The management of our firm believes that our clients and agents can be best served if we set out in writing our philosophy of doing business, our company policies which will mirror our philosophy, and the procedures to be used in carrying out those policies. For these reasons and because we know that our employees and associates will need guidelines and direction, we have prepared this document, our Policies and Procedures Manual, for your reference. While we have attempted to provide detailed guidelines in this manual, there will be times when matters must be determined by management decision, guided by the philosophies of fairness, integrity, and good communication. When changes are made to the document, management will provide you with a new page for the manual and will ask you to return the page that was substituted with your signature which will indicate to the management that you have been notified of the change in policy. We hope that you will become well-acquainted with the manual and refer to it often. If you feel we may have overlooked something that should be included, please make that omission known.

It is our agents responsibility to know, understand and follow all rules, regulations and laws set out by the Louisiana Real Estate Commission and the Board of REALTORS.

Rhodes Realty will provide a phone system that will allow each agent to have an extension and dial by name option. Each agent is required to also have a cell phone. The extension will be set up to forward all calls received at that extension to the agent’s cell phone. Also, clients can call our office line and reach each Rhodes Realty office. The client will then be directed to the agent that has floor time at that time for that office. Each agent will have a username and password for our phone system, to access his/her extension.

Each office will have a printer/scanner for use by all full time agents. Please be respectful of printing only what is needed. Each office will be stocked with regular office supplies (paper, pens, file folders, etc). All office supply requests must be submitted by email to your team leader. If any agent is in need of anything to be mailed overnight, he/she must contact your team leader to request a FedEx label to be emailed to them. FedEx envelopes will be stocked at each office. Each agent is required to have a professional headshot done by a photographer of his/her choice within thirty (30) days of signing your contract. AGENT’S BIO

Each agent should prepare a bio and forward to our marketer within thirty (30) days of signing your contract. BUSINESS CARDS

Agents should contact Daphne at Impressions by Dunagan to order business cards. The agent will tell her that the card needs to be in Rhodes Realty format and you will have an option of a business card with or without the agent’s picture. RIDERS FOR SIGNS The agent may choose where he/she orders his/her name riders from. The name rider must be one of the approved layouts.

9 EFFECTIVE 10/3/2019 SIGNAGE AND FRAMES/LOCKBOXES

All signs labeled with Rhodes Realty that are not personalized and lockboxes are supplied by Rhodes Realty.

All requests for signs, should be submitted to your team leader with a two weeks’ notice.

All signs are to be kept orderly at Rhodes Realty’s office that you are affiliated with and all signs are inventoried by your team leader.

After a property closes, signs should be immediately picked up from the property.

ADVERTISING/MARKETING

Rhodes Realty supplies all agents with various marketing materials (ex. Koozies, t-shirts, pens, etc), in order to build the Rhodes Realty brand and to be utilized for marketing events.

The agent should submit his/her request for supplies to the team leader with a fourteen (14) days notice.

10 EFFECTIVE 10/3/2019 PRESOLD HOMES FOR RHODES PROPERTIES MARKETING A PRESOLD

Even though a presold is already sold to a client does not mean you should not market that presold in the MLS and the ability to put another presold under contract.

An agent can advertise a presold through the following methods:

1. Facebook 2. Direct Mail 3. MLS 4. Use existing specs/presolds PROCESS FOR SECURING A PRESOLD

1. If the lot is not owned by Rhodes Properties, the lot will have to be purchased by Rhodes Properties before the agent can move forward on a presold. 2. A complete and executed purchase agreement is required. Same LREC form as usual. 3. Attach a rendering or plan of the house and plat of the subdivision showing the lot. a. Its often helpful to include a list of notes of items included or not included in the purchase. For example: Types of flooring, Landscaping, Granite, etc. At this point, the actual selections are not needed, you just need an understanding of what level of product is included in that package for that price. 4. A $2,000 deposit, if possible, to be held in Rhodes Realty’s Escrow Account until closing. Sometimes that is difficult for clients to produce. We can negotiate that for each deal if necessary. 5. Pre-approval letter from bank attached to purchase agreement. 6. Once we have all these docs assembled and executed, we are ready to go. a. Agent sends package to , James, Ali, Ashli, Broker, Closing Coordinator and Project Manager. This basically gives us all our marching orders to get construction rolling. b. From this point, it usually takes about two-three weeks to get a permit, line of credit, etc. started before actual construction starts. c. From the time construction starts, to the time we are ready to close, it is four months on average for completion, depending on weather conditions.

