2 Our Gresham Street office

An introduction

This guide is designed to provide you with key information about our Gresham Street office’s location, together with general office information.

Office address, phone and fax numbers The address to be used for all correspondence is:

Opening hours The core office opening hours are 8.30am to 5.30pm, Monday to Friday.

3 Office location and travel

Our Gresham Street office is in the heart of the .

Geographically the office sits between Bank and St. Paul’s Cathedral, just north of on the corner of Gresham Street and Aldermanbury. The location means that it’s easily reachable from many public transport stations in and around the City.

How long will it take to walk to the office from nearby stations?

4 Office access and Security

There is 24-hour access to the office, via two entrances; one located at 10 Aldermanbury, and the other at 65 Gresham Street. Both of these entrances have a reception presence between the hours of 8.00am and 6.00pm. Outside of these hours, the reception desks are manned by security guards and the entrance doors will be locked.

Staff access Staff should use the 10 Aldermanbury entrance at all times. The 65 Gresham Street will be used as the entrance for clients and other visitors. Coming into the Gresham Street entrance, all visitors will be directed to the main Capita reception area on the 6th floor.

To get access to the office you will need a security pass. If you are yet to receive a pass, please contact the central Facilities team via email on [email protected] and they will arrange for one to be produced. Your pass will be provided on a lanyard and should be worn at all times when in the office.

It is advisable to keep your security pass separate from any train tickets / Oyster cards you may have.

Security Your safety and security is very important to us, therefore security officers guard the building 24 hours a day. Security is supported by CCTV and access control barriers, and regular security checks in all common areas of the building are carried out regularly over a 24-hour period.

5 Bikes, parking, and changing

What’s available?

Bicycles and motorcycles There are 200 bicycle racks for the entire building and these are allocated on a first come first served basis. These are located inside the building.

Access to the bicycle racks is via the service entrance to the building, located in Wood Street. You will need your building security pass to get access.

There is no parking for motorcycles within the office building, however the City of London Corporation provides free off-street motorcycle parking, nearby at 23 London Wall, EC2V 5DY. This is an underground parking facility.

Car parking There is no on-site car parking available. The City of London Corporation has an NCP car park nearby, at 23 London Wall, EC2V 5DY. As of March 2014 charges are £3.00 per hour Monday to Friday between 6am and 7pm.

Changing / shower facilities There are 16 showers (8 ladies, 8 gentlemen) located in the basement of the office building. These are all equipped with lockers, drying rooms and hair dryers.

Lockers are not to be used for permanent storage, and will be emptied by the building’s Security team every evening.

6 General office facilities

Passenger lifts There are 10 lifts, 4 x 16-person at the Gresham Street entrance and 6 x 24-person at the Aldermanbury entrance.

Performance of the lifts is monitored at all times to ensure optimum performance. Please do not block the doors as this could result in malfunction. Heavy goods should never be transported in these passenger lifts.

Toilets There are male and female toilets located near the lift lobby (Aldermanbury lifts) and by the staircase at the rear of the building.

Smoking Please be aware that the entire building is strictly a no-smoking zone. There is no dedicated smoking area for the building but we recommend that staff smoke in Aldermanbury Square.

Under no circumstances should staff smoke by the building entrances.

7 Fire and First Aid

Fire systems testing There is a weekly test of the fire systems, carried out every Thursday at 11am.

Fire evacuation drills Fire evacuation drills will be carried out every six months.

The procedures adapted for the fire evacuation drills are varied to bring a degree of realism to the event. During evacuation drills we will follow the building fire procedures.

Fire / emergency evacuation procedures In the event of an evacuation all staff should follow the evacuation instructions announced over the building’s public address system, and should exit via the nearest fire escape door and not use the lifts.

Details of assembly points will be displayed in kitchen areas. Please familiarise yourself with these.

Fire Wardens Each floor has designated Fire Wardens. Please see noticeboards in kitchen areas for details of your nominated Wardens.

First Aid Each floor has at least one designated First Aiders. Please see noticeboards in kitchen areas for details of your nominated person.

8 Capita Reception and client facilities

Hosting our visitors

The Facilities Team is located on the 6th floor adjacent to the lift lobby area at the Gresham Street end of the building.

Capita Reception Our Reception for clients and visitors is located on the 6th floor where all clients will be met by our Reception staff. All visitors will be announced to their host when they arrive.

Client meeting rooms There are 36 meeting rooms available on the 6th floor for client meetings.

Internal meeting rooms Each Capita business has been allocated access to book internal meeting rooms on their own floor. To book a room, pleaseclick here and log in. Individual log in details will be provided to you.

Teleconference calls Each Client meeting room has been allocated a Teleconference number. This will be provided to you on request.

9 Capita reception and client facilities

Stationery Each Capita business is responsible for ordering its own stationery. Please speak to your local contact for more information.

Photocopier paper will be supplied centrally by the Post Room team and stock will be checked daily. For an additional supply during the day, please send an email to [email protected]

Post Incoming post will be dealt with by the central Post room team and will be delivered to your respective post trays or delivery points depending on the needs of your business.

Outgoing post should be placed in the appropriate post trays on your floor, ready to be collected at 4pm.

All Special/Recorded deliveries are to be handed to the Facilities Team located on the 6th floor (please ensure that your name is written on the envelope in pencil).

Couriers If you need a courier to be booked, please email [email protected] or dial extension 516 4504.

Faxes All incoming faxes (received on 020 7709 4501) will be scanned and emailed to you upon receipt.

10 Kitchen facilities

... and general day-to-day stuff

Kitchen / Tea points Each Capita floor has its own tea points / kitchen area and there is a larger shared cafe area on the 6th floor, just off the main lift lobby.

Each area will have tea and coffee making facilities as well as a microwave and a fridge. You will also find vending machines in the 6th floor cafe area.

Most areas also have dishwashers and we would ask that any used cups/plates etc are placed into the machines and not left on desks.

Can you also note that we do not supply milk for breakfast cereals.

Please ensure that the kitchens are left clean and tidy.

Coats / Cloaks Each Capita floor has allocated area for coats/cloaks and we would ask that you utilise these rather than hang items on the rear of your chairs.

Waste There are General and Recycling waste bins located around each of the floors and these are clearly marked as to what can be placed in each bin.

There are also Shredding bins for all of your confidential paper waste.

Clear desk policy Capita promotes a clear desk policy and at the end of each working day all files and paperwork must be cleared away and placed in a lockable storage unit or locker.
