ENTRY RULES & INFORMATION

WELCOME The AIPP and our major sponsor Epson welcome you to the 2020 State Awards Season! The State Award Events are as follows: NSW / ACT: 21 – 23 April WA: 13 – 14 May QLD / NT: 23 – 24 May VIC /TAS: 3 – 5 June SA: 14 – 15 June All Award Events will be livestreamed to be enjoyed around the country, plus each local judging event is FREE to attend for the general public. The following entry rules and information apply to ALL 2020 AIPP Epson State Awards. Information specific to each State concerning venues, print case addresses, RAW file scrutineering, entry and close dates and Presentation Nights will be prepared in separate documents.

AWARDS MISSION STATEMENT The primary purpose of the AIPP Awards system is to raise the standard of professional photography and video production in Australia. State and national awards provide members with a platform for creative development, professional benchmarking and peer assessment, and with consequent opportunities for personal achievement, professional recognition and self-promotion.

WHO CAN ENTER? The AIPP Epson State Professional Photography Awards are open to all Australian professional photographers, student photographers and AIPP Member photographers. Entrants must be a permanent resident or citizen of Australia who have resided here for a minimum of three months within the 24 months preceding the closing date. Entrants can only enter ONE State Awards per calendar year. This event must be the State in which the entrant resides or in which their AIPP Membership is listed (where relevant).

WHO IS A PROFESSIONAL OR STUDENT PHOTOGRAPHER’?

A professional photographer, for the purposes of these Awards, includes: An AIPP Accredited Professional Photographer; or A photographer who has an Australian Business Number (ABN) and who earns an income from the profession of photography. A student photographer must be 18 years or over and currently enrolled at a registered educational institution within Australia during the current calendar year.

WHO IS AN AIPP MEMBER PHOTOGRAPHER?

An AIPP Member photographer is someone who has purchased an AIPP membership under the title of ‘Member’.

WHO IS A ‘SEEDED PHOTOGRAPHER’?

Seeded Photographers, for the purposes of the AIPP Epson State Awards, are those who are Accredited AIPP Members and who have achieved the title of Associate, Master or Grand Master of Photography. Seeded Photographers receive a 25% discount on their AIPP Epson State Awards entry fees. If you are unsure if you are seeded, please email [email protected].

QUALIFYING FOR APPA 2020 VIA STATE AWARDS

The AIPP Epson State Awards offer a chance for entrants to qualify for the AIPP national photography awards, known as APPA (Australian Professional Photography Awards). This is an exciting national event, bringing together photographers from all over the country. In 2020, APPA will be held at the Melbourne Conference & Exhibition Centre from August 15 – 17. To qualify for APPA, you must earn at least ONE Silver Award or above. This applies to Professional, Student and AIPP Member photographers alike. Entrants who qualify for APPA are offered a 25% discount off their APPA entry fees. (Please note: this qualifier discount does not apply to Seeded Photographers, who receive a discount on their State Award entry fees instead).

PLEASE READ THE FOLLOWING RULES CAREFULLY! Every year, there are a few entrants who haven’t read the rules and are disappointed when they are disqualified. This is the last thing the Awards Committee wants to do, so to ensure your experience is a positive one, please read and follow the rules.

CHANGES FOR THE 2020 AWARDS Here is a snapshot of the changes to the AIPP Epson State Award Rules. Entrants are still required to read the Rules in full. • The sub-categories ‘Single Capture’ and ‘Open’ have been replaced and no longer exist. The new sub-categories are Authentic Edit, Corrective Edit and Creative Edit. Read more under Core Rules, page 11. • The removal of leads, halters, harnesses (Pet / Animal) and hands (Newborn) is now permitted under the Corrective Edit sub-category. Read more on page 12. • A new Bronze scoring category , called the Bronze Certificate, has been introduced. All Bronze-awarded entrants will receive a Bronze Certificate. Read more under Judging System on page 27. • The AIPP Member Photographer Award replaces the Emerging Photographer of the Year. Read more on page 26. • Authentic and Corrective Edit categories that allow polyptychs now have a maximum of six images per matted print. Read more on page 12. • Entrants in the Landscape category may now include an optional caption of 50 words with their image if they wish. • The Pet / Animal category is now open to images of ALL animals, including wild animals. Read more on page 22.

