V. NACA South Presentation a. Amma, Jessie, Xavier, JoVawne and Taylor presented recurring themes that they saw at NACA and how those things impacted their vision for CREW
VI. Event Checklist Overview a. International Festival i. Wednesday, November 12th, 2014 at 11:30 AM-1:30 PM (a) Set-Up Time: 9:00 AM (b) Event Attire: CREW Polo & Khakis/Jeans ii. Wednesday, November 19th, 2014 at 11:00 AM-2:00 PM (a) Set-Up Time: 8:30 AM (b) Event Attire: CREW Polo & Khakis/Jeans- Brianna informed the Union Board that handbills and flyers for HSC will be ready Wednesday, November 5th, 2014. Flyers and handbills for Summerville Campus need to be posted by Friday, November 7th, 2014. Aboards will be available for posting Tuesday, November 4th, 2014. 1 Brianna also shared that she had 1 vendor donate food for International Festival and the Indian dance group (NASHA) and an Irish dance group will serve as entertainment for the event. Tahj of India will be served at both campuses and/or Diablo’s will be served on the Summerville Campus, sand art will be an activity on both campuses and Henna will also be available at the Summerville Campus. Raysean and Brianna also passed out availability for the event and informed everyone that the promo event will be Tuesday Nov. 18th and lastly buttons will be at CREW table and that is where assessments will be located.
VII. Event Committee Updates a. Homecoming Report- Shanece shared that the next homecoming meeting will be Friday, November 7th, 2014 3-5 PM. Shanece also told everyone that Jaguar Jam applications are now open. b. Event Committee Meeting Updates i. Live Entertainment (Cultural) - Raysean informed the Union Board that the next Live Entertainment Committee Meeting will be Friday, November 7th, 2014 12:30-1:30 PM and they will discuss associate member availability for International Festival. ii. Special Events (Family Fun) - Jessie shared that the next Special Events committee meeting will be Thursday, November 13th, 2014 2:30- 3:30PM. iii. Traditions- Komal shared that the next Traditions meeting will be Thursday, November 6th, 2014 at 1 PM and associate members will be present. iv. Membership (ClubFest & GRU on the Move)- Brittany shared that the Membership Committee met Monday, November 3rd, 2014 and reviewed the ClubFest: Hollywood Edition v. Public Relations- JoVawne shared that the Public Relations Team met Monday, November 3rd, 2014 4-5Pm they came up with great PR Proposals and giveaways for next semester. VIII. Standing Committee Updates a. Assessment- JoVawne shared that Assessment Committee will meet Monday, November 3rd, 2014 at 7PM to review assessments for Masquerade Ball and the assessment plan for International Festival b. Budget- Diamond informed the Union Board that Budget Committee will meet Friday, November 7th, 2014 at 1-2PM to discuss budget for Spring 2015 Proposals i. Present: November 17, 2014 c. Collaboration i. Present: November 17, 2014 ii. Borrowing Request- Taylor informed the Union Board that she received three new borrowing request. (a) Casino Night- Delta Chi asked to borrow the Mocktail bar, poker sets and red carpet pick up. They plan to pick-up the items Thursday, November 6th, 2014 and they will return the items Monday, November 10th, 2014. (b) Bollywood Themed Dance- The Indian Cultural Association is having an event Tuesday, November 11th, 2014, Taylor will have more information at a later time. (c) Greek Kickback- The event will take place Wednesday, November 5th, 2014, they requested the popcorn machine and will pick-up the item Tuesday, November 4th, 2014 at 4:30 and the item will be returned on Thursday, November 6th, 2014. iii. Co-Sponsorship Request-Taylor shared that the ROTC event was Friday, October 31st, 2014 and they returned the items Monday, November 3rd, 2014. (a) Finals Frenzy- Taylor informed the board that Erin will be coming to the Wednesday Collaboration Meeting at 11-12PM. The Reese has not requested any money they would just like participation and ideas for the event. Taylor will also suggest that Erin speak with SGA.
IX. VP for PR Report a. Videographer Update- JoVawne informed the board that Rickey has fulfilled his contract for Fall 2014 asked the Union Board for recommendations on having a videographer in the future. b. Promotions Proposal Presentations (5 Minutes Each & 3 Minutes for Q & A/Discussion) - Octavia reviewed her Spring 2015 Proposals which are: Hot Cocoa with the CREW. The event will be held in the JSAC Breezeway from 9-11 AM. Hot Cocoa and Apple Cider will be served at the event and the purposed date for the event will be January 22nd, 2014. c. The second promotional event that was CREW Love. The purposed date of the event is February 10th, 2014 from 12-2 PM. The third promotional event that was purposed was Backyard Games with the CREW. The purposed date for the event is April 16th, 2014 at 11AM-1PM. The event will be held in the Lower Sports Field. Diamond motioned to change the name from CREW Love to Lovin’ The CREW. JoVawne seconded the motion, and the Union Board voted to change the name of CREW Love to Lovin’ The CREW.
X. VP for Membership Report a. Contact with Associate Members- Taylor asked that Union Board members monitor the emails being sent out to associate members so that they are not sending out wrong information or overloading them with emails. Brittany proposed sending out something similar to a newsletter for associate members.
XI. VP for Administration Report a. Absent Notification Request Reminder- Diamond reminded the Union Board that Absent Notification Request are due 1 month in advance for events and two weeks in advance for meetings. b. Spring 2015 Calendar- Diamond informed Union Board members that the Spring 2015 Calendar has been drafted with all events, checklist due dates and meetings.
XII. President’s Report a. Name for Special Events Event: “Paint the CREW”- Amma informed the Union Board that they had to vote on a new name for Special Events “Paint the CREW”. Shanece motioned to change the name to Paint Palooza, Taylor seconded the motion the UB voted to approve the name change. b. Wednesday, November 19th, 2014: Basketball Game Honoring the CSRA Supts- Amma asked for volunteers interested in attending the event. She also shared that the event is Wednesday, November 19th, 2014 at 7:30 and the attire is CREW Polo’s and appropriate bottoms.
XIII. Advisors Report a. Goal Setting Meetings- Ms. Jessica informed the Union Board that everyone has to schedule goal meeting with everyone. The Executive Board and Bree and Deshyla will meet with both Advisors and the times available are November 11, 2014 2PM- 5PM. Everyone else was informed of who they will be required to meet with and the times available to meet. b. Active Shooter Drill on Wednesday, November 5, 2014- Cancelled
