Attached is the Dean’s Summit Invite that the UW Law School would like to send out to our Benchers Society. I will share this with the PIO office but I just wanted to make sure you had eyes on it as well. Just as a reminder, my staff and I are anxiously awaiting on getting an answer on the items below. All other items of the Justice’s visit can wait for a more convenient time but the items below need answer as soon as possible so we can build registration systems, sign contracts, etc. If you and the Justice could review these two items and get back to me as soon as possible that would be great. 1. Justice Kagan will participate in lecture/one-on-one discussion for the Law School community on Friday, September 8th at 4pm. We have secured Union Theater located at the heart of the UW campus and just one block from the Law School. We would give first priority to our students, faculty, and alumni to the event. After a specific time, we will open up the event to the public. This event will be free and last from 60-90 minutes, whatever the Justice prefers and the time does not need to be settled on now. All we need to know if she is ok with us moving forward with planning this type of event. 2. Cocktail Reception and/or Dinner following the lecture/discussion at a downtown location. The dinner will be for alumni and faculty where a small fee will be required to cover some of the costs of the dinner. The Law School will not make any money on this dinner and will not be using it as a fundraising event. We would make sure to schedule a break between the lecture and dinner. If the Justice would be willing to a 10-15 speak at the event, we would greatly appreciate it. Thank you for your time. I realize you are extremely busy and appreciate your help and work on this. We would appreciate some additional information about the Dean’s Summit prior to approving the draft invitation. Is there any fee charged to register for the Dean’s Summit weekend (separate from the contribution that is required to be a member of the Benchers Society)? Is the weekend long event expected to raise funds for the school? The Justice’s event may not be linked with fundraising. Your proposal to charge a fee for the dinner that covers only the costs associated with the dinner itself sounds fine. The Justice may not be associated with fundraising and we consider an event to be a fundraiser if the revenues from the event are expected to exceed its costs, or if guests are asked for donations at the event. Please continue to provide us with any draft written materials mentioning the Justice prior to release (invitations, email notices, website postings, releases, etc.). We would also appreciate your providing a communications plan for review that addresses the following: MEDIA: Do you propose opening any part of the event to press coverage, and if so, is this your usual practice? If you propose press coverage, please provide details concerning your usual guidelines (i.e., whether open to all still camera, print, and broadcast coverage, by invitation only, or some other arrangement). UNIVERSITY COMMUNICATIONS PLANS: Does the University propose any video, photography, or coverage for its own use? If so, please provide details and proposed uses. Justice Kagan’s assistant has approved the lecture style event. The dinner is what we are waiting on confirmation from the Justice and the PIO. However, the invite attached does not mention having the Justice at the dinner nor a charge. If we could get this approved that would be great. Making Law School expertise and resources available to all is part of our mission through the Wisconsin Idea, the university’s statewide commitment to improving the lives of citizens beyond the classroom. Our press plan includes: Prior to event • Inviting campus and local newspaper, radio, and other press agencies • Distributing press release through campus communications • Promoting event through social media Day of event • Live streaming lecture for off-site viewing • In partnership with Wisconsin Public Television, recording video for the University Place channel. (University Place is WPT’s “virtual lecture hall.” It televises public talks and other educational presentations as a service to Wisconsin residents. Lectures appearing on University Place repeat occasionally and are also made available on WPT’s website for on-demand viewing. ) • In partnership with Wisconsin Eye, recording video for their public access channel. • Sharing highlights of the event through social media • Before or after lecture, hosting speaker question-and-answer session with local press • Allowing photography, according to speaker’s preferences After the event • Posting video for online viewing, and keeping DVD copies for the Law School’s archives • Writing news article for print and web • Promoting news accounts through social media • Televising lecture on University Place and/or Wisconsin Eye immediately but Fox can look across carriers to get you where you're going.