ENTRY FEES

AIPP ACCREDITED

Can enter up to 12 prints total. A maximum of 4 images per category can be entered. $165 for up to 4 prints. $35 per additional image entry. Associate and above Members receive a 25% discount when entering State Awards.

AIPP MEMBER PHOTOGRAPHER

Can enter up to 9 prints in total. A maximum of 3 images per category can be entered. $105 for up to 3 prints. $35 per additional image entry. AIPP Member Photographers may earn awards (bronze certificate, silver, gold etc) and are able to compete for the State Member Photographer of the Year. Member Photographers are not eligible to win other Categories, including the State Professional Photographer of the Year.

STUDENTS

Can enter up to 3 prints in total. AIPP Student Members - $70 for up to 3 prints. Non-AIPP Student Members - $90 for up to 3 prints. Students may earn awards (bronze certificate, silver, gold etc) and are able to compete for the State Student Photographer of the Year. Student Photographers are not eligible to win other Categories, including the State Professional Photographer of the Year. To enter the State Awards as a student, you must be a current student of a recognised tertiary institution.

NON-MEMBERS

Non-member professional photographers. Can enter up to 4 prints in total. A maximum of 4 images per category can be entered. $280 for up to 4 prints

HOW ARE THE CATEGORY WINNERS CHOSEN? An ‘eligible submission’ comprises four prints with: • a minimum aggregate of 320 points; and • at least two prints with a Silver Award or higher. Up to five eligible submissions for categories with over 200 prints and up to three eligible submissions for categories with under 200 prints, based on the highest aggregate score, will be assessed by a panel of five judges in private, to determine the winner of the category. In all categories, including Professional Photographer of the Year, judges will be asked to consider visual and/or emotional impact, originality, innovation and creativity, with further considerations to include excellence in craft, diversity of content and skills, and conceptual development of an idea or theme. Entry information detailing post-production, commissioned/self-commissioned, the relevant sub-category, and captions will also be considered during this process. Judges are instructed not to consider the four entries as a group or portfolio, but as four individual and disparate prints. Please note that the aggregate scores of the submissions are not a judging consideration.

Student Entrants require a minimum aggregate of 240 points from eligible print categories to qualify as a finalist for the Student Photographer of the Year. Up to five finalists based on the highest aggregates will be assessed by a panel of five judges in private, to determine the winner of each category.

AIPP Member Photographers require a minimum aggregate of 240 points from eligible print categories and must achieve a minimum of two Silver Awards to qualify as a finalist for the AIPP Epson State Member Photographer of the Year. Up to five finalists based on the highest aggregates will be assessed by a panel of five judges in private, to determine the winner of each category.

9 AIPP EPSON STATE AWARDS 2020 RULES

CORE CATEGORIES FOR 2020 AND MINIMUM REQUIREMENTS FOR CATEGORIES TO REMAIN STAND-ALONE AT STATE AWARDS The following are the CORE CATEGORIES for 2020: Commercial, Documentary, Illustrative, Landscape, Portrait, Travel and Wedding. All categories will be offered in all states. However, if fewer than three eligible entrants (entering four images each) enter a category, that category will be classed as a non-stand-alone category and will be judged as part of a suitable core category. Once entries have closed, if a category does not have three eligible entrants, images entered into the category will be judged under the associated core category: Portrait – Family, Newborn and Pet/Animal Documentary – Nature Commercial, Illustrative, Wedding, Travel and Landscape have no associated categories.

Smaller categories may not have specialist judges. At all times, category judges are chosen to best suit the categories.

CORE RULES & REQUIREMENTS

UNLESS OTHERWISE STATED IN SPECIFIC CATEGORY RULES, THE FOLLOWING RULES AND REQUIREMENTS APPLY TO ALL ENTRIES.

1. ELIGIBILITY

• Any entry that is considered to contravene the rules of the sub-category or category it has been entered into may, at the discretion of the Awards Committee, be moved into a more appropriate sub-category or category. • Should a print contravene the rules of all categories, then it may lead to disqualification of the print. • While efforts may be made to contact the entrant prior to any such changes, the Awards Committee reserves the right to make the necessary category change irrespective of any such contact. The decision to move a print will be final and no discussion will be entered into.

