ESC Congress 2018 Munich (25-29 August): Congress Report 8 2.1 Venue – Organisation Of The Programme

2.1.1 Villages

All villages have two lecture rooms except for Village 6 (Arrhythmia) which featured a new room design, the “Library Room”. This room was used for special sessions with panel discussions and also used by industry as an overflow room for the Lecture Room KIEV.

The Spotlight Village combined multiple topics most of which were related to the spotlight of the congress “Valvular Heart Disease”.

2.1.2 Hub

This year the Hub was split into two areas. The Centre Stage hosted larger sessions including the LIVE CASES Sessions – LIVE IN A BOX – and Great Debate sessions.

2.1.3 Digital Health Area

The entire Digital Health/eCardiology programme was held in this specifically designed area. Technology demonstration sessions were also held in the Digital Health Area based on the Call for Technology which was launched by the ESC this year.

2.1.4 Poster Area

Moderated ePoster stations were redesigned to optimise acoustics and ato cater for a larger audience. The best poster screen was located in front of the respective Poster Board areas as in previous years.

2.1.5 Science Box

The Science Box was specifically designed to host the oral abstract sessions in the traditional format of presentation.

2.1.6 Agora

The Agora rooms hosted Rapid Fire abstract sessions as well as some special sessions which were suited to a casual / interactive environment.

2.1.7 ESC TV Stage

The ESC TV Stage was positioned in ESC Plaza along with ESC Stand, Professional Member’s Lounge, Fellows of the ESC (FESC) Lounge. This year sessions such as “Meet the Trialist” were also hosted on this stage.

ESC Congress 2018 Munich (25-29 August): Congress Report 9 2.2 New Structure For The ESC Congress Programme

2.2.1 ESC Topic List

The new topic list was implemented this year in the programme for abstract submissions and in all related indexing of congress content.

2.2.2 New Schedule

The size and scope of the congress programme combined with the increase in related activities (ESC Stand, ESC Professional Members’ Lounge, Digital Health Area), and the requirement of industry partners for increased visibility in the exhibition, led to adjustments being made in this year’s congress session schedule. Adjustments allowed for more time between sessions and a longer lunch break in order to avoid a time conflict with the industry lunch sessions. These positive changes enhanced the overall delivery of the sessions.

The 2018 schedule was as follows:

• Breakfast 07:45 – 08:15 • Morning 08:30 – 10:00 (90 minutes) • Coffee break sessions 10:05 or 10:10 – 10:50 • Late morning 11:00 – 12:30 (90 minutes) • Lunch sessions (Industry) 13:00 – 13:45 or 14:00 • Afternoon mession 14:30 – 15:45 (75 minutes) • Coffee break afternoon 15:50 or 15:55 – 16:35 • Late afternoon session 16:45 – 17:45 (60 minutes).

Session formats and content were adapted to fit their assigned time slots either at the time of session construction or upon review once scheduled.

A selection of main trials were presented in Hot Line sessions held in the Munich Auditorium. Presenters were also asked to give an ESC TV interview.

A new format was adopted for the Hot Line sessions this year, enabling increased audience participation via an assigned mobile app moderator.

The audience were prompted with an opening question (before the trial presentation) and a concluding question (after the panel discussions). The mobile app moderator filtered and relayed questions sent by the audience via the mobile app into the panel discussion concluding each trial presentation.

ESC Congress 2018 Munich (25-29 August): Congress Report 38 2.8.4 Abstract-based Programme: Abstract Presentation Formats

Accepted abstracts are organised in sessions, each session type had a specific presentation format This year the “traditional” abstract presentation sessions took place in the “Science Box “ lecture rooms located in the poster area. The seating capacity of 50 seats was aligned with the maximum expected audience. This is the reason why the number of oral abstract presentations was increased.

ESC Congress 2018 Munich (25-29 August): Congress Report 44 3.1 ESC Congress Educational Grants

ESC Congress provides a prime opportunity for the professional development of healthcare professionals within the cardiovascular field The aim of ESC Congress Education Grants is to encourage and support professional development in the fight against cardiovascular disease.

