CHARLES BORROMEO CATHOLIC CHURCH 3304 Washington Boulevard Arlington, VA 22201 (703) 527-5500 [email protected] www.stcharleschurch.org PARISH BUSINESS MANAGER JOB DESCRIPTION Summary The Business Manager reports to the Pastor and assists him with parish financial, personnel, office and communications administration. The Business Manager must be a person of faith who is committed to supporting the mission of the Church and of the parish, including through the responsible management of resources and by observing confidentiality. Responsibilities • Financial Responsibilities o Assists the Pastor in preparing the annual budget, in collaboration with parish ministry directors and with the Parish Finance Council § Oversees implementation of budget by directors o Provides the Pastor and the Finance Council with financial information and analysis, and assists in strategic financial planning § Provides regular financial statements to Pastor, to directors and to Finance Council § Prepares Annual Financial Report for the parish and for the diocese o Maintains a responsible cash flow management system § Oversees accounting/bookkeeping functions including revenue and expenses, payables and receivables, and the maintenance of general ledgers § Manages parish bank relations, accounts and investments § Manages invoices and payments § Oversees reconciliation of accounts and other services § Assists parish groups with financial matters § Oversees cash collection processes, including counters o Maintains parish financial records, including bank, vendor, receipt and other financial files o Manages employee payroll processes and records o Manages vendor contracts (not including those dealing with physical plant concerns) o Oversees annual Bishop’s Lenten Appeal, annual parish offertory appeal, and electronic giving contract (Faith Direct account) o Ensures parish financial practices comply with both public and diocesan guidelines, and establishes best practices, financial policies and internal controls o Acts as staff liaison to the diocesan Office of Finance and to the Parish Finance Council • Personnel Responsibilities o Provides human resources support, assisting the Pastor with the development and implementation of personnel policies and practices including: § Hiring, retention, and termination policies § Job descriptions, personnel evaluations and employee grievance processes § Employee salary and benefits administration § Employee alignment with Parish goals § Employee training and professional development o Maintains personnel records o Ensures parish personnel policies comply with public and diocesan guidelines o Ensures parish compliance with diocesan policy on child protection and safety • Office Administration Responsibilities: o Directs the management of the parish office § Supervises parish administrative staff (bookkeeper, secretaries, receptionists) § Ensures proper management of parish records o Oversees purchase and use of parish office equipment and supplies • Communications Responsibilities o Manages administration of parish communications including staff communications as well as information technology and print and electronic media contracts Requirements • Qualifications o Knowledge of the principles of accounting and bookkeeping o Ability to understand, analyze, and interpret financial reports and legal documents used in the normal course of Parish business o Proficient in QuickBooks, Excel and database management o Excellent oral and written communications skills o Excellent interpersonal relationship skills, including a commitment to employee motivation, team-building, efficiency, knowledge skill sets development o Ability successfully to resolve conflicts and solve problems • Education and Experience o Bachelor’s degree from a four-year college or university, ideally a business or finance degree o At least five year’s successful experience in finance/business management.