2. CAPTURE • Entries must be 100% photographic in origin. • All elements in an entry must be the work of the entrant. • The use of third-party imagery, such as (including skies, borders or textures), is prohibited. • Entries must be from original exposures made within the 24 months preceding the closing date. • The category rules and requirements accompanying the category descriptions form part of the rules. • All images captured, retouched, digitally edited or printed over the duration of a workshop, tutorial or similar, where the primary focus of the event is education, are ineligible. This is irrespective of whether or not the image submitted was captured or created under the direct instruction of the educator/ presenter. The rule applies only to attendees of workshops, tutorials and educational/training events. Instructors, students, AIPP Members, and attendees of photo-tours where the primary focus is not educational are not restricted from entering.

3. SUBJECT

• A primary purpose of the Awards is to judge and reward visually impactful images and excellence in craft. While the same subject may be used across multiple submissions, it is a requirement that entrants submit images that are significantly different visually. If the same subject is used, it must be an entirely different capture and involve entirely different treatment eg styling, wardrobe, posing, lighting etc. • In the case of any disqualification, the Awards Committee’s decision is final and no discussion will be entered into. • Entries that have been plagiarised, either knowingly or subconsciously, will be disqualified. Plagiarism is considered to be where another , painting or image is copied, and a significant number of the key elements (e.g. subject, location, pose, crop, post-production) are the same. Being inspired by a style, pose or subject from which you create your own entry is not considered plagiarism. • The entrant represents and warrants that the work submitted is the entrant’s sole original work, with the exception of multiple-photographer books and albums, and does not infringe the copyright, moral rights or other proprietary or intellectual property rights of any third party. The entrant must be entitled to reproduce and exploit any underlying rights in their entry. Any entries which do not comply may be disqualified.

4. CREATION

• If supplying files to a printing service, the entrant must ensure that the service provider does not make any changes beyond minor global colour, brightness and contrast adjustments to match the image file to the printed media. • All post-production must have been completed by the entrant or under their explicit instruction. • When completing the online entry form, entrants must acknowledge any editor, retoucher, printer and/ or other contributors who had any involvement with the preparation of the entry. • No titles or marks that identify the entrant are permitted on the front of the entry. Non-photographic copy/text may only be included when stipulated in the category rules and requirements. • Analogue and Historical images can be entered into any print category, so long as they adhere to the image presentation requirements outlined on pages 30-33. This includes minimum print size of 25cm along the longest side. Analogue and/or Historical Processes that result in images being ineligible for category print judging may be suitable for entry into the Alternative & Historical Processes Award at APPA 2020. There is no seeding or qualifying for the Alternative & Historical Processes category at APPA so all eligible photographers can enter this category at national level.

IN 2019, THE TWO MAIN SUB-CATEGORIES INTO WHICH PRINTS COULD BE ENTERED WERE OPEN AND SINGLE CAPTURE. IN 2020, ALL PRINT ENTRIES WILL NOW FALL INTO ONE OF THREE SUB-CATEGORIES, AS FOLLOWS:

5. AUTHENTIC EDIT (replaces Single Capture)

• This sub-category is intended to reward technical and creative excellence in photographing and presenting an authentic representation of a scene, without the use of corrective retouching or creative compositing techniques as defined in 7 and 8 below. • Authentic Editing is defined as basic processing of a single in-camera capture. Permissible adjustments include a reasonable degree of , contrast, tone/colour/saturation, sharpening. Cropping/ levelling of horizons is permitted. Conversion to B&W is permitted. The removal of minor dust spots, sensor spots, scratches and incidental blemishes is permitted, so long as their removal does not affect the authenticity of the original image. • Multiple exposures, HDR, stitched panoramas and perspective correction are not permitted. Focus- stacked images are not permitted, except in the area of . Further addition, deletion or cloning of content is not permitted. • Authenticity is paramount in this sub-category. Entries which, in the opinion of the Awards Committee, exceed these guidelines will be disqualified. Examples include changing colour tone and hue to such an extent that the resulting image diverges significantly from the original scene. Likewise changing the density, contrast, colour and/or saturation levels in order to obscure or eliminate background or background elements or to materially change the content or authenticity of an image.

