A new feature released in July, our clients can enter single or multiple delivery addresses to indicate where they want their payroll or tax form packages sent to. Delivery addresses can be updated or added to instantly, at any time and from anywhere with ease. From the delivery address screen, clients can choose a default address, store multiple addresses, and allocate specific addresses to different pay groups. For customers running multiple pay groups, the payroll admin can choose which address they want to ship their payroll packages to before finalizing the payroll. YOUR WORKFORCE NEW: DOCUMENT UPLOADS Did you know that you can now upload employee documents into the Payworks’ Human Resources module? It’s super easy. Admins can securely upload documents such as performance reviews, disciplinary actions, benefit information, training and development files and more to a specific employee’s profile. Admins can also use this function as an electronic “file folder” for their own records, which not only reduces paper waste but also helps fellow admins stay up-to-date in one unified database. Admins can further leverage this feature in conjunction with Payworks Employee Self Service (ESS). Having the capability to mass upload company documents is a quick and easy way to share information with the entire staff, and admins can select what documents are made available to employees. Employees can easily view important company information through the Communications tab any time they log in. This is especially helpful with new hires because admins can provide access to documents prior to onboarding meaning new staff will be prepared and ready to make the most of their first day. Admins can also use this method to distribute read and acknowledge documents to their staff and quickly view and export a list of employees who require follow-up in order to complete the task.

JUST A FRIENDLY REMINDER NEW: EMAIL NOTIFICATIONS

Your day-to-day tasks list is long enough already. That’s why we’ve enabled notifications within Payworks’ Human Resources module. Notifications enable admins to receive email messages based on changes made to the information stored within the application. This ensures that admins can be proactive with any employee changes and updates, thanks to a predefined list with 45 notification settings to choose from - everything from 90-day probation period expiration to employee primary earning changes and much more. Within each notification, multiple email recipients can be selected, meaning all of the individuals who need to know critical information, from people leaders to payroll admins, will be kept informed at the click of a button. For certain date-specific events, like expiring probation periods, admins can choose the number of days in advance the notification will be sent out. Admins can also disable notifications that are no longer needed, but the original recipient list will conveniently remain intact for future use. Notifications can be enabled or disabled through Payworks’ Human Resources module, under Company Setup and Communications Notifications.

TIPS & TRICKS USING THE BOOKMARKS FEATURE There’s a quick and easy way to pin the pages you use the most within the Payworks application. It’s called Bookmarks and it can streamline your process and provide easy access from the moment you log in. It’s fast and simple to add this functionality to your day-to-day processes. Here’s how: + When you’re on a screen you would like to Bookmark, look to the top of the page. + Select the flag icon at the end of the Navigation path. This action adds the page to your Bookmarks. You’ll see it appear on the left side of the screen. + If you want to remove the page from your Bookmarks, click on the flag icon again to de-select it. Notice that the page will disappear from the list on the left-hand side. The list on the main menu will display up to nine screens. If you have more than nine screens saved or you want a specific page to appear in this section, you can manage your Bookmarks by clicking on the “Bookmarks” title. MANAGE BOOKMARKS: + Select the MANAGE tab. + Drag the bookmarked pages up and down to change the order in which they display. + To remove a pinned screen, drag it to the right-hand side of the screen, to the REMOVE section. + Always remember to click SAVE.

There’s a super quick but often-overlooked way to find the exact screen you’re looking for. The “Search” function at the top of the page is easy and fast to use, helping you navigate through our application faster. Here’s how: + The Search field is on every screen within the Payworks application; located at the top of the menu on the left-hand side, directly below the Payworks’ logo. + Type in what you’re searching for... “grid”, “vacation”, “generate”, etc. + All of the screens associated with that keyword will appear; simply select the one you need from the results. + If the screen you’re looking for doesn’t appear, try another keyword.

APPLICANT TRACKING JOB POSTING EMAILS, EASY-FILE EMAILS & IMPROVED NAVIGATION

The next time our clients log in to Applicant Tracking, they’ll immediately notice some design changes that will streamline their recruitment process and create efficiencies. WHAT’S DIFFERENT?

+ The navigation menu has moved to the left-hand side of the screen and is now collapsible. This way, users can create more screen space in which to view the tasks they’re completing.

+ The design of the Jobs section has also been streamlined. A cleaner design means easier navigation, with clear, intuitive paths for users to share and view stats and analytics of job postings.

