Call to order 2. Roll call - Eric Parent advised that Caitlin Stevens is at Maine Medical Center with a serious health condition which is why she and Jon Stevens are absent. Mike Thibault said we will need coaches to help with Learn to Skate, Learn to Play and Bruins Academy on Saturday 10/12/19. 3. Approval of minutes from September meeting - Jeff Dorais motioned to approve, Mike Thibault seconded. 4. Deliverables from last meeting A. Brent Smith - Equipment Security i. Change codes on locks to the office and equipment room status - Lock on office was changed to numbers on phone equivalent to PUCK. Equipment room is still the same 1321. ii. Equipment room door repair status - The equipment room door has not been replaced because the Arena Manager, Craig King, said the replacement needs to be a metal security door. Brent found that it is very expensive because it is a custom size. Amber Goodman said this should be the arena’s responsibility, not ours. She suggested that Brent get a quote and give it to Craig. iii. Eric Parent is going to bring his dump trailer on Friday 10/11/19 to get the rooms cleaned out. Brent said that he has been in contact with the new rink in Dover Foxcroft about donating some used equipment to them, but they haven’t responded. We have about 20 sets of new CCM skates and assorted other used skates in kids sizes. We will keep all new equipment. 5. Open issues A. Eric Parent - Sponsorship Status Update i. Brent Smith got Moody’s Collision Centers to do $2500 a year for two years. They will sponsor the 6U and 8U teams and receive helmet stickers, mini boards, away game banner and door hanger. ii. Mike Thibault said STX is offering $10,000 to be split between BYHA $6000 and the Biddeford Ice Arena $4000 (refer to Mike’s 10/9/19 email for details and photos). They will put up their own signs with both the BYHA and Maine Wild logos included. Eric Parent spoke to Brad with the Maine Wild about this. Tom Hall said we need to have a plan to get them to renew at a higher rate next year. iii. Team Sponsors include: Camco, Dube Drywall (to sponsor Aiden Dube’s 14U team - Jim Mulligan approved), Wallboard Supply, Aroma Joe’s, Provencher, Godbout Plumbing & Heating, Parent Drywall, Josh Keller, Northeast Credit Union ($500 Helmet Stickers only - Alexa Keenan to follow up on when we can expect to receive check), Lessard, Tom Hall, Moody’s Collision Centers, Prime and Nadeau Orthodontics (needs new sign). iv. Cost to BYHA is $100 - $150 per team for Helmet Stickers (laser cut through P&P for $2/each), 2’ x 3’ banner (hang behind team on bench $30/each), Magnetic Locker Room Door Hangers (say BYHA with sponsor logo at bottom $50/each). v. Tom Hall asked about obligation to credit union for locker room sponsorship for $2000 per year for 5 years. Eric said we will still meet this obligation even with the additional locker room hangers. vi. Rob Koh requested that we be consistent with where we choose to put the helmet stickers throughout the organization. Since most players already have BYHA stickers on the sides of their helmets, the back of the helmet location for the sponsor logo was discussed. vii. Eric confirmed that we are still accepting sponsors. He has not told anyone that they get an exclusive team sponsorship, so we can double up as needed and have more than one sponsor per team. Send Eric all logos for team sponsors. Tom Hall confirmed that we need to build up revenue to be used for investments next year in recruiting and equipment (practice jerseys). viii. Tracy Polito got $250 from Southern Maine Dental as a donation to our organization. She will send their logo to Jeff so the donation can be acknowledged online. Also, Saco Valley Credit Union bought a board for $500 and Tracy’s significant other also bought a mini-board. Brent Smith stated that logos for the boards/mini boards must be really high resolution so they don’t get pixelated. ix. Tracy Polito announced that this year’s fundraiser will be a calendar. Local businesses are donating $25 value items as daily prizes (e.g. round of golf at Dunegrass, Smitty’s Cinema tickets). We need about 15 more items. Kids will sell tickets for $10/each in December. The only cost to BYHA for this is the printing of the calendars/tickets, so we will keep most of the profit. January daily drawings will appear as online video to get people engaged. 