6. CORRECTIVE EDIT (new Sub-Category)

Corrective Editing is defined as a single in-camera capture, with the same rules as for Authentic Editing above with the additional proviso that, so long as the intent of the image is preserved, dog leads, hands and other such elements involved in the production of the image can be retouched or removed. Minor cloning is permitted for retouching purposes but the addition of new content is not permitted. Face swaps are allowable.

7. CREATIVE EDIT (replaces Open) • This sub-category is intended to reward technical and creative excellence in photographing and presenting images using all available post-production techniques, including compositing multiple images. All content must comply with the core rule stating that it is 100% photographic in origin, the work of the entrant and taken in the 24 months preceding the Awards closing date. RAW files must be supplied for every element of the finished work. • All forms of digital manipulation are allowed. Digital technologies may be used to assemble images, and to manipulate or adjust photographic elements in any manner. • Re-photographing existing or images for any purpose other than creating a supporting element or background will be grounds for disqualification, unless the existing image is the work of the entrant, 100% photographic and was taken during the 24 months preceding the Awards closing date. • Re-photographed images that provide supporting elements or backgrounds, created either by the entrant or by a third party (such as purchased physical backdrops, publicly displayed advertising, photographs or paintings), may be used to contribute to the narrative of the entry; however, they must not be the main subject or focus of the image. For example, a portrait of a soldier taken in front of a print of a WWII soldier may be acceptable, but entering a re-photographed print of the WWII portrait in its entirety would be prohibited. It is the entrant’s responsibility to ensure any supporting elements do not infringe the copyright, moral rights or other proprietary or intellectual property rights of any third party. Proof of permission to use copyrighted material may be requested by the Awards Committee.

THE 2020 AIPP EPSON STATE PROFESSIONAL PHOTOGRAPHER OF THE YEAR

THE WINNER RECEIVES A CERTIFICATE, TROPHY AND $1,000 CASH.

The only way you can earn the AIPP Epson State Professional Photographer of the Year (PPY) title is with four exceptional quality images that inspire and impress a judging panel of your peers.

ELIGIBILITY The entrant must first win an eligible category: The 2020 AIPP Epson Commercial Photographer of the Year The 2020 AIPP Epson Documentary Photographer of the Year The 2020 AIPP Epson Family Photographer of the Year The 2020 AIPP Epson Illustrative Photographer of the Year The 2020 AIPP Epson Landscape Photographer of the Year The 2020 AIPP Epson Nature Photographer of the Year The 2020 AIPP Epson Newborn Photographer of the Year The 2020 AIPP Epson Pet/Animal Photographer of the Year The 2020 AIPP Epson Portrait Photographer of the Year The 2020 AIPP Epson Travel Photographer of the Year The 2020 AIPP Epson Wedding Photographer of the Year

All category winners will then be further assessed by an expert panel to determine the overall PPY winner. The expert panel is looking for four individual images that exhibit technical excellence, impact, innovation, creativity and diversity. AIPP Member and Student photographers are not eligible for this award.

14 AIPP EPSON STATE AWARDS 2020 RULES

THE 2020 AIPP EPSON STATE COMMERCIAL PHOTOGRAPHER OF THE YEAR

THE WINNER RECEIVES A CERTIFICATE, TROPHY AND $250 CASH.

The Commercial Category is for CREATIVE EDIT images (see page 13). The Commercial category is for images that have been or could be commissioned by a business for marketing, advertising or editorial use. This includes, but is not limited to, advertising, aerial, architecture, corporate, food, industrial, fashion and sport photography. Images will have generally been created with a specific brief, often under the supervision of an agency or client representative. The subject matter isn’t the concern, but rather the purpose for which the photograph was created. Entries will be judged with a broad view in the context of a commercial photograph. The Commercial category will be judged in three sections: Commissioned Self-Commissioned Sport The category is judged in three sections to assist the judges in their assessment; however, there is only one award. In order to win The 2020 AIPP Epson State Commercial Photographer of the Year, an entrant must have entered the maximum of four prints into the category.