Current policies regulating the relations between industry and healthcare are likely to impact the provision of direct sponsorship to individuals attending third-party congresses. As a result, ESC offered Educational Grants to attend ESC Congress 2018 in Munich. These Educational Grants were offered to professionals who have little or no access to funding or difficulties in obtaining financial assistance to attend the congress.

Successful applicants received 850 Euros as a contribution towards the costs of travel and accommodation and also benefited from a free Congress registration and a one-year ESC Professional Membership.

3.1.1 Who Is Eligible?

All professionals in the cardiovascular field (either members of the ESC or ESC Professional Members) were eligible to apply. Priority was given to applicants who were first-authors of research submitted to the ESC Congress 2018 as well as healthcare professionals (HCPs) from low- and middle-income countries. No strict age limit was applied.

3.1.2 How To Apply

Applicants were required to complete an application form and upload a CV and a letter of recommendation or reference from his/her Head of Department or Hospital.

The application form was available online on a dedicated web page which also detailed the terms and conditions of the grant. Applications opened on 15 December 2017, and the application deadline was 22 February 2018 (midnight CET).

3.1.3 Project Timeline

• Call for applications: 15 December 2017 - 22 February 2018. • Grading, summary review, acceptance from the Review Committee: 24 February 2018 - 7 March 2018. • Results notification: applicants were notified via email in the week commencing 19 March 2018.

ESC Congress 2018 Munich (25-29 August): Congress Report 47 3.2 New Grants For 2018

The National Cardiac Societies (NCS) are offered the opportunity to provide free congress registrations for 25 candidates from their society. Applicants should be aged 36 years or under and preferably be first-time attendees of the congress.

The ESC understands that, in addition to the registration fee, the expenses incurred for travel and accommodation can be significant and may prohibit some potential delegates from attending, even if a free registration is offered. The ESC has therefore created a new grant to address this specific issue.

3.2.1 ESC and National Cardiac Societies Partnership Congress Educational Grants

Under this new initiative, the ESC offers a travel grant of 850 Euros in addition to free registration to the ESC Congress and a free ESC Professional Membership for 2018 (or 2019, if the individual was already an ESC Professional Member). The grant was available for up to three candidates nominated by the NCS for free ESC Congress registration.

The ESC/NCS Congress Educational Grants were provided on the basis that the NCS would also fund the travel grant for up to three other candidates nominated for free registration (i.e. ESC provides three ESC/NCS Congress Educational Grants and the NCS provides three NCS Travel Grants). The NCS Travel Grants were subject to the same terms and conditions as for the ESC/NCS Congress Educational Grants, and also included a free ESC Professional Membership for 2018 (or 2019, if the individual was already an ESC professional member).

In addition to the ESC Congress Educational Grants and the ESC/NCS Partnership Congress Educational Grants, one of the ESC’s industry partners, Siemens Healthineers, offered grants to healthcare professionals. These Industry Sponsored Grants were offered to healthcare professionals from Eastern European countries who had little or no access to funding or difficulties in obtaining financial assistance to attend the congress.

3.3.1 Selection Process and Results Recipients of the grant were selected by an independent ESC Committee from a list of “high-quality abstracts” which were submitted to the ESC Congress 2018. Applications from healthcare professionals based in Romania or Hungary were eligible.

Applicants were informed of the independent selection for a grant and were given one week to express their interest in the programme. A total of 10 applications were accepted. Selection results by gender, age, and country are summarised in Table 3.7.

4.2 Layout

At this year’s congress, the hall layout was 66,000 m2, and housed the majority of the activities including the ESC Plaza, The Hub, Poster Area, Villages 1 to 6 and the Exhibition Area. The International Congress Centre Muenchen (ICM) housed the Spotlight Village, the Main Auditorium, Press and Speaker Service Centre (SSC).

