3.0 Presentation from Nigel Simms Duff Assisted by Craig Oakes, and other members of the Christmas Committee Nigel gave an outline of what the Christmas Committee was considering doing for the month of December. Attractions and events were planned on three weekends of December to drive footfall into the town. Christmas, Past, Present and Future. Community centred committee interested in putting in place things to attract people from all ages. Ideas Include, A BID purchased a land train which can be stored with other items for Christmas and used at other times throughout the year. The train will run around the town making several stops, going over to Hope Square and possibly up to Nothe Fort. The train would need a paid driver and a guard who would be recruited and trained. A light tunnel to be purchased to run along St Alban Street to connect St Thomas Street and St Mary Street. A large stage by Debenhams to host music and acts (Local Schools etc) as well as contestants in the semi-finals and final of a talent show which will run throughout November and December with heats taking place in local bars. Several venues have already shown an interesting in hosting this. BID purchase of 20 Chalets for a craft market in Hope Square throughout December. BID purchase of kiosks for levy payers to have in town centre. BID purchased snow machines for St Albans Street which will be decorated as a Victorian Street for Christmas Past. BID purchased slippery slope built on a scaffolding frame for giant ringos to ride down on. To be positioned on the Pavilion forecourt car park. This would require paid staff to be recruited and trained. Projection mapping to be hired for the weekends of December to project images on Debenhams or the Pavilion. Help with setting up would be given by volunteers. Perhaps Duke of Edinburgh Students from schools or the Lions and Rotary. Storage would be needed for the large items being purchased and hiring two shipping containers have been identified as being suitable. Some discussion took place about other funding streams which at this point will be sponsorship.

Item Details Action Presentation from Colin Munroe at Miconex A proposal to create a local area gift card backed by Mastercard and the Mastercard customer support network. The card would be individually designed and managed by the BID. The gift card could only be used locally and would be an ideal way of keeping money in town. The schemes started with the Perth card in 2015 the company has been running for 4 years, towns signed up include, Winchester, Exeter, Sheffield and Cambridge. 1% of any purchase to go to card company. The market for gift cards is worth £7.6 M in the UK. 40% are sold in Nov/Dec and spent in Jan/Feb. Most multi-nationals involved. Organisers can track where the card is being used. Good for BID tracking. 12 month expiry on card. 1000 cards to be produced initially. Also explained was a rewards scheme where shoppers linked their debit/credit card to Mi Rewards and every time the card was used in a local participating shop then points were earned. £10 work of points would be redeemed as a Weymouth gift card to be used only in local shops. There would be perks and prizes to stimulate spend.

6.0 Nomination of Board Members and Appointment of Chair, Vice Chair An application to join the Board had been received by Ron Challiss of the Waterloo Pub and Roger Stockley of Belles Bakers. Ian Ferguson who was not able to attend the AGM was also applying to join the board again.

All three applications were unanimously approved by the members.

Voting took place for the Chair and Vice Chair. RL and IF indicated that they would stand again as Chair and Vice if there were no objections. Members were asked if anyone else wished to stand for election – no one wished to stand.

JO proposed RL for Chairman, LF seconded. There were no objections

RL proposed IF as Vice Chair, JO seconded. There were no objections.

7.0 Improve

232 Hanging baskets will be put up during the week commencing 10/06.

Bunting samples have been requested for fabric bunting as PVC has been criticised for being too noisy. A survey has been sent to all accommodation providers asking if they would like to have bunting. So far there have been 16 mainly positive responses.

Purple Flag promotion during the summer has been started with a consultation with PubWatch members. Ideas include themed menu offers, posters, flags, stickers.

8.0 Market.

Discussion took place about the proposal from the Slick Event company, to stage a once a week evening of beach entertainment on each Thursday evening throughout August from 16.30 – 21.30 for the price of £19,500. The entertainment would take place on a stage and there would be entertainment and competitions for children as well as headline musical acts. There was unanimous agreement to this proposal. It was felt important that was something special going on during the summer to make visitor’s stays memorable as well a providing something for local families to enjoy during the summer holiday to help make up for the lack of carnival.

9.0 Funding Applications

Christmas Committee – Insufficient time to fully discuss this large application so a dedicated meeting agreed for the following week.

Micronex Gift Card – Discussion took place about the value of the card to the local economy. There was unanimous agreement to investigating this further and a working group of TK-M/LF/CM/RS to meet and feedback to board for next meeting.