CATEGORY RULES AND REQUIREMENTS In addition to the general rules stipulated on pages 11-13: Entries may include non-photographic elements (such as text on a page) if it was used as part of a brief, as long as the entry submitted remains substantially photographic in origin. Polyptychs (diptychs, triptychs, etc.) are permitted. Captioning is COMPULSORY. Entrants must provide a caption of up to 50 words to assist the judges in assessing the image in the context of its commercial application. Please see below for Caption guidelines and try to limit caption information to either the intended use (if self-commissioned) or the actual use (if commissioned) of the image. The winner of the category will receive the core category trophy and the title relevant to the nature of the work entered, if requested. (For example, ‘The 2020 AIPP Sport Photographer of the Year’ can be requested if the winning submission contains four sports images.)

IMAGE CAPTIONS A caption should provide the basic information needed to understand a photograph and its context. It should primarily cover the Who-What-Where-When and sometimes Why (‘the five Ws’) of the picture’s content. Captions should consist of one or two short factual sentences covering the five Ws as succinctly as possible. Entrants are advised to go easy on the use of adjectives and adverbs as they can influence the way judges assess an image, and not always in a good way. There is no need to state what can clearly be seen, but if needed a sentence that provides pertinent context may be added to fully explain the image.

THE 2020 AIPP EPSON STATE DOCUMENTARY PHOTOGRAPHER OF THE YEAR

THE WINNER RECEIVES A CERTIFICATE, TROPHY AND $250 CASH.

The Documentary Category is for AUTHENTIC EDIT images (see page 12). This category is for documentary, press and birth photography. It is for single-capture images and is intended to reward technical and creative excellence in photographing and presenting an authentic representation of a scene, without the use of corrective retouching or creative compositing techniques. Judges in this category are asked to consider content, composition, impact and narrative quality. usually chronicles events or environments relevant to both history and historical events as well as everyday life. It may also include , magazine-style or reportage on events or situations.

The Nature Category is for AUTHENTIC EDIT images (see page 12). Nature photographs may depict wildlife and/or wilderness, both on land and under water. This category is for single capture images and is intended to reward technical and creative excellence in photographing and presenting an authentic representation of a scene, without the use of corrective or creative compositing techniques.

CATEGORY RULES AND REQUIREMENTS In addition to the general rules stipulated on pages 11-13: The rules for Authentic Edit apply to this category – see page 12. As an exception to the Authentic Edit rules for this category, focus-stacking is permitted, but only if applied to macro-photography. Entries into this category may be commissioned or self-commissioned. All images must be the result of a single exposure of light to either film or digital sensor and must have been observed, but not fabricated or directed in any way, by the photographer. Polyptychs (diptychs, triptychs, etc.) are permitted, up to a maximum of six images per matted print. Images containing man-made objects, or depicting the interaction of wildlife with humans, are prohibited and should be entered into another category. This is not a category for domestic animals, zoo animals, farm animals, captive wild animals or cultivated plants. Entrants must not handle the depicted wildlife or do anything to injure or distress any animal or to destroy its habitat, in an attempt to secure an image. If the organisers or judges suspect that an image has been achieved through the use of cruel or unethical practices, including the use of live bait, the entry may be disqualified. The AIPP reserves the right to report the entrant to the applicable authorities. Entrants are responsible for ensuring full compliance with any applicable national or international legislation, and for securing any relevant permits that may be required and which must be made available on request. Captioning is OPTIONAL, unless focus-stacking has been used, in which case the entrant must provide a caption noting the use of this technique. In all other cases, to assist the judges, entries may be accompanied by a caption of no more than 50 words but entrants must not attempt to mislead the judges through false or inaccurate captioning. The judges will reward excellence in lighting, posing, composition, camera technique and original concept. In order to win The 2020 AIPP Epson State Newborn Photographer of the Year, an entrant must have entered the maximum of four prints into the category.