11 EFFECTIVE 10/3/2019 RHODES REALTY AGENT’S ROLE FOR A PRESOLD

1. Front End a. Please reference the section in this handbook named “PROCESS FOR SECURING A PRESOLD” 2. Interim a. There should be constant communication between the Rhodes Realty agent, Rhodes Properties’ construction team, Rhodes Properties’ design team, buyer, and Rhodes Realty’s closing team. b. The agent should input listing in MLS. The agent should get correct renderings and floor plans from Ali and should be uploaded as pictures in MLS. The agent should put a unique description of the property. Every property’s description should be different, not the same highlighting the best attributes of property and location. The agent should update pictures every two weeks or when a major change has occurred, and older pictures should be replaced with updated construction pictures. The agent can stay up to date with construction with the schedule emailed out weekly by Rhodes Properties. c. On site walk throughs with buyers a. It is recommended that the Rhodes Realty agents coordinate several walk throughs with Rhodes Properties’ project manager and the buyer’s/buyers’ agent to update status and identify any problems/issues. b. This can be a very simple, quick and easy process. The more you involve the buyer and construction team, the less issues encountered. c. This can also cause the buyer to add and change items. While Rhodes Properties wants to appease their clients, Rhodes Properties cannot change/add everything requested. d. Change Orders a. For small requests that require no re-work or increase in cost, an email should be sent to Rhodes Properties’ design and construction team to keep everyone in the loop. b. For larger requests that requires re-work and/or change in cost, an email should be sent to Rhodes Properties’ design and construction team. Rhodes Properties will evaluate and get together pricing. At that time, an addendum should be drawn to the contract or require payment from the buyer before the work is initiated. 3. Close Out a. Once construction is within ten days of completion, Rhodes Properties will notify the entire team. At that point the Rhodes Realty agent can engage the buyer’s title and lender. b. A final walk through should be completed with Rhodes Properties’ project manager buyer and buyer’s agent. The form named “Final Walk Through Checklist” saved on RhodesRealty drive under forms, should be completed and filed in Rhodes Realty agent file. If any items are deficient, an email with form attached, should be sent to all members of team. Rhodes Properties will develop a plan to fix items. The file is not closed until items are complete and everyone has signed off on.

12 EFFECTIVE 10/3/2019 COMMISSION STRUCTURE

1. If the lot is not owned by Rhodes Properties, the agent will represent Rhodes Properties in the lot purchase and will earn a commission based on listing agreement of the lot. 2. If the lot is owned by Rhodes Properties, there will be no commission paid on the lot. The lot will be withdrawn from the MLS by Rhodes Properties. 3. If a Rhodes Realty agent brings a buyer with no outside agent: a. Rhodes Properties offers 2% to Rhodes Realty agent. b. The Rhodes Realty agent is responsible for coordinating all parties and meetings. 4. If an outside agent brings a buyer with no Rhodes Realty agent: a. Rhodes Properties will assign a Rhodes Realty agent to represent Rhodes Properties. The agent will coordinate and attend meetings as a representative of RP. b. Rhodes Properties’ offers 2% to the outside agent and 1% to the Rhodes Realty agent. 5. If an existing Rhodes Properties’ spec home goes under contract early and the buyer wants to make selections, commissions will be paid in conjunction with the listing agreement, typically 4%, split 2/2. SELECTION PROCESS

1. The project coordinator is the point of contact for the selection process. She will meet with the Rhodes Realty agent and coordinate a time(s) to meet the buyer and coordinate selections. 2. It is the responsibility of the Rhodes Realty agent to coordinate and attend those meetings.

LISTING AGENTS

When an agent has a client that wants to list a property with Rhodes Realty the agent should follow the instructions listed below:

