KEEPING SCORE The project’s closed, but while it may have gone according to plan, how do you know it was a win? We asked practitioners: What’s the best metric you use to measure project success?

Start With the Basics Early in my project management career, I believed that delivering I consider these basic parameters: projects on time and on budget while meeting requirements ensured 1. The bare minimum: Is the project delivered on time and budget success. But I’ve found over time that there are many more variables and within scope? Does it meet the requirements? that must be considered. Project success can be challenging to defi ne, 2. The defect rate: The number of defects over the backlog items as it varies from project to project depending on the goal of the fi nished in a project. Usually it is a percentage— the lower, the project, the priorities of the project sponsor and stakeholders, and the better. The perfect scenario would be no defect in the product requirements of the internal and external customers. delivered. I have found value in applying some of the principles of agile project The business value: Is this a system that can be scaled to other business management in consumer product development and technology models? Has the system confi guration time been reduced? Are any integration projects. This approach provides the ability to measure existing issues resolved? Financial benefi ts: Does this project lead to an increase in revenue, It also offers a projection of customer satisfaction much earlier in the profi t margin, market share and popularity? For example, for a process, when normally external customers would not see the product software development project, we measured the project in terms until after project completion. of budget, requirements, due date and defect rate. By Project success—from whose perspective? The true measure of success using the earned value management concept and formulas frequently rests with the sponsors and the degree to which they obtain the benefi ts throughout projects, I’m able to monitor and control work activities in for which they paid. The Journey of the 2014 Symposium & Exhibition

I raised the fl ag and posed for pictures. When all of the activities to prepare up till this point, we needed to start I had my moments advertising about SymEx, although then we only knew the dates of the About a month later at the sponsor’s appreciation night, the 3rd SymEx event on 9 & 10 September, the venue was supposed to take place in project was offi cially closed and the team was released. It was right then Novotel Hotel and the theme was “Driving Sustainable Businesses Through I realized that I probably should get started. I remember asking Ms. Alin Project Management”. rd for the project management plan of the 3 SymEx; and she handed me an Finally SymEx was open for registration in our website. I remembered 8 Gb fl ash disk worth of information of the project. I was stunned. I didn’t there were only a few registered that fi rst week and one participant paid. realize that she had done that much work! So I really needed to get started. We were off to a really slow start. Invitation email was blasted weekly to But fi rst, I needed something to obtain an authorization for the project – a the previous SymEx participants and through PMI Indonesia mailing list. project charter. Things weren’t looking good as well from the sponsor’s side. This put quite By the time I received the project chapter, I didn’t feel as good as I was on a heavy burden to the Chapter’s cash. By the start of the Holy Month of that stage anymore. I have become conscious that I have no experience in Ramadhan, there were only 30 or so participants registered and 1 sponsor. managing this kind of a project before. Although I was a part of the Co-PM Nevertheless, that did not stop us from launching the “Ramadhan Promo”. in the previous SymEx, I didn’t think it was enough. Things started to pick up after Ramadhan, but something happened that The Plan changed the course of the project. We lost the reservation at Novotel Hotel. So here’s what I had so far, an inexperience project manager-me and no Everything seemed like it was square one again. Thank God for our risk team yet. Luckily, I had everything I needed to create a project management response plan and with a little bit of luck, Aryaduta Hotel was available. The plan from that fl ash disk. By this time, notable and prominent SymEx speakers to the lessons learned depository, WBS, schedule and just about every project be had been invited. When it comes to forming the project management team, I could pick About a month before the big day, only 64 participants registered. The anybody I wanted. That’s the perk of the job. So I immediately chose my ballroom layout had to be fi nalized and with current number of participants resources, starting from the Co-PM, secretary, and the treasurer. The rest the ballroom would look deserted. In a desperate move, I turned to the of the team was chosen partly from the previous SymEx. Board and BOD members. Asking them to bring in participants, to tell them about SymEx and what it would do to them; I knew I can always count on If there’s anything I know about managing a project in all of my experiences, them. To our surprise, with 3 weeks to SymEx the number of participants it’s all about progressive elaboration. All I knew about this project at this doubled. Registration request kept coming day and night to a point where point was that it had to take place in Palembang, South Sumatra. Slowly we had to close early; otherwise we wouldn’ t have a place to seat them. but sure, the dates of the SymEx was chosen. We had to make sure that This was a very good news. it won’t confl ict with other big events in the city or other PMI events in the region 15. D-Day The next thing to do was choosing a conference theme. Constant discussion The time had come to this day after 9 long months of preparation and took place to choose the appropriate theme. This year we wanted a theme thousands of man and women hours were spent. Two critical activities were that had evolved from the previous 3 SymEx. The theme will then be used to be in constant observation on the fi rst day. By 8:45 AM, the ballroom was fi lled. Lights out at 9:00 AM, the room was quite. A spot light was pointed out at the 9 female dancers walking toward the stage with a soft traditional music on the background. Performing Gending Srivijaya traditional dance, the 9 ladies represents the 9 rivers in South Sumatra. The dance symbolizes warmth and hospitality for guests. The fi rst day of SymEx went by fast. At the end of the day, we had to get everybody mobilized to the next event – Networking Dinner. Moving Speakers Welcoming Dinner 150 people from one place to another didn’t seem easy as it looked. Each participant was given distinguished color on their name tag that corresponded to the bus they had to board. It took 30 minutes. The sun was still up when we got to the networking dinner place – Riverside. I could see people were taking pictures of the city’s landmark – The Ampera Bridge. The occasion started off with an opening tune and followed by a traditional dance performance – The Ya Saman Dance. Then it was my time to give a speech. In my speech, I made an analogy between the Ampera Bridge and the 2014 SymEx that these projects were meant to last for a long time. Whilst SymEx is a two-day event, I wanted this SymEx to be everlasting. The night was closed with a memorable group picture by the Musi river bank and the Bridge as the background. Symex 2014 Networking Dinner The second day of SymEx was not as hectic as the day before. Everybody seemed to know what to do and where to go. A few speakers had to leave on the second day; but for those who didn’t, they stayed all the way through. When it came to the closing ceremony, I couldn’t bear the excitement. This time I got to the stage carrying the SymEx fl ag and passed it on to the next project manager. After all the participants left the ball room, we stayed behind for our next agenda – the voluntary night. This is the time where everybody who worked for SymEx got to loosen up. We played games and gave out gifts. We took a ride on a boat on Musi river and crossing under the Ampera Bridge. With a full moon above us, we took as many pictures we can before heading back.

Symex 2011-2015 project managers: Anna, Corina, Alin, Yudha and Dodi The Conclusion The end of this SymEx just means the start of the next one. I have passed on the winning fl ag that I received a year ago to the new appointed 2015 SymEx Project, Mr. Dodi Darundriyo, PMP. All those sleepless nights and the late night meetings had fi nally paid off. I can’t thank enough those who participated at this year’s SymEx. This goes to everybody, and I mean everybody. It has been a long journey to get here. I hope to see you at the next SymEx in Jakarta.
