An Introduction from the Preparatory School Headmistress

Welcome to Bromsgrove Preparatory School. We are delighted that you are joining the Preparatory School and we look forward to forming a long and happy association with you.

We hope that you and your child will be happy and successful here and want you to be fully informed about your child’s education and the many opportunities available for parents to be involved in the life of our School. You already have a copy of the prospectus which describes Bromsgrove School in general; in addition please read my weekly newsletters, the whole School fortnightly online news review and the termly white calendar of School events to keep you informed about our busy and exciting School schedule.

The information in this booklet includes a number of forms which require your attention. Please return all relevant forms as soon as possible.

Boarding families will receive separate information specifically about the boarding house nearer the start of the Michaelmas Term.

We believe that being informed contributes to a confident start. Therefore, we have published all joining instructions, including pupil handbooks, policies and School rules, on the School website (www.bromsgrove-school.co.uk). These can be found within either the Admissions section or the Document Library.

PUBLICITY, WEBSITE AND MEDIA PERMISSION

It is the custom and practice of most independent schools, including Bromsgrove School, to include some photographs or images of Pupils in the School’s promotional material such as the prospectus, website and DVDs. Parents who do not want their child’s photograph or image to appear in any of the School’s promotional and publicity material must make sure their child knows this and must write immediately to the Bursar requesting an acknowledgement of their letter. We would not disclose the name and address of a child without the Parents’ consent. The School will assume consent, unless indicated otherwise, that you and your child are happy for their image and name to be included in news of the School in press releases to the media, in the School prospectus, on the School Website/Intranet and in external social media sites.

However, a School Fees Insurance Scheme is available to any parents who may wish to take of advantage of it.

9 TRANSPORT 2014 Bromsgrove School offers an extensive transport service to and from the School. As well as our own fleet of eight minibuses we contract with companies such as M and T Minicoaches Limited and BNC Taxis to provide a daily service. Daily routes are organised to accommodate the geographical spread of pupils and can vary from term to term, depending on the location and numbers of pupils requiring transport and the length of the journey involved.

All drivers and contract company staff are CRB (Criminal Records Bureau) checked prior to any contract issue and School drivers are assessed by the LEA for driving competence and their health checked on an annual basis.

SCHOOL TRANSPORT RULES

We regularly remind pupils who travel on School Transport of the following rules:. If your children travel to and from School on the School transport, please support us in reinforcing these safety messages.

1) If you are travelling on a bus or coach: a) Board promptly – no waiting around by the bus, jumping on at the last minute or running after a bus. When School buses have started their evening journeys, doors will not be opened to admit late-comers. This ensures the safety of your child. School buses will leave at 17.50 hrs prompt from the Senior School Car Park. b) Seat belts must be worn throughout the journey. Coach or minibus accidents can be serious, even at low speeds, if you are not secured properly. We will ban pupils who refuse to wear seat belts. On daily transport the teachers do not accompany pupils and we very much rely on the good sense and co-operation of the pupils. However on all School coaches and mini-buses in the end whatever advice and directives we give, if a pupil chooses to remove their seat belt during a journey that is their individual decision. Please reinforce our policy at home. c). Normal School Rules apply on School Transport. Poor behaviour can distract the driver and cause a road traffic accident and is deemed a very serious offence. Nor should any behaviour on the School bus cause offence to any pedestrians or other motorists The School reserves the right to ban pupils from using School Transport, especially if a pupil endangers him/herself or that of others. Distraction of a driver will be regarded as a very serious offence. 2) If you are waiting to be collected: • DO NOT stand in the car park where vehicles could collide with you. • DO NOT wait by the Gatehouse; this is NOT a collection point 3) Never walk across the car park to a vehicle, a bus or Walters House – use the footpaths and crossing points provided. Bromsgrove School Shop is your first port of call for School uniform. The Shop provides quality uniform to all our pupils and you will find everything you need for your son/daughter’s first term at Bromsgrove School.

In order for our Shop staff to complete a full uniform, an appointment is essential. Please call the School Shop on 01527 579679 ext 220 to arrange a time. We ask that you allow at least 1 hour for the appointment, refreshments are available from the tuck shop. As the School Shop does not close over the summer holidays, parents living abroad or guardians accompanying international students can arrange appointments in advance for when the child arrives in the UK. Please either call or contact us by email [email protected] to arrange this.

