This exciting tournament will be held in the mayor's conference room beginning at 4:00 PM on Friday afternoon. Mayor (at least for a week) Martinez has graciously agreed to put up $100 prize money for the tournament winner. The winner will also receive some kind of trophy-like, Batman-related object to proudly display and defend at the next Irregular Invitational, should there ever be one. Ught refreshments will be provided, but please feel free to bring something special in the way of food or drink to share with your bestest friends. ':t/171?()11 MEMORANDUM TO: City Council Members & Aides FROM: Lee Leffingwell CC: Marc Ott, Anthony Snipes, Doug Matthews, Shirley Gentry, Myrna Rios RE: Details for Sept. 30 off-site meeting DATE: September 16, 2010 As you know, we will be holding our Sept. 30, 20 I 0 City Council meeting at the Carver Library and Museum, located at 1165 Angelina Street. We expect this to be the first in an ongoing series of City Council meetings to be held outside of City HalL Doug Matthews and City staff have been working through logistical and technical details in order to conduct a smooth meeting. Doug reports that all critical systems required for the live broadcast have been tested and are operational, thanks to the combined work of representatives from CPIO, CTM and PARD. In addition, the City Clerk, Agenda Office and APD have been involved in logistical planning for the event. Below please find technical and logistical details for the day of the meeting. Much of this information comes directly from Doug's office. Meeting Management III All systems currently used in City Hall will be operational for the off-site meeting. This includes the speaker sign-up kiosks and the agenda management system. III CTM will provide laptops for each Council seat, which will be configured prior to the meeting to ensure connectivity to the appropriate systems. Staff Logistics III Separate rooms have been set aside for City staff and for Council aides. Both rooms will have City network connectivity, television monitors and printing capability. Those with laptop computers are encouraged to bring them, as there will be a limited number of computers available on-site. There will also be a designated Executive Session room. Attached is a map showing where these rooms are in the building. III Due to limited space at the facility, departments are being asked to limit the number of staff members who attend the meeting. • Food and drink for staff will be provided by Kay and Joe Guedea, as usual. Parking '" Reserved parking for City Council members will be in the loading dock area on the east side of the building, which allows for direct backstage access to the Carver auditorium. III Public and staff parking will be located in the shared parking lot located just north ofthe facility. III APD will be providing security, but there will be no metal detectors. The only public ingress/egress will be the main entrance to Carver on the west side of the building. Technical Considerations It Carver is configured for stage performance, not for television. As such, it's important that Council members avoid wearing white (it's not fashionable after Labor Day anyway) or checkered patterns, which create issues in balancing video signals with the existing stage lighting. '" Because of the built-in video delay, there will be no return video signal to monitors in the Carver auditorium. There will be televisions set up in adjacent rooms and in the Carver lobby. Monitors in the Council Chambers will be used strictly for presentations. III There is limited or no wireless connectivity within the Carver auditorium and there will be no City network capability from the audience area of the auditorium. Meeting Notification III All public notices for the 9/30 meeting reflect the Carver location. In addition, CPIO will be placing advertisements with local media to encourage local participation. A news release will be distributed and posted to the City website early next week, and signage will be posted in the City Hall atrium. Staff will provide additional details as needed the week of the scheduled meeting. In the meantime, please let my office or Doug know if you have additional questions or concerns that we can address.
