JOINING INSTRUCTIONS

The National Housing Federation and the University of Warwick look forward to welcoming you to Coventry. We hope that the information provided in this document will help you to get the most from the event. Please bring these instructions with you on the day, as they will help ensure you have a smooth arrival.

Please note meeting rooms, accommodation and dining areas are not all under one roof and bedrooms are spread across a large area. It is therefore advisable to bring suitable clothing, comfortable footwear and umbrellas as appropriate. When leaving late at night please respect your fellow delegates and leave quietly. Delegates should also exercise caution if walking around the campus alone.

TRAVEL DETAILS

The University of Warwick is located on the southern outskirts of Coventry.

Full travel details (by road, air and rail) are outlined in the accompanying document ‘How to find us’.

Train: Coventry station is only four miles from the University and a taxi costs approximately £11. Birmingham International station is also close by and a taxi from there costs approximately £27.

At the University there is a taxi rank on Health Centre Road opposite .

Car parking – please read if you are driving: Please note that car parks are not adjacent to the registration and accommodation areas. Allow plenty of time to find a space and remember this is a large campus so there may be a 5-10 minute walk to get back to your car.

Parking during the conference is free of charge in the conference car parks (7, 8, 8a and 15). Car parks 7 and 15 are barrier operated – on arrival you should take a token from the machine at the car park barrier. Before leaving you should validate the token – this can be done at the Conference Park Reception in the Student Union Atrium or at the Federation’s stand in the exhibition.

Car parks 8 and 8a do not operate the token system.

Cars parked illegally and any unauthorised parking in disabled spaces will incur a fine. Please note that the University operates a wheel-clamping system. The Federation will not reimburse charges.

IMPORTANT TRAVEL UPDATE:

University and local road works

The University in conjunction with the local areas are working on a major development to improve the roads in and around the University.

In principal there will be one way onto the main campus which will be from the A45.

Allow time to get to Warwick as well as around campus:  We recommend that you allow approximately an additional 30 minutes for your journey (and more at standard rush hour times) as there will be congestion around campus.  On approach to campus, please be aware of Diversion signage and follow as directed  Once you’re on campus, please pay close attention to signage – diversions and traffic management may change on a daily basis depending on what work is being carried out - staff will be located at car parks and other key areas to assist and advise

Which direction to approach from:  If you arriving from the A46, then you will need to carry along and join the A45 rather than exiting the A46 at the normal junction (there will be diversion signs to the A45)  If you are arriving from the A45 – then access onto campus remains the same  Once on campus, Conference Car Parks will be designated as CP7, 8a, 8 and 15

Alternative options: You may wish to travel to campus by train. Frequent bus services run from Coventry station direct to the University campus. Information can be found at http://nxbus.co.uk/coventry/information/buses-to-from-university-of-warwick/

CONFERENCE REGISTRATION

Conference registration will take place in the Arts Centre upper foyer, which is located by the entrance to the Arts Centre building nearest car park 7. A left luggage facility will be available next to registration in the Arts Centre Studio.

The Federation’s registration desks will be open at the following times: Monday 7 July 09:30 – 18:00 Tuesday 8 July 09:00 – 15:35

Note: Room keys may not be available until 15:00 on your day of arrival.

At registration you will be issued with your name badge. Please wear your badge at all times. This will allow you entry to the exhibition and help with security. It will also enable you to identify fellow delegates.

ACCOMMODATION

Room keys are available from the Conference Park Reception in the Student Union Atrium from 15:00 on the day of arrival and the latest check-in for accommodation will be 23:00. En-suite accommodation will be on campus.

Please vacate your room by 09:30 on your departure day. A luggage store is available in Arts Centre Studio next to the Federation’s registration desks. Bedrooms do not have TVs or telephones. Coin-operated and phone card telephones are available throughout the campus. All bedrooms have hairdryers and tea and coffee making facilities.

If you are not staying on campus, you can source hotel accommodation through a variety of websites including www.lastminute.com, www.laterooms.com and www.expedia.co.uk

DIETARY REQUIREMENTS

If you have specific dietary needs, please indicate these on your booking form. If you have already submitted your form without filling in this section, please contact the Federation’s Business Sales and Support Team on 020 7067 1066 or email [email protected] with your dietary requirements.

Please note that we are unable to guarantee that the venue can meet dietary requirements for any delegates whose bookings are received after Friday 27 June.

SPECIAL REQUIREMENTS

The venue is fully accessible for wheelchair users. If you need wheelchair access or if you have any special requirements, please contact the Business Sales and Support Team on 020 7067 1066. The Federation is unable to provide care assistance but carers can attend free of charge.

CONFERENCE FEE

Your fee includes a delegate pack, refreshments and meals as detailed within the programme for those days that you are booked on to the conference. The conference dinner, drinks reception and party on Monday evening are free to attend. If you wish to attend the conference dinner please ensure you mark this on your booking form as places are subject to availability.

SESSION CHOICES

The Federation will endeavour to accommodate your session choices. However, due to the number of delegates attending the conference and the restrictions on some breakout rooms, this may not always be possible. You will be able to make alternative choices on the day, according to availability. We recommend you choose your sessions on the booking form and make a second choice. Please make your choices when booking your place.

MEETING ROOMS

All main plenary sessions are located in the Warwick Arts Centre (building 67 on the map). Breakout sessions will take place in various locations on campus. Please refer to the conference guide for breakout session locations when onsite.

INTERNET ACCESS

All bedrooms on campus have free Wi-Fi available. Alternatively, PCs with free internet and email access are available in the Student Union Atrium. These may be accessed daily between 07:00 – 23:00.

Wi-Fi is available in social spaces and some meeting rooms on campus. You can obtain wi-fi login and password information from the help point in the Student Union Atrium and within the Arts Centre.

LEISURE FACILITIES

Delegates may use some of Warwick’s leisure facilities free of charge providing they take along their bedroom key or delegate name badge as a means of identification. The towel from your bedroom can be taken to the Sports Centre, or alternatively you can hire an additional towel for £1.65. SECURITY

Please remember to be vigilant throughout the conference to ensure the safety of your property. If items cannot be watched, then it is important that they are properly secured.

Neither Federation nor venue staff will accept any personal belongings for safekeeping. These should be kept with you at all times or left in the designated left luggage or cloakroom facilities.

CONFERENCE NETWORKING EVENING & DINNER

Conference dinner Your fee includes access to the conference dinner on Monday 7 July – 19:30 to 21:30 in the Panorama Suite in the Rootes Building.

If you wish to attend please ensure you mark this on your booking form, as places are subject to availability.

Drinks reception and party Your fee also includes entry into the conference drinks reception which takes place before dinner on Monday 7 July – 18:00 to 19:30 in the exhibition. The fun doesn’t stop there, why not come along to the after party from 21:30 ‘til late in Warwick’s Terrace Bar.

REFRESHMENTS & BREAKFAST

All refreshments and lunches are served in the exhibition area which is in the Mead Gallery within the Arts Centre.

On Tuesday, breakfast for residential delegates is served from 07:30 – 09:00 in Rootes Restaurant.
