EAHP 2017 - GROUP BOOKING CONDITIONS
DEPOSITS REQUIREMENT AND GUARANTEE
Reservation will be definitive and guaranteed on receipt of a copy of this contract duly signed and payment of the corresponding deposit mentioned below.
At the latest, the signed contract has to be sent to Mathez within 10 days with the proof of your payment, otherwise rooms will be released.
The following deposits should be sent by THE PRINCIPAL without any further prior request by Voyages MATHEZ:
First deposit 10% of the total invoice to be paid upon signature of the contract - (proof of the payment to be sent with the signed contract)
Second deposit 20% of the total invoice to be paid before the 10th of October 2016
Third deposit 50% of the total invoice to be paid before the 10th of December 2016
Fourth deposit 10% of the total invoice to be paid before the 20th of January 2017
Balance To be paid upon receipt of the final invoice within 10 days
Shall the principal cancel the total booking or all the rooms booked in one hotel, the corresponding deposit paid/due will be kept/required.
Should payment not been received on the requested deadlines, interests for late payment will be applied: 1.5 of the legal interest rate will be added on the amount due.
MATHEZ reserves the right to debit the given credit card for this total amount or cancel the booking if a credit card is not provided.
MATHEZ requires the following credit card details, and an enclosed imprint of both sides of the credit card as a guarantee:
Credit card details will be requested. Failure to meet either of the above mentioned conditions will result in the absence of a confirmation of booking by MATHEZ.
MATHEZ will automatically cancel the room reservation if 90% pre-payment as stated above, has not been received before 20th of January 2017. 90% of the total invoice is required within 1 week for any additional booking made from 21st of January 2017.

REDUCTION/CANCELLATION(S)/NO-SHOWS
All cancellations have to be notified in writing by email to MATHEZ but in any case not to the hotel directly.
Shall the principal cancel the total booking or all the rooms booked in one hotel, the corresponding deposit paid/due will be kept/required at the minimum. The following cancellation policy will be applied in addition.
From the signature to October 10, 2016, 90% of your remaining allotment per hotel can be cancelled without penalty. Over 90% of the allotment, 40% of the room nights cancelled will have to be paid for any contracted hotels (100% of the additional room nights cancelled will have to be paid for the hotel Intercontinental Carlton). From October 11 to December 10 2016, 50% of your remaining allotment per hotel can be cancelled without penalty. Over 50% of the allotment, 50% of the room nights cancelled will have to be paid for any contracted hotels (100% of the additional room nights cancelled will have to be paid for the hotel Intercontinental Carlton). From December 11, 2016 to January 20, 2017, 20% of your remaining allotment per hotel can be cancelled without penalty. Over 20% of the allotment, 70% of the room nights cancelled will have to be paid for any contracted hotels (100% of the additional room nights cancelled will have to be paid for the hotel Intercontinental Carlton). From January 21 to February 10, 2017, 5% of your remaining allotment per hotel can be cancelled without penalty Over 5% of the allotment, 75% of the room nights cancelled will have to be paid for any contracted hotels (100% of the additional room nights cancelled will have to be paid for the hotel Intercontinental Carlton). From February 11, 2017, any cancellation will be charged 100%.
In case of no-show, the full amount corresponding to the whole stay booked, included breakfast and city taxes, will be charged
Reduction/cancellation is only valid when notified in writing and agreed by Mathez.
Each cancellation request will be based on the remaining allotment on the cancellation date. The above indicated free cancellation percentages have to be viewed per night basis and per hotel.
Please note that the cancellation and modification conditions above will be applied per booked hotel and will also be applied for pre & post nights.