Images of the entrant’s immediate family (see definition on page 28) are prohibited. Images may contain other people, including family members, pets or animals, so long as the newborn is one of the key elements in the composition. Pet/Animal photography is broadly defined and can include studio portraiture, documentary, corporate, travel, creative and illustrative portraits. The animal(s) must be the primary subject of an image entered into this category. Images may contain one or more people, as long as the primary subject is the animal(s). If it could be interpreted that a person is the primary subject, the image will be better suited to another category. The Pet/Animal category will be judged in two sections: Pet and Animal Creative Edit Pet and Animal Corrective Edit. The category is judged in two sections to assist the judges in their assessment; however, there is only one award. It may express or reference the feeling of a time and place, or simply portray a land and its people in their natural state. All destinations will be considered in the context of ‘travel photography’, even if the location in the photograph is the same as where the print judging is being held. Entries should communicate some aspect of travel, but the judges will be asked to interpret this broadly. The Travel category will be judged in two sections: Travel Authentic Edit Travel Corrective Edit. The category is judged in two sections to assist the judges in their assessment; however, there is only one award. In order to win The 2020 AIPP Epson State Travel Photographer of the Year, an entrant must have entered the maximum of four prints into the category.

The Wedding category will be judged in two sections: Wedding Creative Edit Wedding Corrective Edit The category is judged in two sections to assist the judges in their assessment; however, there is only one award. In order to win The 2020 AIPP Epson State Wedding Photographer of the Year, an entrant must have entered the maximum of four prints into the category.

CATEGORY RULES AND REQUIREMENTS In addition to the general rules stipulated on pages 11-13: Entries into this category must be commissioned. Entries must be captured during or on the day of the clients’ actual wedding or civil union. The only exception is to accommodate cultural differences when the wedding runs over consecutive days. Second shooters who have been contracted by the main photographer and/or the subjects may enter their images, providing they have retained the copyright or usage rights for the images. Second shooters must have the permission of the main photographer to enter the images. Second shooters may not enter an image where the main photographer directed or posed the subjects. Polyptychs (diptychs, triptychs, etc.) are permitted in both sections, however, entries into Wedding Corrective Edit must have a maximum of six images per matted print. Captioning is not permitted in this category.

25 AIPP EPSON STATE AWARDS 2020 RULES

THE 2020 AIPP MEMBER PHOTOGRAPHER AWARD THE WINNER RECEIVES A TROPHY, A CERTIFICATE AND $200 CASH.

AIPP Member Photographers require a minimum aggregate of 240 points (from eligible print categories) to qualify as a finalist for the AIPP Member Photographer Award and must achieve a minimum of two Silver awards. Up to five finalists, based on the highest aggregates, will be assessed by a panel of five judges in private, to determine the winner.

All Member Photographers’ work will be judged within the categories listed. There will not be a separate judging.

THE 2020 AIPP EPSON STATE STUDENT PHOTOGRAPHER OF THE YEAR FOR STUDENT ENTRANTS

THE WINNER RECEIVES A TROPHY, A CERTIFICATE AND $200 CASH.

Student entrants require a minimum aggregate of 240 points (from eligible print categories) to qualify as a finalist for the Student Photographer of the Year title. Up to five finalists, based on the highest aggregates, will be assessed by a panel of five judges in private, to determine the winner. The award is open to all students currently enrolled at a tertiary institution within Australia and hold a current student card during the current calendar year. Students do not need to supply their print entries in an approved print case. Entries lodged in an institution case will be returned in the same case. (See ‘Shipping’, under ‘Additional Terms & Conditions’, on page 29.) Students are required to go through the online entry process individually, not as part of their institution. All student photographers’ work will be judged within the categories listed. There will not be a separate judging.

JUDGING SYSTEM A panel of five judges assesses each entry. Entries are judged anonymously. No distinguishing marks are permitted on the front of an entry. A panel chair, aided by an assistant, administers the activities of the panel. One or more identical judging set-ups may operate in separate rooms, simultaneously judging a category. Each judge scores the entry out of 100 and the panel’s average is the initial score. A majority of judge scores will then determine whether a Silver or higher award is given, from which the final score is derived.

SCORING SYSTEM The final score determines the result as follows: 95–100 Gold with Distinction Award 90–94 Gold Award 85–89 Silver with Distinction Award 80–84 Silver Award 75–79 Bronze Certificate 70–74 High Professional Standard 60–69 Professional Standard 50-59 Below Professional Standard Certificates are issued for all award entries that score 75 or above.