1. The agent should print the form named “Listing Agent Required Docs” (RhodesRealty → Forms →Listing Agent Required Docs) 2. The agent should list the property in the MLS as follows: a. The property should be mapped correctly b. Professional photos attached c. Accurate and up to date description listed d. Provide accessing instructions (include lock box code, if applicable) e. The agent should follow all other Board of Realtors rules and regulations. 3. The agent should post a For Sale sign on the property. 4. The agent should come up with a marketing plan (ex. Flyers, open house, Facebook advertising, etc). The agent should review his/her marketing plan with the team leader and Marketer and continue to notify them of an update or changes in the marketing plan for that property. 5. When the agent receives and client accepts an offer on the property, the agent should be sure to fully execute the purchase agreement and be sure that all contact information for all parties are listed on the purchase agreement. If a deposit is to be paid, the contract is not complete until received. When the deposit is received, the agent should be forwarded to the Natchitoches office to be deposited into the Rhodes Realty Escrow account. The agent will receive an email to verify that the deposit was made. 6. If at any point the contract is cancelled and a deposit was paid, the agent must complete “Escrow Release” form saved on RhodesRealty Drive under forms and forwarded to the Natchitoches office for a check to be issued. 7. FOR RHODES PROPERTIES AND R & D HOMES TRANSACTIONS ONLY When the agent receives and client accepts an offer on the property, the agent must submit a copy of the fully executed purchase agreement and include the Closing Coordinator Form to Rhodes Properties’ Closing Coordinator. AGENTS ARE REQUIRED TO USE RHODES PROPERTIES’S CLOSING COORDINATOR FOR ALL RHODES PROPERTIES AND R & D HOMES TRANSACTIONS.

14 EFFECTIVE 10/3/2019 BUYER’S AGENT

When the agent has a client that is looking to buy a house the agent should do the following:

1. The agent should meet with the client to discuss the following: a. What type of property is the client looking for? b. Has the client qualified for financing and what amount are they approved for? 2. The agent should develop a list of properties that work for the client and set up showings for those properties. 3. Once the client has made an offer on a house and the offer is accepted the agent should get a fully executed purchase agreement completed. 4. FOR RHODES PROPERTIES AND R & D HOMES TRANSACTIONS ONLY When the agent receives and client accepts an offer on the property, the agent must submit a copy of the fully executed purchase agreement and include the Closing Coordinator Form to Rhodes Properties’ Closing Coordinator. AGENTS ARE REQUIRED TO USE RHODES PROPERTIES’S CLOSING COORDINATOR FOR ALL RHODES PROPERTIES AND R & D HOMES TRANSACTIONS. 5. If at any point the contract is cancelled and a deposit was paid, the agent must complete “Escrow Release” form saved on RhodesRealty Drive under forms and forwarded to the Natchitoches office for a check to be issued. The agent will receive an email to verify that the deposit was made.

15 EFFECTIVE 10/3/2019 BRINGING TO CLOSING

The agent should request the Natchitoches office to have any deposit checks that need to be refunded, issued and ready to bring to closing. The agent must complete the “Escrow Release” form saved on RhodesRealty Drive under forms. The agent should make all effort to attend the closing. If the agent is not available to make the closing, the agent needs to make arrangements for the commission checks to be mailed, picked up or wired. If the agent would like to set up a picture with the client, the agent can schedule the photo with the marketer. Rhodes Realty also has props that can be used for the picture! The agent must pick up all signs and lockboxes from the property as soon as it closes. FOR RHODES PROPERTIES AND R & D HOMES TRANSACTIONS ONLY The agent is required to make sure Rhodes Properties’ closing coordinator has all contact info for all parties. As more information is received (ex. Title company, etc), it needs to be forwarded to the closing coordinator as soon as possible. The agent is required for keeping Rhodes Properties’ closing coordinator up to date on all progress of the property (ex. Appraisal, inspection, etc). Make sure any contact made outside of the closing coordinator is forwarded to the closing coordinator. The agent is required to use Rhodes Properties closing coordinator to set the closing date, time and location and get in order any documents needed for closing.

16 EFFECTIVE 10/3/2019 CLOSING THE FILE All final files are to be uploaded into dot-loop or PDF file and submitted to your team leader for compliance approval review. Commission funds should be received via check or wire. If the funds are issued via check, you should forward the check to the Natchitoches Office or deposit in local Rhodes Realty bank account and forward a copy of the receipt with the closed filed. If the funds are wire, you must wait until you confirm wire has occurred to close out the file and make note on closed file that funds were wired. Providing a wire receipt is encouraged. Once file is compliance approved, the team leader will then forward the closed- out file to the payment department with deposit receipt attached. If deposit is being held in any Rhodes Realty accounts, you must submit the escrow release form to the Natchitoches Office as soon as a closing date is set or about to be set. Please be sure that all deposits have the property address in the memo line and clearly identifies the agent(s) who is assigned to the transaction. The team leader should have the closed filed to the Natchitoches office within one business day of receiving the closed file. The Natchitoches office will have one business day to submit the commission to the Salesperson. For Direct Deposit, it can take up to two (2) business days to appear in the Salesperson’s account.