The Registration Area was accommodated in a separate hall in between the Halls and the ICM.

As for ESC Congress 2017, the ESC Plaza accommodated many of the ESC activities including: ESC Stand, the National Cardiac Societies (NCS) and Affiliated Cardiac Societies (ACS) booths, the ESC Professional Members and Fellow of the ESC (FESC) Lounges, the Cardio-Pulmonary Resuscitation (CPR) workshops, ESC TV, ESC 365 booth, History of Cardiology booth and the Research Funding Area. The Research Funding Area was a new ESC initiative this year.

Part of the hall was occupied by two Hubs and the Centre Stage.

The exhibition was separated into three different areas with Villages at the back of each area.

The Poster Area, Agora (one of the two was outdoor), and Science Boxes (new lecture rooms with 50 seats each) were located at the far end of the venue.

All meeting rooms (ESC and Industry) were either in the exhibition halls or on Level 1 above the halls.

There was a total of 14,470 seats distributed among 33 lecture rooms.

ESC Congress 2018 Munich (25-29 August): Congress Report 62 6.1 Exhibition

6.1.1 Exhibition Area

The Exhibition Area provided the opportunity for delegates to engage with industry professionals and learn more about the latest developments and research in cardiovascular products and therapies. Exhibitors hosted a variety of scientific activities on their stands which allowed for instructive encounters throughout the congress. With easy access to nearby villages and other hotspots throughout the venue, the Exhibition Area served as the perfect transition for delegates on the lookout for the latest innovations in cardiology.

This zone gathered exhibiting companies from the pharmaceutical, device, imaging and diagnostic sectors. In addition, dedicated space was allocated to publishers, booksellers and not-for-profit organisations, and to the Emerging Technologies Showcase Area (ETSA). The Exhibition Area represented a total of three exhibition halls (approximately 22,000 m2 gross).

In addition, the commercial exhibition also included:

• State-of-the-art customised rooms (1,424 m2 net used): fourteen companies booked customised meeting rooms during the Congress (28 rooms each 48 m2 and one room of 80 m2). • Practical Tutorials rooms (560 m2 net used): six companies booked seven rooms to organise Practical Tutorials during the congress.

6.1.2 Exhibition: New This Year 6.1.2.1. Exhibition Opening Hours

Following a survey of the exhibitors, the exhibition opening hours were changed this year:

• Saturday: 10:00 – 17:00 • Sunday: 10:00 – 17:00 • Monday: 10:00 – 17:00 • Tuesday: 10:00 – 17:00 • Wednesday: Closed.

6.1.2.2 Sound Experience

As part of our commitment to continuous improvement and innovation year after year, the ESC aimed to improve delegate experience by introducing a sound system in specific areas throughout the venue, including the exhibition. Specific sounds and music could be heard by attendees as they explored the congress.

This initiative was introduced to improve delegate experience by using sensory stimuli with the aim of affecting behaviour and, ultimately, their relationship with the congress.

ESC Congress 2018 Munich (25-29 August): Congress Report 63 6.1.2.3 Stand Locator

Following industry requests for greater visibility, and feedback from a delegate survey suggesting that a simple exhibition map could help delegates to maximise their time in the exhibition, the ESC introduced the stand locator at this year’s congress. This was a practical map that provided a simple and effective guide to help delegates to navigate the exhibition, and enhanced visibility for all exhibitors throughout the halls.

A total of 15,000 copies were made available to delegates at the entrance of Exhibition Halls 1, 2 and 3 (Figure 6.1). In addition, three “digital” stand locators (interactive tactile screens) were also available for use in each hall.

