Housing Information For Exchange Students

International Exchange Center April 2008 1. Housing Information This is a handbook to introduce housing opportunities for exchange students at AGU. Please read the following information carefully and decide where you wish to stay while you are at AGU as an exchange student.

1.1. Dormitories There are two types of dormitories which International Exchange Center (IEC) at AGU introduces to exchange students. IEC will process the application on behalf of exchange students.

 Application Instruction If you wish to apply for a dormitory, please fill out the application form and send it to us with other application materials.

Rooms at those dormitories are reserved on a first-come, first-served basis, determined by the receipt of the dorm application form by fax. We recommend you to complete the application form as soon as possible. Since rooms are limited at each dormitory, we cannot guarantee the room reservation if you send the application form after the deadline.

 Check-in Date Check-in is available between 9am to 5pm from the dorm opening date. You may not be able to check in except the opening hours or earlier than the opening date since dorm rooms will not be ready by then.

 Housing Subsidy AGU provides the financial support for exchange students who live in “Dormy Soshigaya Okura” and “AGU International Dormitory (Dormitory Eda)”, which are not AGU dormitories but designated by the university. Please refer to the “Housing Subsidy” of those dormitories for the detail.

1.2. Home Stay, Apartment, Guest House and Others AGU does not have any home stay option or make an arrangement for any home stay, apartment, guest house or room share. If you wish one of those, you may arrange it on your own. Please also refer to “4. Guest House and Apartment/ Others”.

1 2. Male Dormitories 2.1 Dormy Soshigaya Okura Dormy Soshigaya Okura is owned and operated by Kyoritsu Maintenance Co. Ltd. The dorm is located in the quiet area, -ku . There is a live-in manager of Kyoritsu to ensure the security and general maintenance. Meals will be served every day except Sundays and national holidays i.e. New Year, Obon period etc. There are many Japanese students from other universities, such as Seijo University and Tokyo University of Agriculture etc.

 Cancellation Policy If you wish to cancel the reservation or leave the dormitory before the contract term ends, you should inform IEC office by submitting a form at least a month before the date you wish to move out. If you leave the dorm without prior notice, you may have to pay the rent for next one month.

* The room fee should be paid by 27th of prior month. It cannot be paid back or paid weekly/daily. * The basic charge of telephone/internet is compulsory regardless of use. * Room fee for students who start the exchange program from September will be calculated based on the number of days staying at the dorm in the month (¥2,000/day).

 Housing Subsidy AGU provides “Housing Subsidy” for exchange students who live in Dormy Soshigaya Okura. The details are as follows: Fire Insurance Premium Room fee 7,500 yen/month x months you stay at the dormitory 3,000 yen/year

* The subsidy will be distributed twice in a year (in July and December). * It is not eligible for those students who will stay at the dormitory less than three months. * The subsidy is calculated monthly only.(except for students from September)

3 3. Female Dormitories 3.1. Schoonmaker Dormitory (Female) Schoonmaker Dormitory is near by Sagamihara campus in Kanagawa Prefecture. However, all the exchange students have to attend Japanese classes offered at Aoyama campus. It is far from Aoyama campus and it may be hard for exchange students to commute for a long distance.

Schoonmaker Dormitory is in a quiet residential area and 1hour and 30minutes away from Aoyama campus. Each room has shower room and toilet. Sagamihara campus is for 1st/2nd year students of all colleges and all the students of College of Science and Engineering. Exchange students who study at the College of Science and Engineering are given priority to live in this dormitory.

Bedding Bed mattress, comforter and blanket could be borrowed for free of charge, but dry cleaning fee is required. Bed linens and pillow could be ordered by IEC for exchange students. The invoice will be given upon arrival. Extra room fee during vacation It will cost 300yen/day to stay at the dormitory during the vacation period Dormitory opening period 1st Semester: Apr 1 – July 31, 2008 2nd Semester: Sep 25 – Dec 22, 2008 & Jan 7 – Feb 4, 2009

 Cancellation Policy If you wish to cancel the reservation or leave the dormitory before the contract term ends, you should inform IEC office and the dormitory a month before the date you wish to move out. If you leave the dormitory without prior notice, you may have to pay the dormitory fee for one month.

5 3.2. AGU International Dormitory (Dormitory Eda) Dormitory Eda is a private dormitory operated by Kyoritsu Maintenance Co. Ltd., but AGU has a special contract with the company in order to reserve rooms for AGU exchange students. This dormitory gives opportunities for exchange students and Japanese students at AGU to live together and support each other. There is also a resident assistant (an AGU student) who lives in the dormitory to support the students.

There is a live-in manager of Kyoritsu Maintenance to ensure the security and general maintenance. Meals will be served every day except Sundays and national holidays i.e. New Year, Obon period etc. There are many students from other universities and the population of international students is about 10% of the whole.

Important Notice: There is a minimum length of stay at this dormitory and you are asked to stay more than 4 or 6 months depending on your study period in . Please refer to the information below:

8 4. Guest House/ Apartment If you wish to arrange your own accommodation such as private apartment or guest house, you need to find it by yourself.

4.2. Apartment  How to find? You can find the information from: -Newspaper -Magazine -Internet -Estate agent

 Contract You will have to pay following contract fee when you make a contract for a renting apartment etc. ・ Key money (reikin ): this is for the landlord (“ōya”): one or two months rent ・ Agent’s fee (tesūryō): this is for the agent: one month rent ・ Refundable deposit (shikikin) : two or three months rent ・ One month rent in advance (yachin):

 Guarantor (Rentai-hoshonin) In order to sign a contract for an apartment in Japan, you will be requested to have a guarantor (rentai-hoshonin) who has the same liability for any losses or damage to the apartment as you do. If you do not know anyone in Japan or have no close Japanese friends who can assume this role, IEC at AGU can be the one for AGU exchange students. In order to apply for this, you should apply for International Student Housing General Compensation Plan (Ryugakusei Jutaku Sogo Hosho) via IEC and pay 4,500 yen a year to Japan Educational Exchanges and Services (JEES) as insurance. This is a comprehensive renter’s insurance for foreign students in Japan and it protects both the tenant and guarantor against loss of apartment due to covered risk, such as fire. * JEES website: http://www.jees.or.jp/ 9