Our International Students attend a three day induction programme which commences on the 29th August; it is not possible for UK boarding or day pupils to book appointments during this period, so please ensure appointments are made prior to this date.

Early appointments may be necessary for extra large or small sizes as certain items of uniform may take 8-10 weeks delivery. Payment is by cash or credit card (except American Express). Please allow approximately £450-£500 and an extra £150 approximately for boarders. We do stock trunks and tuck-boxes, but have a limited supply. These can be ordered in advance by emailing the School Shop. Please note a full uniform cannot be purchased and put on the end of term bill.

All items of uniform, clothing and sports equipment must be named. Please note in the case of boarders, the House initials must be included at the end of the name:

In addition to the School uniform the School Shop also offers a wide range of sporting equipment. Additional items can be ordered. The stationery shop offers all the pens, pencils, books and files that may be needed, plus a selection of toiletry items. It also offers a mobile phone top-up service.

Parents/guardians must accompany pupils for full uniforms. All clothes must be clearly named with name tapes. Boarders’ name tapes must include their house initials at the end of the name tape. Extra large or small sizes are available but early notification is necessary. Payment is by cash or credit card (not American Express).

Our team of Health Professionals work closely with parents, academic and other support staff in all three parts of the School to meet the needs of individual students, or deal with health and welfare issues that may affect the whole School. Full details of any of our policies can be made available to parents on request. They are endorsed by the School Medical Officer, Inspectors, and the Academic Senior Management Teams and put into practice throughout the School.

The School Health Centre is situated between the Preparatory and Senior Schools. The service is led by the full time Nurse Manager, Mrs Mary Harris, with a team of three other Registered Nurses. The nursing team are very experienced, with a proactive approach to preventive healthcare and an extensive knowledge of all aspects of Nursing. All Nurses are employed by the School and there are no extra fees for their services or for treatment at the Health Centre. The nurses have support and professional supervision from the team of NHS Doctors at the Churchfields General Practice in Bromsgrove town centre, where the School Medical Officer, Dr David Law, is a partner.

HOUSEMOTHERS are employed in the boarding Houses to manage health and welfare for the boarders in their House. They are not trained nurses but they are an integral part of the pastoral team and have a primary caring and parenting role in the House, working closely with the Houseparent and Health Centre Nurses. When Housemothers are not on duty, duty staff cover health and welfare roles with additional 24 hour support from Nurses.

MEDICAL CONFIDENTIALITY Nurses, Doctors and the School Counsellor maintain client confidentiality in accordance with their professional codes of conduct, and fulfil an important role in allowing students, staff or parents to express a wide variety of problems, questions or emotions in complete confidence, regardless of age. However, they remain constantly aware of the family and School community. Students are strongly encouraged to talk about what is happening to them with key people in their lives at home and in School wherever possible.

If Health Professionals decide that they can legally justify breaking confidentiality, this is fully explained and discussed with the person concerned before any action is taken, and they are fully supported through this situation.

Information returned on the School questionnaire will be given to staff in order to care for the pupil in School. If there is any information that only Health Centre staff need to know, they should be informed of this. Only Health Professionals have access to medical and nursing records.

COMMUNICATION It is essential that contact information is up to date at all times. Parents are welcome to call in to the Health Centre or contact them by telephone and email at any time, and direct contact with the Doctors can be easily arranged for boarders’ parents.

We strongly encourage sharing information about treatment and follow up care - between the pupil concerned, their par- ents, Health Centre and relevant school staff, and request that all parents keep us informed about events that occur during holiday periods, especially if the pupil needs additional support during the next term. If medical treatment is obtained outside the UK the Health Centre needs written confirmation of the details of this IN ENGLISH immediately on arrival back at School.

CONSENT FOR TREATMENT For children under 16 years of age, we require written consent annually, authorising us to give emergency treatment adn homely or prescription medicines under our School Policy for this purpose. Further specific consent will be required by teaching staff taking School trips.

TWENTY FOUR HOUR SERVICE The School Health Centre is open to all members of the School and visitors to the School from 08.00 - 18.00 Monday to Friday and from 08.45 – 17.15 on Saturday. Outside these hours, a nurse is on-call to provide immediate support, assessment and on site assistance whenever needed. She arranges access to 24 hour medical and emergency care using normal NHS services if necessary.