Radipole Express – Insufficient time to fully discuss this large application so a dedicated meeting agreed for the following week. ACTION: CM to contact all applicants with outcomes from the meeting CM

June 7th 2019 BID Board Minutes Page 6 of 6 PRIDE OF WEYMOUTH The hunt to find Weymouth’s favourite shop, restaurant and pub is on with the launch of a new contest aimed at “showcasing the best of the town centre”.

People are being urged to rate town centre businesses in the new Pride of Weymouth awards organised by the Weymouth Business Improvement District (BID) – which is paid for by town centre businesses. Every Friday a short review of a shop, restaurant, pub or service-based company will be published here and promoted on our Facebook and Twitter accounts.

Members of the public are then encouraged to give the business a star rating for each of the categories, including customer service, atmosphere, quality of offering and shop front/window display.

The businesses with the highest ratings will be shortlisted for an end-of-year award.

There will also be awards given for the following:

Best Kept Industrial/Business Premises

• Best Community Initiative E.g. Street, Community Centre etc

• Best ‘Watering Hole’

I am writing to confirm that we can provide a variety of Halloween walkabout acts and Children’s workshops for your event between 28th October - 1st November.

I have listed a number of these below as follows:

The Troll £795, plus VAT per day 3 x 30 minute walkabouts

The Troll

Straight out of the Medieval past or a fairy tale, this fearsome Troll has been let loose on the streets! He’ll grab your attention as he passes, brandishing his big spiked club and interacting with the public. A fierce but friendly giant, the inquisitive Troll is on the lookout for company and is ready to play. A fantastical walkabout with a magnificent costume, the Troll is a wonderful spectacle for both children and adults.

The Alchemist is a medieval man who desperately wants to make his name in his contemporary scientific community, and make a small fortune on the side. Unfortunately, due to yet another dangerous (and unsuccessful) attempt to make gold, his latest assistant has met a grisly end. As the Alchemist continues with his experiments alone, he makes more mistakes with catastrophic consequences, further hampered by the antics of a pair of mischievous rats and an incredibly annoying bluebottle!

The Alchemist is a light-hearted, slightly-slapstick puppet show for all ages. This gentle and magical performance has captivated audiences young and old across the UK.

A standard day would consist of a 'drop-in' system, whereby around 200 children will come and go as they please, each one making something to take home - no booking required. Event details & costs: A two-day family fun event based on the original TV series with a series of inflatable ‘It’s a Knockout’ games. There would be several games in teams of 10 people with the whole event lasting between 3-4 hours.

Proposed dates: Two days (Sat & Sun) in May or Sept 2019 – see possible discounted Charity dates below

Proposed venue: TBC - Depending on the chosen size, this event can be held indoors or outdoors. A previous event of this type was held in Lodmoor in 2016.

Company information: We looked at other ‘It’s a Knockout’ equipment providers but Knockout Challenge offer a better selection of packages, operate in the Dorset area and can possible provide a discounted rate for charities.

The Bronze Show: Cost: £ 2,700.00 + vat

Seven games that can last up to 3 hours, just under half the size of a football pitch of space is needed approximately, the price is for up to 12 teams (of 10 people) taking part. Extra teams and games can be added.

Advantages - Ideal for small and medium events. Cheaper than the Silver Show but still great knockout fun, so is a good entry point for people booking knockout for the first time. Can be ran dry and indoors.

The Silver Show: Cost: £ 3,300.00 + vat

Brief details - Eight larger games, just over half the size of a soccer pitch in space, price above is for up to 18 teams taking part. Extra teams and games can be added. 3 to 4 hours of games.

What does the price include?

Our prices Include. Compere, show crew, arena roping, generators, £5m public liability insurance, PA sound system, prizes. Customers gain access to the "Client Section" of our website. Here there are posters, media for Facebook & Twitter promotion, HS documents and certificates, high resolution images and documents that can be used to publicise your day, plus a Gift-aid Form for charities.

IMPORTANT - We ask for a 20% deposit payable within 14 days of booking. We need to park our equipment vehicles next to the games area as the generators that power the games are built into them.

Not Included - Any venue costs (such as hire), arrangement for a water supply for the water based games. We ask that a first aid post is set up. The Teams - We recommend teams of "up to 10 people". However a team of 6 will get more "exhausted" than a team of 10. Children can take part, but not at the time as adults (in case they get knocked over).

Prices - Our prices are distance-travelled related. The prices below relate to your area and include all travelling costs and are (after the initial deposit) via cheque on the day payment.

