4-H Regional Program Coordinator Job Description

PURPOSE: A Regional Program Coordinator (RPC) ensures 4-H Nova Scotia’s relevance to the community, the accomplishment of 4-H Nova Scotia’s vision and mission and accountability of 4-H Nova Scotia to its constituents.

Under the general supervision of a Supervisor/Manager, an RPC has responsibility for promoting, coordinating, and supporting volunteers, members, 4-H families, and community partners in the delivery of the 4-H Nova Scotia program for a specified geographic area in the province.

An RPC conveys a professional and positive image and attitude regarding 4-H Nova Scotia and the not- for-profit sector and demonstrates commitment to continued professional growth and development.

The five geographic areas for Regional Program Coordinators are defined as follows:

− Cape Breton (Cape Breton, Victoria, Richmond, Inverness) − Central (Cumberland, Colchester, Halifax East Hants) − Eastern (Antigonish, Pictou, Guysborough) − South Western (Lunenburg, Queens, Shelburne, Yarmouth) − Valley (Hants, Kings, Annapolis, Digby)

PRIMARY DUTIES AND RESPONSIBILITIES: A Regional Program Coordinator is expected to perform the following:

Program Planning and Management

At a provincial level: − Ensure program and project quality and organizational stability through development and implementation of standards and controls, systems and procedures, and regular evaluation and revision as part of the 4-H Nova Scotia staff team. − Ensure that the programs and services offered by 4-H Nova Scotia contribute to 4-H Nova Scotia's mission, vision, and objects, and reflect the priorities of the Board. − Maintain, nurture, review, and revise regularly the existing programs and services offered by 4-H Nova Scotia consistent with the objectives, mission, and Strategic and Business Plans of 4-H Nova Scotia. − Regularly monitor the delivery of the programs and services of 4-H Nova Scotia to maintain or improve quality.

At a regional level: − Provide day-to-day guidance, leadership, encouragement, and support to clubs, members, and leaders through visits, workshops, correspondence, and/or phone calls. − Provide volunteers and senior members with organizational and program planning support.

− Plan, develop, and evaluate programming, workshops, other events and leadership training programs for members and leaders at club, county, regional, and/or provincial levels. − Provide advice, programming assistance and/or appropriate referrals to inexperienced leaders and/or those in conflict. This includes mediation and/or facilitation of conflict resolution sessions involving clubs and counties. − Support, coordinate, and evaluate a wide range of activities and competitions as directed by 4-H Nova Scotia and/or county councils.

Leadership Development

− Represent 4-H Nova Scotia at community activities to enhance 4-H Nova Scotia's community profile. − Analyze identified needs; facilitate, develop, and coordinate community development and leadership resources directed to the 4-H community. − Provide and/or coordinate training and development opportunities for leaders, members, and county executives. − Motivate young people to join 4-H and teach new skills in agriculture and natural resources, leadership, and citizenship.

Operational Planning, Administration and Management

− Develop a work plan for the region which incorporates goals and objectives that work towards the strategic direction of 4-H Nova Scotia. − Maintain a remote office and equipment. − Answer daily requests and correspondence for materials. − Maintain current and accurate records and provide reporting as required by 4-H Nova Scotia. − Participate in staff meetings and training sessions. − Assist with development and revision of 4-H Nova Scotia policies, procedures, and project manuals as required. − Develop and revise models, criteria, methods, and procedures to evaluate programs. − Plan, develop, administer, and control workshop, program, and event budgets. − Prepare grant proposals and implement processes to ensure successful reporting and completion of approved projects in concert with the provincial office. − Other duties as may be assigned by the Supervisor/Manager.

Community Relations and Outreach

Internal − Maintain regular contact with clubs, members, leaders, parents, and county and regional executives. − Disseminate information to the 4-H community through email, letters, newsletters, and general press. − Develop awareness of and promote participation in county, regional, provincial, and national/international programs and events. − Prepare, coordinate, deliver and/or participate in club, county, regional, provincial, and national/international activities for members and leaders.

External − Network and cultivate relationships with a range of stakeholders and partners (e.g. funders, community groups, other organizations) to help achieve the goals of 4-H Nova Scotia. − Communicate with the constituents of 4-H Nova Scotia to keep them informed of the work of 4- H Nova Scotia and to identify changes in the community served by 4-H Nova Scotia. − Promote 4-H, positive youth development, and agriculture through media coverage, speaking at meetings, assembling displays at appropriate events, and answering enquiries in concert with the provincial office. − Develop strategies and program initiatives to attract and recruit members and leaders. − Promote and support the development of the 4-H program with potential volunteer leaders and new clubs.

Risk management

− Identify and evaluate the risks to 4-H Nova Scotia's constituents, property, finances, goodwill, and image, and recommend to the Supervisor/Manager measures and implementation plans to control risks in a region. − Contribute to the monitoring of the efficiency and effectiveness of the database and the Adult Volunteer Screening protocols to ensure that both constituents and partners understand their use and that their design and implementation is regularly evaluated and revised. − Practice safe work habits and maintain a current knowledge and awareness of occupational health and safety procedures and 4-H Canada Accreditation Standards and Policies. − Ensure that county and club activities and initiatives are in compliance with the terms, conditions, and limitations of the insurance coverage – and report any concerns to the Supervisor/Manager.

DIRECT REPORTS: No supervision at this time - Could be summer students - TBC

QUALIFICATIONS & EXPERIENCE INCLUDE:

— Familiarity with the 4-H program, the local communities, and the agricultural and youth-serving sectors. — Demonstrated experience and ability to communicate and deal effectively with people. — Post-secondary education in or related programming, education, recreation, and youth development. — Time management skills and an ability to work independently and effectively with minimal supervision in a team environment. — Effective organizational, leadership and group facilitation skills. — Experience working with and supporting volunteers. — Conflict mediation and relationships management. — Demonstrated problem-solving abilities. — Experience working with and mentoring members, leaders, and volunteers. — Experience working in the non-profit and charitable sector.

— Excellent written and oral communication skills. — Vision and creativity. — Excellent working knowledge of– Microsoft 365 (includes Office, SharePoint, Dynamics). — Must possess a valid driver’s license and available reliable vehicle. — Must be willing to submit a Criminal Record Check (Vulnerable Sector) and Child Abuse Registry Check – upon offer of employment. — Must participate in training provided and required by the employer – includes compliance with 4-H Canada Accreditation Standards.

WORKING CONDITIONS:

Includes: − Remote work and home office. − Regular evening and weekend work – Note: there are times of the years (certain months) that require out-of-the-ordinary hours where other times of year are considerably slower so vacation or even lieu are more challenging to be able to organize. − Local, regional, and provincial travel. − Both indoor and outdoor conditions in all weather conditions.
