Position Description POSITION DESCRIPTION Position Title: Marketing, Membership & Communications Coordinator Employment Status: Full-Time fixed term contract Reports To: Brand & Marketing Manager (BMM) Direct Reports Nil PD last updated: May 2012 About Cricket Victoria Cricket Victoria (CV) is one of Australia's leading sporting organisations and carries the responsibility of developing cricket throughout the State. With the recent development of the Big Bash League (BBL), Cricket Victoria’s new T20 teams – the Melbourne Stars and Melbourne Renegades – are set to embark on their 2 nd season! About the BBL Structure The BBL is administered by Cricket Australia (CA) and comprises 8 new city based teams, with each team playing 7 games (home & away) in a competition period from December 2012 – January 2013. Melbourne has two teams – Melbourne Stars (MCG) and Melbourne Renegades (Etihad). The full-time BBL team will be supported by shared services provided by CV (including but not limited to finance, payroll, IT, HR, team logistics and events including match night operations as well as digital marketing), and central services provided by CA (including but not limited to membership, central marketing, website, licensing and merchandising). About Melbourne Stars The Melbourne Stars are a wholly owned subsidiary of Cricket Victoria and operate independently as a separate legal business entity. The Melbourne Stars achieved tremendous success in BBL|01 with record domestic crowds attending the MCG, the largest TV audiences in the League, unprecedented reach in non- traditional audiences (women & teens), the highest membership of any team in the League and the greatest success in social media channels. Playing at the home of cricket, the Melbourne Cricket Ground, in the BBL|02 season the Melbourne Stars will be comprised of a small, dedicated team of professionals, with the majority of marketing, membership and communications requirements outsourced to third parties. Position Summary The Marketing, Membership & Communications Coordinator (MMCC) is a wide-ranging and pivotal role encompassing key accountabilities across: Position Description Page 1 of 1 1. Membership services 4. General team administration and logistics The MMCC role will be critical in proactively managing all stakeholder relationships across the business, particularly that of external 3 rd party service providers CV, CA, media, members and fans of the Melbourne Stars. In the 2 nd year of a start-up enterprise, this role will be hands-on traversing all areas of a sports business, requiring initiative, leadership and confidence to pro-actively help the Melbourne Stars deliver its BBL|02 objectives. Accountabilities/Responsibilities 1. Project management of key Melbourne Stars deliverables Assisting the CEO & BMM, the MMCC will be the primary contact point across all stakeholder relationships. Key tasks will include: • Proactively maintaining and managing project timelines, milestones and deliverables • Managing service providers, contacts and stakeholders throughout the lead-up to and during the season • Managing workflows of service providers • Alerting/reporting risk areas, issues of concern • Oversee and monitor performance of all Melbourne Stars stakeholders 2. General marketing and promotions Working with all service providers, play a key role in all general marketing and promotional creative initiatives from design, planning and activation. Key task will include: • Be involved with the development of marketing plans/strategies/action lists • Working with service providers to coordinate the delivery of activities throughout the season • Work with CV, CA and other stakeholders to develop promotional and marketing initiatives to connect the Melbourne Stars • Be involved in activation of events and promotional activities • Assist in the monitoring of and maintaining budgets 3. Membership Services Working with all service providers, and under the direction of the BMM, assisting with membership service activities. Key roles will include: • Be trained and proficient in the membership systems and key reporting tools • Assist in the management of stakeholder relationships surrounding membership • Actively involved in developing compelling offerings through generating copy, etc. 4. Events, hospitality and sponsorship servicing Position Description Page 2 of 2 • Actively involved in developing compelling offerings through generating copy, etc. • Working with the 3 rd party providers and stakeholders to deliver events to a high standard • Provide outstanding customer service to Melbourne Stars’ stakeholders • Sponsor servicing at all events • Oversee the management of invitation lists, take bookings, and create appropriate seating plans, checklists and run sheets • Ticketing of all hospitality event attendees • Attend Melbourne Stars’ matches and assist the Sponsorship and Events Manager (SEM) with on-field entertainment and perform tasks at ground as required • Assist with the design and production of Melbourne Stars collateral • Be central contact for all BBL’s print and design requirements • Develop design brief, quotes and approval 5. Communications, PR and general media • Liaise with 3 rd party Media & Communications Manager • Develop and assist in the implementation of a dedicated PR and Media Plan for the Melbourne Stars • Work in conjunction with outsourced PR services, other 3 rd party contractors & CV PR/Comms staff to co-ordinate media interviews & photo opportunities as required – including players, coaching staff & staff • Ensure branding opportunities are carried out at media appearances, maximising team and sponsor exposure • Work with outsourced services to coach & develop players, coaches & Stars’ staff to communicate effectively with the media, public & stakeholders • Promote the Melbourne Stars wherever possible, particularly across non-traditional formats • Assist Melbourne Stars’ players at media related events, speaking and appearance opportunities • Be the Melbourne Stars’ escalation point for all initial public relations enquiries 6. General team administration and logistics • Working with team personnel including Coach and Team Manager, along with CV services and the MCC, be main contact point and conduit for all activities and team requirements • Administration & logistical support to CEO & BMM 7. Executive Assistant duties for CEO and Board • Providing administrative support to the CEO and Board of Directors • Secretarial responsibilities to the CEO, including correspondence, reports, minutes, arranging meetings, screening calls, diary management etc. • Secretarial responsibilities to Stars’ Chairman, as and when required • Liaison with EA to CEO at CV regarding complimentary tickets required for corporate hospitality, sponsors & stakeholders • Co-ordinate BBL ticketing requirements for all commercial sponsors, partners, stakeholders and other guests • Co-ordinate Board dinners and functions as required • Assist with the co-ordination of all travel & accommodation requirements for the Melbourne Stars’ team and staff Position Description Page 3 of 3 8. Develop convincing offerings to reach membership targets 3. Manage projects during the development of the Melbourne Stars and have cross- functional understanding of the business 4. Build strong relationships with Melbourne Stars’ staff, Board, media & players, CV employees, external services, sponsors, CA & MCC 5. Timely performance of duties to the CEO 6. International matches (Boxing Day Test match and one-day internationals) Current financial VRC members may purchase one visitor ticket for themselves and up to a further two for guests for days 4 and 5 (Dec 29 and 30) of the Boxing Day Test match between Australia and New Zealand and Australia’s T20 international match against Sri Lanka on November 1, which will give access to unreserved seating on levels 1 and 4 in the MCC Members Reserve.