18 ASSESSMENT OF INJURIES AND ILLNESS During open hours all students in the Preparatory and Senior Schools are expected to visit the Health Centre for assessment of any illness or injury that occurs at School, unless basic First Aid applied by one of our many qualified First Aiders is all that is required. At the Pre-Preparatory School all of the teachers are First Aid trained and they have their own procedures for sending children home or accessing emergency services, as they are not on the same site.

Health Centre nurses can treat a wide range of minor illness and injuries and they arrange or advise follow up care or referral to Doctors or hospitals as needed. They authorise boarders’ leave of absence from School if necessary. Any day student needing to go home due to illness in School must attend the Health Centre first.

INFECTION CONTROL Please do not send students to School if they are clearly unwell at home, and for a minimum of 48 hours after vomiting or diarrhoea. For details of exclusion periods for common communicable diseases please contact the Health Centre, advice is always based on guidance from the Health Protection Agency.

ABSENCE FROM LESSONS We do not have the facility to provide full day care for day students who are unfit to be in School. Any student may spend a short period of time in the Health Centre resting under nursing supervision if it will enable them to return to lessons.

Boarding students are cared for at School during term time unless there are exceptional circumstances. Any boarding student may be advised that they should stay in the Health Centre under close nursing supervision - to prevent cross infection, or if they need close observation. However, isolation at the Health Centre is unusual.

Preparatory School Boarders that are unable to attend lessons are looked after at the Health Centre and return to their boarding House in the evening. Senior School boarders usually prefer to be looked after by their Housemother in their own rooms, and the nurses facilitate this by visiting them regularly and supervising their care.

SPECIAL MEDICAL NEEDS We welcome pupils with a wide range of health problems and medical conditions of varying severity. Our aim is to support and enable them to make the best of their school life and achieve their full potential here by understanding their condition and taking control of their own condition management as much as possible.

For pupils with complex or severe health problems, please contact the Health Centre prior to starting at Bromsgrove or as soon as the situation arises in order to discuss and formulate a care plan, which can be reviewed as often as needed. If specialist training for staff teaching or caring for the student is indicated, we will also discuss the best way to arrange this.

ADMINISTRATION OF MEDICINES Students are given their own prescription drugs or household medicines supervised by nurses as needed, boarding Housemothers or boarding duty staff using our School Policy. Household medicines included in our approved list are very few but safe and effective for symptom relief, e.g. paracetamol, cough linctus, throat pastilles, Olbas Oil drops, peppermint water, antacid (Senior students only) and antihistamines. Nursing staff may also dispense ibuprofen for individual pupils.

DAY STUDENTS’ OWN MEDICATION If a child has a medical condition such as asthma, migraine or allergy requiring occasional use of drugs in School, parents are requested to provide a named supply to be kept the Health Centre with instructions for their use. The Health Centre should be informed if a child is taking any regular or prescription medicines even if they are not taking them during the day, as it may affect emergency treatment.

The Health Centre supervises all medicine administration for younger students such as antibiotics or eye drops. These should be sent in a clearly named pharmacy container with instruction for their use. Please do not ask teaching staff or the Receptionist to give medications unless there is a specific emergency care plan in place that has been ratified by the Health Centre.

Older students may be responsible for their own medication, with parental permission. Parents are asked to stress the importance of looking after medicines, taking them correctly according to the instructions, and never giving them to anyone else. They should only bring one day’s supply into School.

BOARDING STUDENTS’ OWN MEDICATION We would prefer boarding pupils to ask House staff or Nurses for all treatment. However, we recognise that some parents wish to provide their child with medicines they would use at home. These must be clearly named for that pupil, have clear instructions for their use in English and be discussed with Nurses and House staff. In order to create a safe environment and meet legal requirements, we have a rule that medicines must be kept in a locked cupboard used only for that purpose. House Staff issue medication to pupils according to our School policy.

19 The exceptions to this rule are as follows: 1. Asthma reliever inhalers 2. Topical preparations requiring frequent application. 3. Vitamin supplements 4. If a pupil is given permission by nurses to manage their own medication and store it themselves.

ESCORT TO APPOINTMENTS OR EMERGENCY SERVICES

DAY STUDENTS Parents are asked to escort students to A+E or to make appointments with their own GP and take their child. If immediate ambulance transfer to hospital is indicated, a member of staff escorts the student, parents are informed as soon as possible and they are asked to meet them at the hospital.