ADDITIONAL TERMS & CONDITIONS

PLEASE READ CAREFULLY

DEFINITIONS ‘Commissioned’: A commissioned work is a product of a commercial agreement between a photographer and their client. Volunteer work is not considered commissioned, even when a professional agreement has been entered into. ‘Immediate family’: This includes the entrant and the entrant’s children, parents, grandparents, grandchildren, siblings, partners and their immediate family, and pets. ‘Eligible entrant’: An entrant who enters four images into the one category and therefore is eligible to win that category.

ELIGIBILITY AND ACCEPTANCE Images entered into a previous APPA judging are ineligible. Images created from a previously-judged APPA entry are ineligible. Images entered into a previous AIPP Epson State Awards judging are ineligible.

PRESENTATION REQUIREMENTS Entries must comply strictly with the image presentation requirements stipulated on pages 30-33. Entries not complying may be disqualified at the discretion of the Awards Committee.

ENTRIES USE AND REPRODUCTION It is the entrant’s responsibility to obtain all legal permissions required (which may include model releases, property releases and/or the copyright owner’s permission) in order to have the entry judged and possibly displayed and published. The AIPP reserves the right to reproduce, in any form or media, awarded entries for publicity and educational purposes in Australia and overseas. This includes reproduction on the AIPP’s websites, advertising, print and other media. Category winners agree to their entries being printed as a composite, framed and presented to the sponsor. The presentation works will be produced at the AIPP’s expense. The AIPP may use the digital files provided with an entry without further contact with the entrant. A category sponsor may also reproduce a category winner’s photographs to advertise or publicise their sponsorship of the category. The four photographs are to be reproduced together and credited with the full title of the award (e.g. ‘John Smith, 2020 AIPP Australian Landscape Photographer of the Year, sponsored by Sponsor’s Name’). Category sponsors and the AIPP may use entrants’ images (with suitable attribution) for marketing and promotional purposes until the following APPA. The category sponsor does not have unrestricted rights to use entrants’ photographs in any other manner without written consent. Entrants may not replicate or copy another artisan’s work without written consent, and must acknowledge the original creator in any promotional display of that work, including awards submissions.

LEGAL DETAILS, RESPONSIBILITIES AND CONDUCT The AIPP reserves the right not to display publicly entries that, in the opinion of the Board or the Awards Committee, may cause offence to the public or the subjects of an entry. The AIPP reserves the right to reject any entries that the Awards Committee considers to be pornographic or inappropriate. The entrant represents and warrants that the work submitted is entrant’s sole original work, with the exception of multiple-photographer books and albums, and does not infringe the copyright, moral rights or other proprietary or intellectual property rights of any third party. The entrant must be entitled to reproduce and exploit any underlying rights in their entry and may be asked to provide proof of entitlement. The entrant indemnifies the AIPP against any loss resulting from a breach of these warranties. If an entrant contravenes the terms and conditions of these Awards, their entry may be disqualified and any Awards may be reclaimed. A points penalty may be deducted at the Awards Committee’s discretion from an entrant’s accrued total if they are an AIPP, NZIPP or WPPI member. Non-members may be barred from entry in future years. Award winners agree to be respectful of the AIPP and of the sponsors of the Awards. Award winners are not entitled to use these Awards to make any personal or competitive representations that may be antagonistic to the sponsors. The Awards Committee will interpret the application of these rules and make decisions on questions not specifically covered. No correspondence will be entered into regarding any decision, but constructive feedback and comment is always welcomed. The Awards Committee’s decision is final. Award sponsors may contact entrants from time to time with information about their products and services. After the initial contact, entrants will be given the opportunity to opt out if they wish. The Awards Committee and/or nominated rules referee reserves the right to disqualify any entry before, during or after judging. This decision will be final and no further discussion will be entered into. SOCIAL MEDIA RESPONSIBILITIES Public, online or social media attacks by an entrant on the integrity of the judges, their qualification to judge, or the process under which they act may result in the disqualification of the entrant. If an entrant calls the judging or feedback from the judges into question in a public or social media forum, without displaying the related image to offer context to the discussion, the Awards Committee reserves the right to post the related image(s) in question to give a proper basis for discussion. Breaches of Social Media Responsibilities may be referred to the Compliance Committee and any member found to have brought the AIPP into disrepute might have their membership reviewed.

