready to read. As seen below, a set of useful buttons arrive suitable for highlighting text, adding notes etc.. Also in the details pane are found:

• a Notes tab which displays any previously added notes for the document • a Contents tab which displays the document’s ‘Table of contents’ (if it has one – many PDFs do) for easy navigation between sections

You can use the ‘My Library’ tab to swap back to your library at any time. Mendeley automatically saves any changes you have made. Click the x on the open document tab if you have finished with it.

The Mendeley Apps These are good for reading saved PDFs, and for using the links in your references to access other readings, whilst on the move.

There is a notes tab to add notes when you first open a reference.

You can add new references from scratch.

News and suggest features are also present to help you find more relevant content.

Remember to sync when online to update changes you have made in the app.

Inserting a Reference List in Microsoft Word Decide where you want to insert your Bibliography and leave your cursor there.

In the Word References tab click on in the Mendeley plugin. Example below.

Check that the references show correctly both in the footnote and bibliography formats.

The Bibliography inserts in three alphabetically ordered sections as above.

1. All secondary sources such as books, journals, journal articles 2. Cases 3. Legislation You can continue to add footnotes and the list will be updated and new items correctly placed. If you decide to remove a footnote, this is done by deleting the superscript number in the text. Check that item has gone from the Bibliography. Remove it if not.

Once your document is finished you may wish to separate the sections and paste parts in another part of the document. It is essential to wait until you have finished adding references before doing this.

NB. It is usually recommended in OSCOLA to have a table of cases first, table of legislation next then a Bibliography of secondary sources last. LJMU modules may recommend this, but always check your Module guidance provided by your tutors who will be marking your work.