1. Amber Goodman stated that the Amato’s coupon fundraiser last year was rushed. Tom Hall said that is because he and Eric Parent were trying to make up for a budget shortfall at the end of the year. B. Jim Mulligan - SMYHA Partnership at 14U i. We received 6 new Bantams (14U - 4 skaters and 2 goalies named Crockett and Weed) and 5 new PeeWees (12U - 1 is a girl goalie) from SMYHA, as well as ice time (1 practice per week and half of the home games) and skills sessions with Hodge Hockey for these age groups only. Jim will provide Doug Sanderson with emails for the new goalies so they can be invited to goalie skill sessions. ii. Jim understood there was resistance to this partnership due to the SMYHA kids not buying jerseys. His opinion is that once we’ve made the ice schedule and paid for it, it doesn’t matter how many more kids you add or who pays what. iii. At 14U, we now have 23 skaters and 3 goalies. Jim will break this into 2 core teams (11 higher skill level/tuition and 12 lower skill level/tuition). Currently there are 8 skaters and 1 goalie registered for the 14U hybrid team. He will ask 3 players registered for 14U to join the 14U Hybrid team. He thinks they will be happy to participate and pay the extra tuition, but if not he will advise the board. There will be group of skaters that swing between the two teams (stack 18 + 2 goalies on each team). The swing kids will pay the Tier 4 price and their priority is to the Tier 4 team. Jim has emailed all of the families/coaches in 14U and there have been no complaints. iv. ***Jim said to email all new Arena business to him before next ​ Arena board meeting.*** ​ C. Mike Thibault i. Registration Update 1. Currently there are 183 kids registered: 20 at 6U (we lost one 6U due to a broken leg, had to refund tuition), 49 at 8U, 14 at 12U, 16 at 12U Hybrid, 10 at Flex*, 12 at Girls, 16 at 14U and 10 at 14U Hybrid. SMYHA owes us two more 12U and there will be 2-3 more scholarship kids (1 Flex, two 8U) registered. 2. *Tom Hall said there are some 10U and one 12U going to Flex. Mike said there aren’t enough 12U on Flex for them to play any games. Also, it’s a liability for 12U to skate with 10U for practice. Unless you can prove (doctor’s note) that a kid has a mental disability, they can’t play down. There are enough kids to do a cross ice scrimmage. Rob Koh said we need to be transparent with the 12U Flex families and let them know there won’t be any games. Jeff Dorais proposed discounted tuition for 12U Flex if not playing games. Tom Hall said no. Rob Koh proposed offering Learn to Skate/Learn to Play for free. 12U Flex will cross roster with 12U Silver. Mike Thibault is supposed to roster all kids in the organization. If roster as 12U, can practice with 10U. Eric Parent said Seacoast charges $20/kid, but can cross roster for $5/kid. If pay $25/kid, can cross roster as needed. Jeff Dorais will work closely with Dave Chaisson get the four 12U Flex kids games with the 12U team if they show improvement. ii. Jersey Update - Mike to order remainder of jerseys on 10/12/19. He will put a rush on this order. 1. Alexa Keenan requested that we schedule picture day for a date after this order is supposed to arrive. Eric Parent said Caitlin Stevens usually schedules pictures. 2. Jeff Dorais asked about how we will handle jerseys for the 6U registrations that come in late (November) after Bruins Academy and Learn to Skate. Mike said he plans to order extras. Brent Smith to provide Mike with a number of extra jerseys needed for 6U by Saturday, 10/12/19. He will ask Caitlin and Jon Stevens for their recommendations of how many extra kids may register for 6U. D. Rob Koh - Team declaration for Seacoast and MEAHA for hybrid teams - ​ ​ Team declarations already resolved, no longer an open issue. 6. New Business/Agenda Items A. Mike Thibault i. Install an approved alarm device in the coolrooms located in the kitchen on the first floor and the coolroom located on the ground floor as specified by the provisions of Clause 53.2(l)(b) of Ord 70. 8. Construct a two hour fire rated wall around the dumb waiters service hoist located in the kitchen and in the cellar on the ground floor specified by Clause 16.8 of Ordinance 70. 9. Install a one hour fire rated door to both dumb waiter and service hoist, the doors to be so designed that they only open at the level at which the dumb waiter is parked.