+ We’ve created a shortcut to Applicant Tracking’s Company Profile page in the main drop-down navigation menu. Users can now update their information with a single click directly after the login screen. NO EXPIRY ON JOB POSTINGS One of the perks of using Payworks’ Applicant Tracking is the number of top-rated career websites that jobs can be posted on, including Monster, LinkedIn, CareerBuilder, Indeed and more. Jobs posted on Indeed previously required an expiration date, but they’ve recently updated their policy such that no expiration date is required. Jobs posted through Payworks’ Applicant Tracking will now remain on Indeed’s website until the job is closed by the administrator through our system. Say goodbye to re-posting open career opportunities and get valuable time back in your day. EASY-FILE EMAILS A convenient feature of Payworks’ Applicant Tracking is administrators’ ability to send an email to notify applicants they were not selected for a position. We’ve further improved that functionality by including the position title within the subject line of that email. Since job seekers often apply for multiple jobs at one time, this feature will clarify for the job seeker exactly what career opportunity the email references. 10 The Works | Year-End 2019 RECORD BREAKING DONATIONS & DOG ADOPTIONS WITH UNITED WAY There are so many successes to celebrate after wrapping up 2019’s United Way Workplace Campaign. For the first year, Payworks staff from across the country made an investment that broke the $300,000 mark. Plus, in our third year as the presenting sponsor at the GenNext Summit in , we hosted our first-ever Pay it Forward booth - which resulted in the adoption of not one, but two dogs from Winnipeg Animal Services. Thanks to all of our staff from across the country, we surpassed our September United Way Workplace Campaign investment goal by 112%. Those dollars will make a direct impact in the communities where we live, work and raise our families. The grand total includes funds raised through our Workplace Campaign, the United Way Winnipeg Plane Pull and the company corporate match of up to $5,000 per employee. We’re also still in awe from our first-ever Pay it Forward booth at the 2019 GenNext Summit in Winnipeg on Oct. 31. The Payworks crew was taking Pay it Forward requests from the conference attendees and we’re proud to say we fulfilledALL of the requests - including one from Table 22, who were seeking puppy cuddles. TAKING TEAM BUILDING TO THE NEXT LEVEL BY PAYING IT FORWARD For many companies, team building is an important component of corporate culture. LEADING A SCOUTS TROOP TO THE PACIFIC JAMBOREE Outside of the office Calgary Implementation Specialist Eric Sparrow regularly dedicates his time to Scouts Canada, specifically the 75th Midnapore Scouts. Most recently he used his Pay it Forward (PIF) time to help raise $3,600 for his chapter to participate in a once-in-a- lifetime camping experience called the Pacific Jamboree. The British Columbia Scouts host a Pacific Jamboree every four years, and this past year the event was held on Vancouver Island from July 6-13. The Pacific Jamboree is a seven-night camp experience where participants partake in one-on-one leadership training skills. In order for seven scouts and two leaders from the 75th Midnapore Scouts to attend, Eric spearheaded fundraising initiatives that resulted in raising $3,600. Eric spends about eight hours per week volunteering for the 75th Midnapore Scouts, which includes prepping for and attending weekly meetings, updating files, scheduling camps, collecting and attending training and camps. But, he says it’s worth every minute. “Scouts Canada is a great organization and it gives kids the opportunity to challenge themselves and experience things they can’t do on their own,” said Eric.

Curling Canada’s 2019 Home Hardware Canada Cup took place in Leduc, Alberta from November 27 - December 1. Payworks was a proud partner of the 2019 Canada Cup and the affiliated Payworks Future Stars program. While the Canada Cup features the top seven men’s and women’s teams under one roof competing for their spot in the Roar of the Rings (the event which ultimately decides who represents Canada in the 2022 Winter Olympics in Beijing), we’re also shining the spotlight on the up-and-coming junior curlers in Canada - those who are reaching for the stars. The Future Stars program is intended to help strengthen curling at the grassroots level by showcasing 37 junior curlers, ages 10-16, from across Canada who’ve earned the designation as “Future Stars.” Those selected will be attending the Canada Cup in Leduc and receive Future Stars apparel and an on-ice introduction at one of the event’s curling matches. This is the first year Payworks has partnered with Curling Canada and we’re excited to present the Future Stars program at the Canada Cup in Leduc.
