Olympic College President's Cabinet Meeting Minutes May 9, 2017 Committee Members in Attendance: David Mitchell, Kay Ash, Damon Bell, Mary Garguile, Cheryl Nuñez, David Emmons, Evelyn Hernandez, Ted Baldwin, Jacquie Curry Ireland Karen Bolton reported on Olympic College’s first study abroad program. Ten students, ages 18-80, and two faculty members, Karen and Michael Prince, went to Ireland from April 22 – May 3. Karen taught a Conflict Resolution class; Michael taught a photojournalism class. The students will be posting their trip. Karen recommended that the College support and promote this program again. Michael is prepared to lead and another faculty member would be selected to go. Cost – about $3000. Title III Jackie Fox reviewed the Title III goals and objectives for the remaining three years of the five-year grant. The Title III office has tailored their goals and objectives to match the College’s goals and objectives. Goal 1: Strengthen student achievement by identifying key barriers and applying systems and techniques to improve retention, graduation and transfer rates. - Professional development workshops emphasizing pedagogy and practice for student success - Student experience process improvements integrating the efforts of multiple departments - Data dashboards for enrollment and retention Goal 2: Improve classroom assessment and instructional effectiveness by developing and implementing a data-driven comprehensive assessment plan. - Assessment workshops with faculty from 15 departments - Curriculum management system implemented across 15 departments Goal 3: Eliminate redundancies and silos that strain institutional effectiveness and further exacerbate declining state support. - Business process review of three processes/year for the remaining three years of the grant - Transition to Enterprise Resource Planning System - ctcLink Student Services Damon Bell reported on the WA State Student Services Commission. - Students and employees will be able to put their preferred names on documents except for some official documents. - The retention of old records retention is still being determined. - SAI funding is still in negotiation at the State level. - The Maxient contract will be extended system-wide for another three years. - Everfi (it was Campus Clarity) is considering a system-wide contract for the next school year. Ciber How will Ciber’s bankruptcy affect ctcLink and our college? Our college doesn’t have a direct contract with Ciber. The contract is between Ciber and the State Board for Community and Technical Colleges for all 34 colleges, including ours. The State Board for Community and Technical Colleges is working with the state Attorney General’s office and tracking the situation closely . In the meantime, State Board and contracted employees in Olympia, and the pilot colleges – Spokane, Spokane Falls, and Tacoma – are continuing to work on remaining issues and move forward with this project. How does Ciber’s lawsuit against ctcLink affect our college? Ciber filed the lawsuit against the State of Washington and the State Board for Community and Technical Colleges. These legal issues are being handled by our state Attorney General’s office. The State Board has assured us it remains committed to making this project a success for the three pilot colleges -- Tacoma, Spokane and Spokane Falls – and for the rest of the colleges going forward. SEM – Everett Community College President Mitchell reviewed the strategic enrollment management work being done at Everett Community College – their focus on diversity and equity, student funding, high school outreach, transitional studies, and retention and completion. OC’s SEM committee will start preparing a plan for next year at their next meeting; the plan will drive the budget and strategy of SEM going forward. OCAP will probably make recommendations for administrative support for SEM for next year. 13th Year Promise Scholarship – South Seattle College President Mitchell reviewed the 13th Year Promise Scholarship at South Seattle College – its practices, funding, and implementation. David Emmons is working with the OC Foundation board on implementing the 13th Year Promise with area high schools. Posting Policy Cheryl Nuñez reviewed the draft posting policy. Cheryl will present a first reading of the policy at the May 16 Board of Trustees meeting. Policy for Reporting Child Abuse and Neglect Cheryl Nunez will present a first reading of the policy at the May 16 Board of Trustees meeting. President’s Award and BOT Leadership Award Cabinet considered recommendations for the President’s Award and the BOT Leadership Award. Opening Days Opening Days will be held Tuesday, September 19 – Friday, September 22. Mary Garguile is working with EAB to conduct a presentation on Tuesday, September 19.