SHIPPING Entries must be shipped in an official APPA print case using the printed PDF mailing label provided with the confirmation of online entry. Only one entrant’s photographs are permitted per case. Insurance is the responsibility of the entrant. Entries will be returned pre-paid to the entrant, but only in an official print case. A print case can be purchased from the AIPP Admin Team by calling 1300 685 334 or emailing [email protected]. Please allow two weeks for delivery. (Students do not require a print case. It is preferable for students to submit entries in their institution’s special print case; otherwise, secure wrapping is acceptable.) Exception: Overseas entrants may send their entries without a print case. They may also elect not to have their entries returned, in which case a print case is not required. However, if overseas entrants require their prints to be returned, they must include payment for a print case for shipping, and a further $110 for shipping. If no payment is included, entries will not be returned. Overseas Entrants’ Instructions for Shipping to Australia: To ensure that your entries are passed through Australian Customs without additional fees and taxes, please mark your Customs Declaration as follows: ‘Printed matter only. IMAGE PRESENTATION REQUIREMENTS

Each year, hundreds of images are prepared for entry in the Australian Professional Photography Awards. Entries are destined to be critically appraised by judges, displayed extensively and possibly retained for archival purposes. They need to be light and compact for ease of transportation and display, of a standard size and format for ease of handling and judging, and be of materials that will not damage other entries. Furthermore, as judges, peers and the public will view images, both the content and the presentation must be of a professional standard. The following notes have been prepared with these requirements in mind. Please comply with, or ensure that any professional mounting service used complies with, these requirements when preparing your entry. Entries not complying with these requirements may be disqualified at the discretion of the Awards Committee.

PRINT COLOUR AND DENSITY Before mounting your entry, it is suggested that you check your prints for correct colour and density by viewing them under the same type of lighting as used in the judging environment. The Awards lighting system uses two sets of 40 watt colour tubes (5000°K, CRI98), with each set of lights at 45° from the print. Light intensity is tested with a light meter set at 100 ISO from the centre of the print, pointing the incident meter towards the judge’s viewing position. The exposure reading should be 1/60 second at f2.8. Some professional laboratories have print viewing environments that match the Awards specifications. Entrants can do the same by following the above guidelines.

The longest edge of the visible print area must be at least 25cm. A print reveal (the white border) does not count towards the print. The mount must measure 50cm x 40cm in either vertical or horizontal orientation.

MOUNTING AND MATTING The mount size of all entries must be 40x50cm and, including the print itself, not exceed 7mm in thickness. Each entry must not exceed 350g in weight.

OPTION 1: Flush mounted on board. The mounted print must be 40x50cm. If a border surround is used, the visible image must be a minimum of 25cm on the longest side. OPTION 2: Mounted on a backing board and matted behind a window mount that allows a visible image length of 25cm or more on the longest side. Double and multiple mattes are permitted, but the total thickness of any entry, including the print itself, must not be greater than 7mm. Mattes must be made from cardboard. Borders and frames made from wood, metal, plastic, etc. are not permitted. Identifying marks, including printed, drawn or painted information (visual or textual), on the matte are prohibited. The only acceptable backing/mount boards are: • cardboard • high-density foam core, self-adhesive mounting board. Both window mount and backing board must be the same size, 40x50cm. Unacceptable backing/mount boards include soft Styrofoam, core board, wood, aluminium, masonite, glass, metal and acrylic. Taping of mount edges is not acceptable.

FIXING METHODS FOR PRINTS ON MOUNTS All prints and mounts must be affixed permanently using methods and materials that are proven to provide long-term adhesion. Many spray adhesives, transfer adhesives and glues provide only minimal or temporary fixing, and are designed for prints that will be held securely in place in a frame or album. These may not be strong enough. Hinge mounting is not acceptable.

ACCEPTABLE FIXING METHODS AND MATERIALS

Recommended fixings are dry mounting JAC paper double-sided adhesive and commercial heat/pressure mounting techniques, available through professional framers and professional laboratories.

UNACCEPTABLE FIXING METHODS AND MATERIALS

Mounts that are being reused for new prints must have all glue, Velcro, adhesive tape, labels, etc. thoroughly removed before being submitted to these Awards, so as not to damage other entrants’ work.