Digital Health Stage Digital Health Exhibition

6.1.5 Focus On Digital Health Last year, the ESC introduced a Digital Health Area for the first time in the ESC Congress history. This gave Digital Health innovation drivers the opportunity to present their products and research in a dedicated area. Following the success of this initiative, the ESC decided to renew this project, with a new and improved layout. Located at the entrance of Exhibition Hall 3, the area was divided into three main spaces:

• Exhibition: booths were located in the vicinity of the Digital Health Stage giving Industry the opportunity to interact with delegates and demonstrate their latest digital health related innovations and research. A total of 18 exhibiting companies displayed their latest developments in a dynamic setting, with technology at the heart of discussions. • Digital Health Stage: this area hosted more than 30 sessions on its state-of-the-art Digital Health Stage with a variety of topics covering the benefits of implementing Digital Health in every day practice. • Meeting facilities: industry partners and visitors were able to organise meetings in a modern and laid- back setting.

6.2 Industry Sponsored Sessions

6.2.1 Industry Sponsored Sessions: ESC Congress 2018

Industry Sponsored Sessions allow for the review and discussion of recent trials and ongoing studies with the objective of providing the latest information on new therapies and techniques in cardiovascular medicine. Various formats were made available to industry partners depending on their congress objectives:

• Satellite Symposia: these sessions offered companies the chance to present pertinent data on the latest scientific information and developments for products or research. • Satellite Symposia – Experts on the Spot: these sessions were complementary to Satellite Symposia and could not be organised as standalone sessions. This 30-minute format gave industry the opportunity to engage with their audience. Topic experts were able to discuss content from the Satellite Symposia in a dynamic and interactive format. • Practical Tutorials: these tutorials offered companies a chance to provide participants with hands-on and/or one-to-one learning from clinical and/or technical experts on specific areas of expertise.

NB: All Industry Sponsored Sessions were subject to ESC Congress 2018 Programme Committee approval.

Satellite Symposium Satellite Symposium – Experts on Practical Tutorials the Spot

6.2.2 Industry Sponsored Sessions: New This Year

In order to allow for smoother transitions between ESC sessions and Industry Sponsored Sessions, the ESC restructured the congress schedule extending the time between sessions from 15 minutes to 30 minutes. This meant that ESC sessions benefited from a 15-minute overlap after their session for closure and room preparation whilst industry session organisers had a further 15 minutes to prepare their session (e.g. set-up, speaker briefing, lunchboxes).

ESC Congress 2018 Munich (25-29 August): Congress Report 68 6.2.3 Industry Sponsored Sessions: Figures

A total of 114 Industry Sponsored Sessions were organised by industry partners.

The number of Industry Sponsored Sessions was the highest recorded in the history of ESC Congress.

The breakdown per session duration demonstrates a clear preference for 60-minute sessions (comprising 60% of Industry Sponsored Sessions, N=69) (Figure 6.5).

6.2.3.1 Time Slot Occupancy

For the third year running satellite symposia slots have seen an increase in lunchtime slots. Evening slots are now down to single figures compared to three years ago where they represented almost one-third of satellite symposia slots (Figure 6.6).

Figure 6.6: Time Slot Occupancy (Practical Tutorials Excluded)

ESC Congress 2018 Munich (25-29 August): Congress Report 69 6.2.3.2 Experts On The Spot

Experts on the Spot sessions offered delegates who attended the satellite symposia a further opportunity to question and interact with topic experts in a concise and interactive format.

As these sessions were complementary to an industry satellite symposium, the content had to be aligned with content presented during the related satellite symposium.

All Experts on the Spot sessions were held in the dedicated Hub areas. These open spaces were the perfect setting for interactive discussions between experts and the audience.

A total of 37 Experts on the Spot sessions were sponsored by 15 industry partners (Figure 6.7).

Figure 6.7: Number of Satellite Symposia – Experts On The Spot

The format of the Experts on the Spot sessions has increased in popularity, with industry partners and delegates expressing a keen interest in the sessions.

ESC Congress 2018 Munich (25-29 August): Congress Report 78 7.1 Research Funding Area Research Funding Area

The Research Funding Area was located in ESC Plaza that attracted delegates to:

• Find out about ESC Grants • Obtain information about EU funding focusing on Horizon 2020 • Network with potential research project consortium partners • Attend information sessions on how to get an EU research grant.