There was a fundraising Totally Wiped Out event in Lodmoor in 2016, the event was organised by Diverse Abilities Dorset and supported by WPBC and Wessex FM. They raised over £15,000. Weymouth Business Improvement District Ltd Project Funding Application

Please note that applicants may be required to provide further information and give a presentation of the proposal to the Board.

Application Process:

. Complete the application form in full and make sure that all the requested information is included. This should be returned to the Weymouth BID office.

. Applications should be submitted as far as possible in advance.

. Your application will be considered by the Weymouth BID board of Directors.

. You will be notified of the date the decision is due to be made in advance.

. Once the decision is reached, you will be informed of the outcome.

Funding Procedure:

. Normally, once the funding is approved, and we have received your signed acceptance, you will receive payment. This may consist of staged payments, payable upon reporting from the applicant.

. If you haven’t had all your money in place to start the project then we may hold your grant until all the money is secured.

. You will need to agree to send us copy invoices relating to the funding and complete a report form to say how you’ve spent the money. If we don’t receive this we may ask for the money back.

. You must spend the money as stated in your application.

. You must return any unspent funds.

. You must tell us if you change the project as described in your application.

. Weymouth BID must be included in any press releases and handouts and the BID Board will confirm specific marketing requirements dependant on the proposal.

A Three-day artisan festival on the shore line of the beautiful Town, a collection of local arts, foods and drinks, entertainment and crafts, all in one incredible setting, with over 20 live bands, a host of live performers from all genres supplying eye-catching and creative shows.

Silent Disco, Fire Dancers – Hula Crew (Hula-Hoop acts) Jugglers, Circus skills team and much more.

Describe how your project will benefit Levy Payers and how it fits within the Weymouth BID business plan (a copy of which is available on weymouthbid.co.uk):

We are aiming to deliver a local and unique style to this event, utilising local levy payers where we possibly can, already having received a host of messages and interest from locals and levy payers alike, we want to use the creativity of the town to showcase what Weymouth has on offer.

The key features will be local food, craft and artists with levy payers being the first to have the information and having the first opt-in proposal. – This I would like to deliver through the BID – helping us reach the right platform in the correct manor.

This is going to be a particularly ‘quirkier’ styled event than perhaps Weymouth has seen before, and being a traditional seaside town, an event we can make unique for the level of demographic that visits in September and also a place to really showcase what Weymouth has to offer, a chance to create and then flourish yearly a purpose built platform that serves to provide a real insight into the character and the people of the town.

Having the event in a shoulder month will be more in line with the BID’s aim to create a year- round programme.

The cost of the event if ran right for this year will be in the region of £15,000 INC. I would appreciate any help in this area as I run a very tight ship, the thought process is to offer all Levy payers pitches first for just £25.00 per day so at least I can walk away from it the first year not out of pocket.

The only real downside to this event is the food and drink, so where possible I am approaching the retail sector who may have the right options to make this a successful and engaging three-day festival.

The event will be starting at 11.00 and closing at 21.00 hours allowing the traders to utilise the full day of footfall and also then allow the morning and night-time food and drink retailers of the area to maximise profit.

I am open to offering all levy payers a 50% (Just £25.00 per day Inc) reduction on costs for pitches and I am keeping the cost as low as we can to entice all areas of trade, not just the high end foodies etc, but ALL shops, crafts, arts and so forth, this I would hope can be assisted with the BID’s help.

The event is being received so far through PR on social media with open arms, as yet on the 2 first posts we approved to Weymouth FB sites – we had over 200 likes on each post, over 200 comments and around 1800 ‘views.

It would seem that an event of this nature that appeals to all levels across all ages is the perfect supplement to the lack of Carnival and other family themed events in 2019 – we are looking for full sponsorship both financially and support through local businesses to bring the town together again on a good ‘old-fashioned’ seaside festival, the event will be produced over the next three years with the aim to bring in all of the Harbour area and Hope Square for 2020 (Big year) and also then the Esplanade for 2021.

We have been speaking with the events team (Charlotte) to look at new beach style events and larger scale carnival type events for 2020, also we are assisting the Xmas events for food markets and so forth, the aim is to have one event we can build upon, and after year 1 we can look at the costs being reduced on a typical sliding scale for year 2 and 3 then by year 4 we should have a very usable, well loved and very local event that will be a major attraction for the Town.

The harbour master is fully on board with the plans.

Running the event in September will also be aiding the seasonal ‘growth’ extending the retail sector and creating another reason for the locals and visitors to explore the town more, also helping fill the hotels and B&B’s leading into the leaner months.
