CONFIDENTIAL MINUTES OF THE MEETING OF THE ASSOCIATION OF LONDON CLUBS HELD AT THE CALEDONIAN CLUB ON THURSDAY 20 NOVEMBER 2014 AT 6.00 P.M. Present: Mr I Campbell (Caledonian) – Chairman Representatives from: Army & Navy, Boodles, Brooks’, Caledonian, Canning, Cavalry & Guards, City of London, City University, East India, English-Speaking Union, Flyfishers’, IOD, Kennel, Lansdowne, National Liberal, Naval, Naval & Military, Oxford & Cambridge, Portland, Royal Aeronautical Society, RAC, Royal Air Force, Royal Thames Yacht, Savage, Special Forces, University Women’s Club, Victory Services, Sheila Seddon from Club Watch/Ox & Cam., and Hon. Chaplain, Brian Lucas. Secretary: Mrs J M Aitken APOLOGIES 1. Apologies for absence were received from Buck’s, Carlton, Garrick, Goodenough, Hurlingham, Leander, Naval, Oxford & Cambridge, Pratt’s, Reform, Roehampton, Royal Over-Seas League, Royal Society of Medicine, Travellers, and Turf. New attendee’s Miles Wade from the RAC and Beth Hargraves from Royal Aeronautical Society introduced themselves to the meeting. MINUTES OF THE MEETING HELD ON 5 JUNE 2014 2. The minutes, which had been circulated, were approved as a correct record of proceedings and duly signed. MATTERS ARISING FROM THE MINUTES 3. There were no matters arising. SURVEYS 4. At present there was no one from the Executive who was responsible for surveys following David Cowdery leaving the Executive. The Chairman asked the representatives present if they wanted any other type of survey to be carried out. Discussion followed and it was agreed the Banqueting Survey was a very helpful document so the Chairman volunteered to take this on. The surveys conducted by the Secretary would be sent out in January but it was felt that the Register of Useful Companies should be discontinued in its present form but that if anyone had a recommendation they could do this on the new website. The Summer Closure list that was sent out later in the Spring was discussed after some Clubs’ members had experienced problems this year when visiting clubs which offered hospitality on the list. Clubs were reminded to ensure that their members’ had either letters of introduction or membership cards to show at the visited club. Also visiting members should be aware of the rules of the individual club they were visiting. CLUB WATCH 5. Sheila Seddon, the Club Watch Chairman, advised that the police ran training schemes for clubs on all security aspects and this included training club staff on dealing with suspect packages. The next Project Griffin was to be held on 15th January 2015, anyone interested should contact her for details. The next Club Watch meetings would be held on 21st January, 15th April, 15th July and 21st October 3pm for 3.30pm. IC thanked SS for all the work she does on behalf of clubland. 1 WEBSITE 6. Chairman advised that the site had had a soft launch and small tweaks were still being made including a calendar of events being made available. SUBSCRIPTION RATE FOR 2015 7. IC advised that the Executive Committee recommended that the subscription rate should be raised to £100 from £95; the cost had not been raised since 2008. This was proposed by Andrew Phillips (Boodle’s) seconded by John Burns (Portland) all unanimously agreed. The subject of proprietary clubs was raised again and David Cowdery (Cavalry & Guards) volunteered to prepare a document for discussion, it was felt that this should be dealt with at a separate meeting probably sometime in March Peter Owen (RAF) volunteered to host this. FUTURE DATES 8. These were as shown on agenda but the date of the Annual Dinner had been changed. Dates and venues were now as follows: General Meeting Thursday 19th February East India Club (6pm) followed by Hospitality Action Presentation and Also LED Lighting. Annual Dinner 5th March 2015 Savile Club (7pm for 7.30pm) AGM,General Meeting English-Speaking Union (6pm) & BBQ 2nd June 2015 General Meeting & 19th November 2015 The In & Out (6pm) Secretaries’ Dinner ANY OTHER BUSINESS 8. i) Adrian Macintosh (Savage) reminded everyone of the Annual Carol Service on Monday 8th December at St Clements’ Dane at 6pm. ii) Peter Owen (RAF) reminded everyone of the Haysmac seminar on 28th November when an update on holiday pay and overtime to staff will be covered.
