Moore Minutes of the monthly meeting held on Sunday, October 10, 1999 at 767 Washington Avenue, Brooklyn, NY The Meeting was convened at 1:20pm under the chairmanship of Lloyd Houston, Vice-president. CALL TO ORDER and OPENING REMARKS: Chairman welcomed everyone to this, the first monthly meeting since the new Executive took office in September. Agreed without dissent that today's meeting would follow an earlier-circulated agenda. 2. ADOPTION OF THE MINUTES OF AUGUST 8 MEETING: Adopted without amendment on a motion by F. Denbow, seconded by K. Blue. 3. CURRENT ISSUES: (a) Meeting with Guyana's President: A report on the brunch meeting, which took place in Brooklyn on Saturday, October 2, was presented by M. Karimullah. President again renewed a government pledge to have G$100M budgeted next year for the rebuilding effort. He noted that architectural plans were being prepared to have the school restored to its pre-fire state. He was also presented with a gift and made an honorary member of the New York Chapter. Two of his advisors have promised to contact N. Jackman regarding the government's formal education plans. The Secretary, among others, strongly objected to the conferring of honorary membership on the President. Disagreed with the notion that it was "just something symbolic", but represents an uncharacteristic entry into our Association which, in his opinion, ought to be held as sacred as the institution which spawned it. Such membership therefore should not be "given away" on the basis of one's prominence in society or on promises made to the Association, but rather should be earned. He would prefer to see fulfilled promises becoming criteria for conferring honorary membership. Agreed, after the ensuing debate, that the relevant clause in the Constitution will be revisited and amended as appropriate. In his presentation, M. Karimullah noted that President Jagdeo "joined his predecessors Arthur Chung, Forbes Burnham, Cheddie Jagan and Sam Hinds as alumni of the New York Chapter". Secretary advised that those gentlemen were never members of the New York Chapter, but were eligible to become members by virtue of the fact that they were Queen's College alumni. Jagdeo is therefore the only head of state with membership in the New York Chapter. Noted and will be corrected. (M. Karimullah) (b) Plans for Social/Fund Raising Activities: ¨ Christmas Party, 1999: Organizing Secretary presented proposals from several prospective venues approached. Agreed that the maximum return for our effort can be derived from the Chateau Royale. A committee comprising the Secretary, Assistant Secretary, Treasurer and Organizing Secretary will meet with Chateau's management before the end of this week to formalize and conclude arrangements. (G. Wilson) ¨ Formal Ball, 2000: The event will again be held Easter Saturday (April 22), 2000 and will follow the format of previous events. Venues to be researched include: Holiday Inn, JFK (F. Denbow); Radison, JFK (M. Karimullah); Glen Terrace (M. Karimullah/D. Edmonds); Chateau Royale (M. Karimullah/G. Wilson). A firm venue to be announced by next meeting. ¨ Family Fun Day: This will again be held in the summer of 2000. President will again finalize arrangements with the management of Avenel Park, New Jersey. (N. Jackman). Vice-president to investigate the possibility of including the Alumni Associations of BHS, St. Rose's and St. Joseph's. (L. Houston) ¨ Q.C.-BHS Labor Day Sunday Bar-B-Q: Both Associations are actively searching for a suitable venue for next year's BBQ. Members asked to communicate possibilities to the Secretary. (G. Wilson) Securing a Building: Generally agreed that the time is now right to start addressing the possibility of purchasing a building for meetings and other activities. A sub-committee comprising D. Edmonds, M. Jones, M. Karimullah and G. Wilson will explore this with the following considerations: 1. Building type/location. 2. Cost considerations, including payment and maintenance. 3. Economic uses. 4. Joint venture with another organization (perhaps BHS?). 5. Possibility of securing the donation of a building, perhaps as a tax write-off? (d) Joint liaison with the BHS Alumni Association: Noted that the BHS Association is about to contract with someone in Guyana to act as an intermediary for its projects with its school. The New York Chapter will pay that person a salary. BHS has offered to have that person also act on our behalf on matters regarding Queen's College, at a cost to us. Will liaise with BHS to get more details. (L. Houston) (e) Washington, DC Chapter: Unable to contact Mr. Grant in the DC area. Will however meet with some alumni from that area during upcoming trip to Guyana, and will try to set up a meeting for November. (G. Williams) (f) Member Profiles/Membership Drive : The need to have more paid up and active members was recognized. An improvement in attendance at monthly meetings was also noted, but agreed that more is required, given the current growth stage of the Association and plans for the future. Suggested and agreed that the Association's Mission need to be restated as a marketing tool, so as to remove all negative perceptions. Will actively pursue the compilation of a data base of skills and qualifications possessed by current members. (L. Boxhill/M. Jones) (g) Committee Meetings: Agreed that a formal meeting of the Executive Committee will be held one week prior to the monthly meetings. Agreed also that a formal financial statement will be presented to the general membership at each monthly meeting. (G. Moore) The Vice-president took this opportunity to laud the leadership of Immediate Past President, Aubrey Smith and to convey to him the Association's gratitude for his sterling contribution to the growth and prominence achieved over the past few years. 4. OLD BUSINESS: ¨ Book of Records : Electronic preparation of this continues with scanning by L. Houston. Expected to be completed in a month. Those pages already completed will shortly be circulated for proof reading. (L. Houston) 5. NEW BUSINESS: Welcome extended to Messrs Patrick Bradshaw ('68-'75; "E" House), and Derrick Husbands ('62-'70; "H" House). 6. CLOSING REMARKS: The next meeting will be held on Sunday, November 14, 1999 at 767 Washington Avenue, Brooklyn, commencing 12:30pm.