BOARDING STUDENTS Boarders are escorted to A+E and all appointments outside the School campus by Housemothers, nurses or academic duty staff unless a parent asks to be involved. Parents are given information as soon as possible after any appointment, or will be contacted from hospital if needed.

NATIONAL HEALTH SERVICES

All full Boarding Pupils are expected to register for National Health Services with the General Practice in Bromsgrove where the School Medical Officer is a partner as they are resident in Bromsgrove for the majority of days in the year. The School Health Centre processes registrations. No charges are made for registration, NHS Doctor or Hospital consultations. NHS Prescribed medicines, sight testing and dental care are free for all pupils under 19 years of age resident in the UK for full time education.

PRIVATE HEALTHCARE SERVICES FOR BOARDERS Some charges may apply for services that the NHS does not cover such as travel immunisation, physiotherapy for minor sports injuries, orthodontic repair of a device fitted outside our area and the cost of spectacles or contact lenses.

Parents can opt for specialist private health services if they wish; the procedure is for the NHS Primary Care doctor to send a referral letter to a consultant and hospital of choice. Parents are then notified by that private service of their charges which are directly payable and cannot be added to the school bill. Health insurance is available through the School’s BUPA scheme, details of which are available from the Finance Department.

NHS PRIMARY CARE SERVICE for BOARDERS Doctors’ clinics are held daily at the School Health Centre on Monday to Friday at 08.15am and nurses also arrange emergency doctor appointments at any time based on their clinical assessment. Doctors Appointments are made on request or on the advice of the Nurses. As in any general practice, emergency appointments are conducted by the duty Doctor. Pupils can choose which Doctor they would like to see for less urgent consultations. There is always access to a Doctor of the same gender as the patient if this is important to them. Very young pupils are usually escorted into consultations. At night or weekends when the general practice is closed we use local NHS emergency services to seek medical assessment.

NHS records are held electronically and we have remote access to them from the Health Centre.

If a pupil is taking regular prescribed medication, we arrange for them to have sufficient supplies to last through each holiday. When the school is closed, if pupils live locally, they can be seen at the practice in town. Pupils can consult doc- tors elsewhere in the UK for temporary services but should not register at another surgery while they are mainly resident at .

DENTAL CARE AND OPTICIANS When possible, routine dental or sight checks should be made at home in school holidays. However, for families who move home frequently and therefore lack consistency of care we strongly recommend that you ask Housemothers to arrange appointments with a dentist and optician local to the School. Good NHS orthodontal treatment is available in Bromsgrove by written referral from any dentist.

20 IMMUNISATIONS

DAY STUDENTS Day pupils are advised to obtain all immunisations from their own GP or specialist travel clinics. The only vaccination given at School is the course of HPV for girls in Year 8.

BOARDING STUDENTS Routine childhood, influenza and travel immunisation clinics are conducted as NHS services. Influenza vaccine is not of- fered routinely to all boarding pupils each winter, only to those who are recommended to have it according to NHS guide- lines.

COUNSELLING and MENTAL HEALTH SUPPORT

SCHOOL COUNSELLOR The school counsellor Jo Watson is UKRC Registered, BACP accredited, independent of the school and in full time private counselling practice. She trains other counsellors and has a lot of experience working with children and young people. Her services are open to pupils, staff and parents. Initial contact is usually by email - self referral or by recommendation. If pupils self refer, charges are met by the School on an anonymous basis to preserve confidentiality. INDEPENDENT SCHOOL LISTENER There are many people that pupils can turn to for help both within and outside of the School, all pupils are given a leaflet entitled ‘Where Do I Turn?’ with this information. HEALTH CENTRE Health Centre Nurse Christine McBride is also a Registered Counsellor and uses these specialist skills within her wider role at the School Health Centre. All the nurses are trained in listening and mental health support skills. Our drop in service provides pupils, staff and parents with immediate support in a wide variety of situations, and we all refer on to doctors and other services when this is appropriate. If referrals are made, Nurses offer continued support for that person to enable them to continue normal school life as far as possible.

Terms and Conditions

Please read the following Terms and Conditions carefully as they will be referred to if necessary.