Throughout the congress, approximately 50 to 70 delegates per day visited the Research Funding Area. It consisted of five interconnected booths/stations. Of these, two were managed by ESC staff, and three were managed by funding partners. The booths managed by funding partners offered information about research funding from their respective organisations, namely the:

• British Heart Foundation (BHF) • European Research Council (ERC) • European Research Area Network on Cardiovascular Diseases (ERA-CVD).

In addition to presenting their activities at their booth on the stand, the ERA-CVD held a ceremony to award its first ever Excellent Paper In Cardiovascular Research Award on Monday 27 August.

All booths were interconnected in a mostly open area, so that delegates could be easily redirected depending on the types of funding they were interested in.

The five booths were located at each of the four corners of the stand. There was also an area dedicated to short presentations that could host an audience of around 50 people.

The ESC-run booths received an average of 50 visits per day each (total visitors 200 to 250) and focused on disseminating information about:

• ESC Research, Training and Nursing Grants; and • EU-funded Projects

The grouping of funders on a single stand was convenient for delegates as it enabled them to investigate, and discuss available funding opportunities with representatives, focusing on their area(s) of interest.

8.4 New ESC 365

The new ESC 365 was launched at the 2018 ESC Congress.

In addition to a dedicated stand in the ESC Plaza the new ESC 365 was well promoted throughout the congress including: advertisements on glass walls on the Centre Stage, a large screen advertisement in the registration hall, an intersession slideshow in each lecture room, daily banners in the Congress News, tutorials and Q&A presented twice daily on the stage of the Professional Members Lounge, and various adverts.

The objectives of the launch were to:

1. Promote the new platform with all its functionalities; 2. Familiarise users with searching for the presentations they had missed and those of particular interest;

The launch was a big success resulting in 15 confirmed new memberships per day. There was a steady flow of people to the stand and delegate feedback was extremely positive and proved useful in highlighting areas for development.

In parallel, tests were carried out in the Professional Members Lounge to test users’ ability to quickly find the content in ESC 365 using eye-tracking technology.

8.4.1 ESC 365 In Numbers

• Eight computers on the ESC 365 stand to present the new enhanced ESC 365 platform. • One staff member & one hostess on the stand. • Seven presentations in Professional Members Lounge. • One eye tracker. • 50 user reviews using eye tracker. • Resources from eight ESC organised congresses on the same platform. • 96,700 resources in one online platform. • Four major industry sponsors of the platform. • Seven industry digests presented on ESC 365.

A total of 255,927 resources were consulted during the three weeks from Day 1 of the congress and 98,111 resources were consulted during the congress itself. Consultation figures (staff removed from figures) are summarised by resource type in Table 8.6.

Consistent with previous years, the slide sets were the most consulted resources. However, this year there was a remarkably high number of abstract consultations (+262.5%), while ESC TV consultations on ESC 365 decreased significantly (-96.5%). This is partly explained by the fact that from this year, only ESC Professional Members, Fellows of the ESC (FESC), and Young Members (from Young Combined Offer) can access ESC TV interviews from ESC 365. Figure 11.2 highlights the fact that ESC 365 resources were well consulted in the two weeks following the congress. The ESC 365 resource was a success in terms of increasing the lifespan of the scientific content of the congress.

ESC Congress 2018 Munich (25-29 August): Congress Report 92 Figure 8.3 shows that during the congress and during the three weeks (from congress Day 1) the proportion of resources consulted is similar (55% slide sets, 23% abstracts, 22% videos), whereas onsite videos/webcasts (37%) and ESC TV interviews (3%) were accessed more frequently.

Figure 8.3: Resource Consultations by Type During the Congress, Onsite and Over the Three Weeks from Day 1 of the Congress

During the congress, most of the consultations were performed on computers (74% onsite ESC 365 computers and other computers) while 26% of consultations were performed on mobile devices (Table 11.7).