1. Lessons must be requested using an Application Form addressed to the Director of Music. Lessons will be arranged as soon as possible thereafter, subject to the availability of a teacher, to whom pupils will be allocated by the Director of Music (for Senior pupils) or Head of Prep Music (for Pre-Prep and Prep pupils). All requests will be acknowledged in writing. Lessons will continue throughout the academic year and from one year to the next. This also applies to the transition between Prep and Senior Schools unless written notice, as in point 7, is received to the contrary. For students in the Senior School or in Years 5-8, each lesson lasts 40 minutes, although a longer lesson may be appropriate for study at a high level. For students in Years 1-4, the lesson length is arranged to suit and a pro rata charge is made. Some shared lessons are available, dependent on the availability of participants and/or teachers.

2. The lesson rate is available from the Bursary and is reviewed annually. All charges, including lessons, sheet music, examination entry, study materials, instrumental hire and consumables, are billed termly in arrears.

3. Instrumental lessons start in the second week of the Michaelmas term and are usually taught during the school day. Sixth Form instrumental lessons are timetabled in study periods where possible. Consideration will be given to Music Scholars and Exhibitioners and pupils learning two or more instruments not in Sixth Form whose lessons may be arranged in lunchtimes, before or after school, dependent on the availability of a teacher. Other lessons are organised on a rotation basis so that students do not miss the same academic lesson repeatedly. Pupils or parents should advise their teacher of special events (matches, trips, exams or other appointments) in advance.

4. Teachers aim to deliver 30 lessons during the course of the academic year. Parents may give written consent for additional lessons. Whilst every effort is made to deliver weekly lessons, in exceptional circumstances it may arise that it is not possible to timetable a lesson in a particular week owing to a student’s conflicting school commitments or the availability of the instrumental teacher. In these circumstances, no charge is made for lessons that cannot be delivered. However, in all other circumstances, if an instrumental teacher is present to give a lesson at the published time and the student fails to attend, the lesson will be charged for. Pupils are not permitted to swap lessons with one another. Instead, pupils or their parents must contact the Music Administrator at the first opportunity to request a different time, but it may not always be possible to offer an alternative lesson time.

5. Music Scholars and Exhibitioners are charged for lessons that are missed without good reason, as determined by the Director of Music.

6. Many public examination candidates continue to take instrumental lessons during study leave, and lessons will be timetabled unless written notice, as in point 7, is received to the contrary.

7. The period of notice for the discontinuation of lessons, or any other significant change is 10 teaching weeks. The period of notice, which will be charged for whether lessons are attended or not, will commence upon receipt of written notice addressed to the Director of Music. All communications concerning notice will be acknowledged in writing.

Instrument Hire The School has a stock of instruments which it offers for hire to students who receive instrumental tuition at the School (not including pianos, organs or drum kits). Hire is subject to availability and the acceptance of the Terms and Conditions of an Instrumental Hire Agreement. Hire instruments are usually only available for a period of one year. There is no charge for the use of the department pianos, organ or drum kits at School.

29 SCHOOL FACILITIES

CAFÉ 1553 Café 1553, located by the main entrance to Senior School, is open to all parents and friends of the School. The Café supplies a wide range of hot and cold drinks, sandwiches, paninis, snacks etc and is a popular meeting place for parents waiting to collect pupils after sports matches or activities. Café 1553 has wi-fi and we hope you will enjoy using it to relax

THE SPORTS CENTRE Bromsgrove School opened its state of the art Fitness Centre in Summer 2012. These facilties include a fitness suite, dance studios, swimming pool and indoor arena. Regular exercise classes including yoga, zumba, spin, body pump and pilates classes take place every week. Parents can join as members to take advantage of these facilities.

There are a variety of membership packages for the Fitness Centre and Sports Facilities. Membership gives you access to the state of the art fitness suite, swimming pool and classes as well as a personal induction and on-going training and advice (additional charges may apply). There is no limit to the number of times you can use your card and you will be able to book classes and fitness suite sessions up to eight days in advance.

Membership If you want to join with your residing partner you can save even more money on our range of memberships. Parent single membership costs £26 per month, parent couple membership is *£42 per month payable by monthly direct debit or by one annual payment. There are no annual contracts or joining fees on any memberships.

Pay and play If you wish to attend any of the classes or use the pool but don’t want to commit to an annual or monthly fee you are more than welcome to use our facilities on a pay-and-play basis. All you will need to do is sign up for a Bromsgrove School Sports Centre membership card and pay each time you use the facility. Membership cards cost £6.00 per year for adults and £3.00 for concessionary (people aged 17 and under or over the state pensionable age).

VENUE HIRE The School buildings and grounds are used extensively for small conferences, weddings receptions, small parties and sporting events.
